• First Generation of Time
Management based on
notes and checklists
• Managing from 1st
Generation paradigms
– Fun to “go with the flow.”
– People sense that they are
not responsible for
results
• Second Generation gives
slightly more control.
– Seems more responsible.
– Schedule oriented
– Schedule shows no priority
Third Generation of Time
Management adds
prioritization, relative worth,
specific goals, etc.
Third Generation much better:
Still lacks focus on vision.
Does not balance roles
Tendency to overschedule.
• Those bigger, usually not
many, are but the more
important ones.
• They play significant roles in
our lives analogous to the
big rocks as shown.
• That is why, (in Habit #2) we are
to first figure out what our
lives are about.
• Then we move on to define our
personal mission statement,
• So that we would have a
philosophical basis to get a
clear idea of the really
important things in our lives.
• From there, we can begin
to prioritise our 1st
things.
• When we know well
enough what, or who
deserves the best of our
time,
• We prevent “Fillers” from
occupying us.

• Basically, we all spend
time in 1 of 4 ways,
• As you will see shortly in
a time management matrix.
• There are 2 factors that
define an activity:
1. Urgency
2. Importance
• So much so until it
dominates people
completely.
• Like a pounding wave, a
huge problem comes and
knocks them down.
• That slams
them down
again.
• The cycle just
keeps
repeating
until they are
overwhelmed.
• Then, there are other
people who spend a great
deal of time
• In the “Urgent, but not
Important” Q3 (thinking
they are in Q1).
• They spend most of their
time reacting to things.
But the reality is
that the urgency of
these matters:
Effective people stay out
of Q3 and Q4 because:
• They also shrink Q1
down to size
gradually,
• BY spending more time
in Q2.
• Q2 is the heart of
effective personal
management.
• All those things we
know we need to do,
but somehow, seldom
get around to doing,

• Because they are not


urgent.
• The only place to get time
for Q2 is from Q3 & Q4.
• To say ‘YES’ to important
Q2 priorities,
• We have to learn to say
‘NO’ to other activities,
• Sometimes apparently
‘URGENT’ things.
• People can be faulted
on 3 mistakes:
–Inability to prioritise
–Failure to organize
around those
priorities
–Lack of discipline in
execution
• Most people think poor
time management is
result of indiscipline

• However, deep down, it is


inability to hold
priorities in their hearts
and minds – Habit 2 not
internalised.

you to spend time in Q II.
The key is not to
prioritise what is on
your schedule, but to
schedule your priorities.
