Getting Advice
Each UHCL school has DIFFERENT policies concerning admission, foundation courses, credit hour and grade requirements for students. Within each school, each major may have different policies concerning admission, foundation courses, credit hour and grade requirements. Each UHCL school has a DIFFERENT process for developing degree plans for individual students, and each degree plan has different rules about courses that will count toward the degree.

Candidate Plan of Study


A Candidate Plan of Study is individualized, within limits, to fit each student. The Candidate Plan of Study is an official document - like a contract that defines exactly your individual graduation requirements The Degree Progress Report is an automated report, available through E-services, which is a basically generic tool intended to help students track their progress. Do not confuse the DPR with the CPS. The CPS is an official, binding document - the DPR is NOT. DPRs are not used to audit for graduation. The CPS is used to audit for graduation. Many DPRs require corrections. If the DPR shows something different from your CPS, FOLLOW YOUR CPS and consult the DPR instructions for requesting corrections. The process for the creation of the CPS is different for SC E graduates and for undergraduates.

Academic Advisor
During their first semester, undergraduates must make an appointment with an Academic Advisor by calling 281-2833711. The appointment will take about an hour. Academic Advisors determine lower-level transfer credit, list possible upper-level transfer credit, calculate credit hours, assign each undergraduate a Faculty Advisor, and print a draft CPS. Undergraduates take this draft CPS and then make an appointment to meet with the assigned faculty advisor to finalize this draft.

CPS for Graduates


Graduate students are notified via their student e-mails to initiate the CPS procedure with their Faculty Advisors
During first 6-8 weeks of the semester, Academic Advisors create CPS worksheets for all newly enrolled graduate students. The worksheet shows: o Foundation/WRIT classes listed as required in the acceptance letter o Potential graduate transfer classes from U.S. Universities (if the student has turned in a current official transcript.) o Classes in which the student is currently enrolled at UHCL. Once all worksheets are complete, Academic Advisors send them to the faculty advisors and notify students via student email that they should make an appointment to meet with their faculty advisor to complete their CPS

All changes to the CPS must have written approval. A maximum of 6 hours of independent study can be applied to the degree. The cumulative GPA of the course work completed at UHCL must be 3.0 or higher.

A maximum of 6 hours of grades in the C/C+ range may be allowed. Grades of C- and below will not apply toward the degree.
The final 24 hours of the degree must be taken in residence. All work must be completed within 5 years of the date in which the CPS goes into effect, as indicated by the signature date of the Dean. Continuous enrollment must be maintained by satisfactorily completing at least one course within a 12-month period.

Graduate Foundation Waivers


First Semester

(except Computer Science)

Your first semester at UHCL, do NOT register for any assigned foundation courses for which you believe you have completed equivalent course work with grade of C or better.

Faculty advisor

When you meet with your faculty advisor, take course descriptions and syllabi for any courses for which you wish to request a waiver. Your faculty advisor is authorized to waive foundation courses. (Note that Academic Advisors are NOT authorized to waive foundation courses.)
If your faculty advisor declines to waive a course and you do not agree, you can appeal to the waiver committee

Graduate Foundation Waivers


All Computer Science Waiver requests go directly to the CS Waiver Committee. Individual CS Faculty Advisors do not determine waivers for CS students Waiver Committee Process o Fill out a CPS change form, check the box for Waive Foundation Course o Attach all supporting documentation o Turn in the form and documents to the Academic Advising Office B3611 Every Thursday, requests are delivered to the waiver committee. Do not take the course until you have a final answer from the waiver committee. Do this as early as possible in your FIRST semester.

WRIT courses No Waivers


WRIT courses (Technical Writing, Intermediate Writing or Advanced
Writing) are

not waived.

Some acceptance letters list one or more WRIT courses. WRIT courses are assigned because of a low GRE verbal or Essay scores and will not be waived. Graduation will be denied until all assigned WRIT courses are completed. Please do not ask Academic Advisors about waivers of WRIT courses. We cannot help you with this issue. If you have issues with WRIT courses assigned, consult your faculty advisor.

Graduate Transfer Credit

To be considered for transfer toward the UHCL Masters degree, a course must satisfy ALL of the requirements listed below. It must be: Listed on an official transcript received by SCE Taken at a university in the United States Graduate level, non-foundation course Earned grade of at least B Taken within the last 5 years Not used for a prior conferred degree

SCE Advisors MUST have official transcripts so that they can list the transfer credit on the draft CPS. Students should take course descriptions to the faculty advisor when they meet to finalize the degree plan. Six hours of applicable transfer credit may be approved directly by the faculty advisor when the student and faculty advisor meet. Upon recommendation of the faculty advisor, an additional 3 to 6 hours may be approved by the associate dean IF the degree also includes at least 24 graduate hours at UHCL .

CPS Changes
You may request changes to your original CPS by filling out a CPS Change form and meeting with your faculty advisor for approval and signature of the change form

If your faculty advisor approves the change, submit the form to the Academic Advising Office, B3611, for audit and Associate Dean approval. You will receive a copy of the change form in the mail, with final approval or disapproval indicated.

Registering for your first semester


UNDERGRADUATE STUDENTS
Follow the 2+2 transfer plan for 2009-2010. Contact an Academic Advisor if you have questions. Be SURE you have the prerequisites for the classes you take.

Avoid taking the following types of electives until you have a degree plan and faculty advisor:

Registering for your first semester

o Refer you to the assigned foundation/WRIT courses in your acceptance letter. o Refer you to your faculty advisor Your first semester it is best to register for assigned WRIT classes (if required), for any foundation classes which you do not plan to question, and for standard core classes for your degree program If you are not sure if you first semester classes are appropriate, or if you must register for an elective, be sure to contact your faculty advisor prior to or during the first week of class, when you can still add and drop.

Grade Point Averages


Cumulative GPA: the average of the grades earned in ALL of the classes you have taken at UHCL in a single career

Semester GPA: the average of all the classes you take at UHCL in a single semester.

Probation and Suspension


GRADUATE STUDENTS Graduate students whose Cumulative GPA drops below 3.00 will be placed on Probation. While on probation, the semester GPA must be 3.00 or better every semester until the cumulative GPA rises to at least 3.00, at which time the student is removed from probation.
If, while on probation, a student earns a semester GPA of less than 3.00, the student is placed on suspension, cannot attend UCHL for one semester, and must request reinstatement. Be aware of UHCLs +/- grading system: The grade of B is 3.00 grade points The grade of B- is only 2.667 points

Changes in the Repeat Rule: For MOST but not ALL classes: If you repeat a class, the second grade, whether better or worse, will replace the first grade when your GPA is calculated. The grade will still show on your transcript but will not count in your GPA or be used toward your degree.

The repeat rule does NOT APPLY to classes that can be repeated for credit.

GPA, Transcripts, CPS ???


GPA: ALL classes you take at UHCL count toward your GPA, whether or not they are on your CPS. Transcript: All classes you take at UHCL will appear on your transcript, which is the OFFICIAL and PERMANENT record of your academic career at UHCL. Your transcript itself does NOT specify which classes were used toward your degree, it simply lists what you took, when, and what grades you made. CPS: The CPS is an INTERNAL OFFICIAL document by which SCE and our auditors tracks your progress and clear you for graduation. Classes you take at UHCL count toward your graduation only if they are on your CPS. Your individual CPS is a private document. SCE does not make it available to off campus entities. (The DPR is also internal only, but is not an official document.) Students are allowed by SCE to take extra classes (not included on your CPS) but you must remember that the grades in extra classes do count in your GPA, and other departments (such as financial aid) may not approve extra classes.

Registration
Current student are assigned Appointment times when you become eligible to register. If you register AS SOON AS you become eligible, your are unlikely to find any of the classes you want are full. If you wait, popular classes may fill. f you are unable to register for a course because it has reached its target seating capacity, and it is necessary for you to take that class in the coming semester, fill out the Filled Class Form. This does NOT GUARANTEE that you will be put in the class, but students will be accommodated TO THE EXTENT POSSIBLE. http://prtl.uhcl.edu/portal/page/portal/SCE/advising/Advising_forms
You may turn the form in to the suite secretary of your division, or turn it in in B 3611. There is space on the Filled Class Form to submit your reason to be considered. If approved, you will be enrolled into the course. After submitting the form and waiting a reasonable time for processing, check your E-services account to confirm that you have been enrolled in the course; then you must submit payment by the fee payment deadline.

Registration

These are known as controlled courses; you cannot register for them online through your E-services account. All Capstone courses and a few other courses are Controlled. You must complete the Controlled Class Form and submit it to the Associate Dean, B3611 If you are a Computer Science, Computer Engineering, Software Engineering, or Systems Engineering major, you may submit the form to the Delta Building, Room 161. If approved, you will be enrolled into the course. After you have submitted the form and waited a reasonable time for processing, check your E-services account to confirm that you have been enrolled in the course; then you must submit payment by the fee payment deadline.

HOLDS
Many departments have the authority to put holds on students which will prevent you from registering. Examples include overdue library books, unpaid parking tickets, balance due to the cashier, or a transcript due to Admissions. Academic Advisors CANNOT help you with any of these holds. When you look at your holds in E-services, you can see who has put the hold on you, and you MUST contact that person or department to settle the issue and get the hold removed. The only holds Advisors control are holds which require you to meet with us are: 1, Probation holds for graduates or undergraduates 2. Excess hour holds for undergraduates only
