    Introduction

    As the author and founder of PCM Courseware, I am delighted to bring you the latest in our Up To Speed series of guides:  Microsoft Visio 2016 - Up To Speed.  Since 2003, PCM Courseware has been publishing innovative Print-On-Demand electronic courseware for both the PC and the Macintosh and beginning with the Up to Speed series, we are now creating software guides for everyone, not just for software trainers.

    My mission is to create guides to make learning technology concepts easy, no matter what kind of learner you are. The guides are simple to use yet comprehensive in their effectiveness. Many students find the step-by-step approach of our manuals to be a valuable self-study resource.

    You do not need to read the book sequentially, although this can certainly be helpful if you are just starting out with Microsoft Visio.  I’ve written the book from scratch, starting with basic Visio and diagramming topics and moving on to more advanced features of the application, designed to help you to become more productive more quickly.

    So let’s get started with Microsoft Visio 2016 – Up to Speed.

    Chapter 1 - Visio Basics

    Looking at Visio

    Welcome to Visio 2016!  Visio is a flexible drawing program that contains easy-to-use tools to help you create powerful professional diagrams.  With Visio, you can create flowcharts, work flow processes, network diagrams, brainstorming diagrams, floor plans and much, much more.  New and improved tools in Visio make it even more flexible. 

    The files that you create in Microsoft Visio are called diagrams (.vsd).  These diagrams use text, images and shapes that you can position anywhere on the document that you like.  Microsoft Visio comes with many diagram templates and Wizards that aid you in building your diagrams.

    You launch Visio just as you would any other Windows program - from the Start Menu.  Tap the Start button and type:  Visio until Visio 2016 appears.  Press Enter.

    We will begin by launching the Visio application.

    To start Visio, do this:

    1. If you are using Windows 8 or Windows 10, click the Visio tile on the Start screen (if you don’t see a Visio tile, type: Visio until the application is highlighted).  If using Windows 10, tap the Windows key and type:  Visio until Visio 2016 displays.  Press Enter.

    2. If using Windows 7 or before, click the Start button on the lower-left corner of your screen to display the Start menu, select All Programs > Visio 2016 from the Start Menu to launch the application (this may vary, depending on your installation).

    Creating a New Diagram

    When Visio first launches, the application opens to Backstage view which is your starting point.  In the right pane, a list of featured diagram templates is displayed, allowing you to choose a predefined diagram design that best meets your needs.  A template is a Visio file containing stencils (a collection of shapes which can be added to your drawing), styles and settings for a particular type of drawing.  For example, if you wish to create an Organization Chart, you would use the Organization Chart template under the Business category. 

    To display the available categories, click CATEGORIES in the right pane. The list below presents the various categories of templates available in Visio:

    Business: Contains templates relating to business processes such as flowcharts, brainstorming diagrams, audit diagrams, marketing charts, work flow diagrams, and cause and effect diagrams.

    Engineering:  Contains templates referring to engineering procedures such as Circuits and Logic, Basic Electrical and Industrial Control Systems.

    Flowchart: Contains templates for basic flowcharts, cross-functional flowcharts, and work flow diagrams.

    General: Contains templates for basic flowcharts, basic diagrams and block diagrams using various geometric shapes.

    Map & Floor Plans: Creates templates for 2D & 3D directional maps, and office layouts.

    Network: Contains templates for basic designs for physical and logical networks using various network and computer related shapes.

    Schedule: Contains templates for calendars, Gantt Charts, Pert Charts, and Timelines.

    Software and Database:  Contains software & database related designs, such as COM and OLE, Program Structure, Web Site Map, Data Flow Model and Data Flow Diagram.

    Click on the category for the type of diagram you want to create.  Once you choose a category, a preview of all available Visio templates for that category will display in the right pane.  Once you click the template you want, a new window appears, displaying a preview of the template as well as the option to choose the measurement unit you want your diagram to use – US Units (inches, feet, etc.) or Metric Units (meters, millimeters, centimeters, etc.)  To create a new diagram from the template, choose the desired measurement unit and then click the Create button.

    We will examine templates in more depth in a later chapter.

    To create a New Diagram, follow these steps:

    1. Launch the Microsoft Visio application.

    2. Click Categories on top of the right pane.

    3. Click the thumbnail for the category you want to view.

    4. Click on the diagram template you want to use in the right pane.

    5. Click the radio button for the desired unit of measurement (US units or Metric).

    6. Click the Create button to create your diagram.

    Tip: You can access Backstage View from within the main Visio window by clicking the File tab on the Ribbon.
