7 Cs OF COMMUNICATION

PRINCIPALS TO EFFECTIVE COMMUNICATION

1. COMPLETENESS
Every communication must be complete & adequate. Incomplete message keep the receiver guessing, create

misunderstanding & delay actions.

- bring desired results without additional message expense. - build goodwill. - avoid lawsuit which may occur due to incomplete information.

2. CONCISENESS
You should be brief & be able to say whatever you have to

say in fewest possible word without sacrificing completeness quality.

- saves time & expense for both sender & receiver.

- contributes to emphasis by eliminating unnecessary words.

- avoid wordy expressions.


- include only relevant material. - avoid unnecessary repetition. - organize the message well.

3. CLARITY
The message must be put in simple terms to ensure clarity. Words must mean the same thing to the receiver as they do

to the sender.
Important consideration in attaining clarity:

- choose precise, concrete & familiar words. - construct effective sentences & paragraphs. E.g.- home- domicile: pay- remuneration: invoicestatement of account: advocate- lawyer.

4. CORRECTNESS
It means right level of language & accuracy of facts, figures

& words. If the information is not correctly conveyed, the sender will lose credibility. Effects decision making, public image etc. Grammatical errors should be avoided. Transmit message only when absolutely sure of its correctness. Message must be transmitted & responded to at the appropriate time.

5. CONCRETENESS
It means being specific, definite & vivid rather than vague &

general. Concrete expressions create visual images that are easy to register. Guidelines to be followed: - use concrete expressions. - use specific facts & figures. - put action in your words. - choose vivid, image building words.

6. CONSIDERATION
Preparing the message with the receiver in mind. In order to communicate effectively, sender should think &

look from receivers angle. Adopt human approach & understand the emotions & sentiments of the receiver. Focus on the needs of receiver. It requires emphasizing positive & pleasant facts. Positive approach convinces the reader of your helplessness, or your genuine difficulties etc.

- focus on you instead of I & WE. - show audience benefit or interest in the receiver. - emphasize positive, pleasant facts. - show empathy.
Empathy means: ability to identify with persons or objects.

7. COURTESY
It stems from a sincere YOU attitude. It is politeness that grows out of respect & concern for

others.
