Project Management

Project
 Project plays an important role in organization to succeed a
deliverables on time.
 It is a temporary organization which is created for the purpose of
delivering one or more business products according to agreed
business case.
 The things which make project different:-Change, Temporary, Cross
functional, unique and uncertainty.
We need project management method

It is planning ,delegating , Monitoring , controlling all aspects of project.


It helps to achieve projects objectives within a target time , cost
quality , scope , benefits and risks.
Project Manager do:-
• Project manager plans an activity to be done.
• It is responsibility of project manager to work and check if work is in
progress or not according to decided plans.
• If it doesn’t go according to plan then its responsibility of project
manager to check it and try to fix it.
Introduction to PRINCE2
Prince2 is non-proprietary method.
It is a generic methods based on principles and organizations.
It is an integrated framework.
It has 4 integrated elements:-
• The Principles
• The Themes
• The Processes
• Tailoring Prince2 to Project
Principles
• The purpose of Prince2 to provide project scales, types, organization, geography or culture.
• It can be categorized into universal , self-validating and empowering.
• There are 7 principles of PRINCE 2:-
1. Continued business justification:-It derives the decision making procedure and ensures that project
remains aligned to the business objectives and benefits.
2. Learn from experience:- It can be experienced from starting a project, as the project progresses and
project closed.
3. Defined roles and responsibilities:- It has defined roles and responsibilities for suppliers, users and
stakeholders. The project management ask question what expected from me?
4. Manage by stages:- A PRINCE2 is planned , monitored and controlled by stages.
5. Manage by exception:- PRINCE 2 has defined tolerance for each project objective to establish limits of
delegated authority.
6. Focus on Product:-It focuses on and delivery and definition of products according to requirements.
7. Tailor to suit project management:- It is tailored suits project’s size , complexity and risks.
Themes
Themes describe the aspects of a project management in professional manner. It is classified
into 7 themes:-
• Business Case:-The project starts with an idea. How to implement the idea of project and
increase business in organization.
• Organization:- The organization sponsors the project needs. This themes describe roles and
responsibilities of a project.
• Quality:- This themes describes the quality of a project. It is developed to understand the
quality of project.
• Plans:- This theme describe to share the plans of project. If focuses on communication and
control throughout process.
• Change:-This theme request for change.
• Risk:- Projects are risky in nature. This describes how project management manages the
uncertainty in plans and in project environment.
• Progress:- This theme classify decision making process for approving plans , monitoring and
escalation process.
Phases
1. Starting up a project:-The purpose of starting a project is to initiate a project.
• The below activities need to be perform while starting a project:-
a. Appoint the executive and project manager.
b. Capture previous lessons.
c. Design and appoint the project management team.
d. Prepare the outline business case.
e. Select the project approach and assemble the project brief.
f. Plan the initiation stage.
2.Directing a project:- The directing of directing a project process is to enable the project board to be accountable for project’s
success. There is authority to initiate and delivery the project.
• The below activities need to be performed:-
a. Authorize initiation
b. Authorize the project.
c. Authorize a stage or execution plan.
d. Give ad hoc direction.
e. Authorize project closure.
Phases
3. Initiatiating a project:- The purpose of initiating a project is to establishing a project and deliver the project’s products.
• The activities need to be performed:-
a. Prepare the Risk management strategy.
b. Prepare the configuration management strategy.
c. Prepare the quality management strategy.
d. Prepare the communication management strategy.
e. Set up project controls.
f. Create the project plan.
g. Refine the business case.
h. Assemble the project initiation documentation.
4. Controlling a stage:- The purpose of controlling a stage process is to assign work to be done , deal with issues , report progress to the project board and
take corrective actions to ensure that the stage remains within tolerance.
• The activities need to be performed:-
a. Work packages:-Authorize a work package, Review work package , Receive completed work packages.
b. Monitoring and reporting:-Review the stage status , Report Highlights.
c. Issues:-Capture and examining issues and risk, Escalate risk and issue, take corrective action.

5. Managing product delivery:-The purpose of this is control the link between the project manager and team manager , by placing the formal requirements on accepting, executing and delivery
project work.
• Activities need to be performed:-
a. Accept the work package.
b. Execute a work package.
c. Deliver a work package.
6.Managing a stage Boundary:-The purpose is to enable a project board to be provided with sufficient information by project manager.
• Activities need to be performed:-
a. Plan the next stage.
b. Update the project plan
c. Update the business case.
d. Report stage end
e. Produce a exception plan.
7.Closing a project:-The purpose is to provide a fixed point at which acceptance for product is confirmed and all deliverables is done from our end.
• Activities need to be performed:-
a. Prepare planned closure.
b. Prepare premature closure.
c. Hand over product.
d. Evaluate the projects.
e. Recommend the project closure.
Some Important topics
Issue Register:- The purpose is to capture and maintain information on all issues that are being managed.
Issue Report:-It contains the description , impact assessment and recommendations for a request for change.
Issue type:- It can be defined into request for change, off specification and problem/concern.
Risk Management strategy:-It describes the specific risk management techniques and standards to be applied and the
responsibilities for achieving an effective risk management procedure.
Risk Register:-It provides a risk record of identified risk relating to the project , including their status and history. It is used to
capture and maintain information on all of the identified threats and opportunity relating to a project.
