The Airline: You need to know which airline you are travelling on. Each airline has
a unique code.

The Airport: Many large cities have more than one airport. International and
domestic airports are often different.

The Terminal: Most airports will have more than one terminal. International and
domestic terminals are often different. You need to know which terminal from
which you will be departing.

Check-in time:

International flights - Normally three hours before departure.

Departure time: Refer to your ticket for each flight.

You could be denied boarding if you check-in late!

Rental Cars

As long as your car rental booking references the CSC Avis corporate discount
#A142000 and Budget corporate discount #V052900 you are automatically
covered for the following insurance:

Free collision damage waiver

Extended limits of third party liability

Keep in mind however there are some Avis and Budget licensee locations that do
not participate in the free insurance coverage. This means these locations may
offer the CSC corporate rates, but do not include the insurance. Avis in
Columbia, South Carolina is an example of one such location.

In these cases you still decline the insurance at the time of the rental, but any
damage to the vehicle caused by a CSC renter is "self Insured" by CSC.

If caused by another driver, then CSC will seek recovery from the faulting party.

Any third party liability claims (bodily injury and/or property damage to others)
caused by our Renter would be reported to CSC's insurance company. CSC Risk
Management would coordinate this with our Renter. It is important therefore
that all rental car incidents or accidents be reported to Risk Management as soon
as possible. CWT or Risk Management can provide accident reporting instructions
and form.

Rental Cars - Continued


The Car lease owner has to surrender the car after the expiry of
the agreement duly signed at the time of taking over the lease
from Avis in US and other locations on the basis of confirmations
sent by Travel Centre.
Extension of the Car Lease in the same owner name can only be
done thru Travel Centre as Avis will not entertain such requests
directly on Company payment. Any such extensions done directly
from Avis, the credit card will be charged of the resource.

issued by TATA AIG.
If your stay is extended on B1 (Business) travel , contact India
Travel Team (indiatravelteam@csc.com) to get an extension on your
Travel Insurance. Ensure you get your insurance extended before
the expiry date.
Verify with travel Centre that you have obtained the proper
vaccinations for the country that you are visiting (primarily required

Insurance Issuance Process


Employee fills insurance request xls sheet and sends it to
skoti2@csc.com
Same gets processed by skoti2@csc.com
The request is sent to TATA AIG help Centre to generate the insurance
certificate.
TATA AIG Help Centre generates the certificates and forwards the
certificate to the employee and to skoti2@csc.com.
Employee gets in touch with skoti2@csc.com in case of extension /
closure of the insurance certificate incase returning earlier than planned.
On completion of the assignment, the employee sends the soft copy of
departure and arrival seal stamped in the passport to skoti2@csc.com

How to register & make a claim


INTIMATION OF LOSS:
Every loss is to be immediately notified to TATA AIG upon the happening or on coming to the knowledge of INSURED. The

International Calling Card - Matrix


To reduce on the cost of international roaming all employee carrying their
official connections on international roaming need to carry Matrix global
SIM cards for calling purposes, the cards will be issued by respective designated
location Admin SPOC.
Employees need to request Admin team 4 days in advance before the travel date
to avail the calling card.
Its the responsibility of employee to carry the Global SIM card failing which the
individual on his return needs to get approval from his NLA & Group head for the
entire amount spent on international roaming along with reasons for not
carrying the Global SIM card.
Users after his return needs to submit the card back to Admin.
Travel team will ensure that the no-dues from Admin is received and only then
hand over the travel documents.
Admin while clearing the no-dues will hand over the SIM card & handset to user
along with tariff plans.

Admin SPOC will be sending the detailed bill with call details.
User shall bifurcate official & personal Calls (mention no personal calls incase all
are official in nature) and revert in 3 working days, after which the same will be
sent to finance for bill processing. Incase of no response in 3 days, as a process
the entire bill will be considered personal and will be recovered from the
individuals payroll.
Incase the handset is lost during the travel, an amount of 5000 (to be discussed
with service provider) shall be charged to employee through payroll recovery.

Please note:- Incase an individual is not carrying an official phone, but due to business
requirement he needs to be on call. The individual needs to get his Sub group head approval

Excess Baggage Charge:

Levied on baggage in excess of the free allowance. The charge is 1.5% of the
highest normal direct adult fare Weight Concept one way economy class (in

Emigration and Customs


Pass through emigration. Embarkation form must be
handed over to the emigration counter.
Indian Customs Declare your laptop and other valuables
at customs. Show Yellow/Blue laptop card issued by CSC
incase you are carrying Company provided Laptop.
It is illegal to carry large amounts of Indian currency out
of the country.
Security Check Pass through security check and await
departure call.

En route
Enjoy the in-flight service, but do not consume excess
alcohol.
Drink plenty of water and/or fruit juices.
Stretch yourself from time to time. These steps will help you
to combat jetlag and arrive in better shape.
Finish any fresh foodstuff that you may have carried with
you on board. You are not allowed to bring fresh and moist
foodstuff into the USA. These rules differ by country.
There are restrictions on carrying medicines. Prescriptions
should accompany medicines.
Transit Points - Do not stray outside the airport, as Indian
nationals require a visa to enter most countries.

What to do in case of loss

Passport: Report the loss to the nearest police authority, obtain


a First Information Report (FIR) and then get in touch with the
nearest Indian Mission which will issue you a temporary travel
document.

Baggage: If the airline misplaces your baggage, obtain a


Property Irregularity Report (PIR) or Lost Baggage Claim form,
before you leave the airport. Many airlines compensate you for
any inconvenience. Damage Baggage reported before departure
from airport.

A: Need to raise VRF (Visa Stamping Requisition Form) & travel request (Travel
Requisition Form International) through Concur. You may contact your reporting
manager for further details. Once the same is filled in & approved, the travel
Centre will initiate the visa processing & will conclude in the International Travel
process.
Q: Am I eligible for the one time travel allowance?
A: The amount will be as per the overseas travel policy if mentioned.
Q: Forex & Insurance, where will I get the same?
A: Refer to Foreign Exchange & Overseas Insurance Slides.
Q: On arrival in another country, who will pick me up?
A: You will need to arrange your own transportation upon arrival.

A: This will be taken care by the CWT travel centre as per your approve travel request
Q: Do I need to reconfirm my tickets?
A: This will be taken care of by the travel Centre for your onward journey.
However you may need to contact the concerned airline to reconfirm the same for
your return travel. Contact the travel centre if you have any changes in travel
plan.
Q: When will we receive the bar codes for US visa appointments?
A: As soon as the passport copy reaches the India visa team, your barcode
process will be initiated, for the barcode to be activated after the cooling period
will be 5 business days. One can contact them at indiavisateam@csc.com
Q: When will we get the passports after interview (US visa)?
A: After the interview day, in 5 to 6 working days the passport will reach India
Visa Team (indiavisateam@csc.com ) under normal working days.

Q: Who will arrange extensions for overseas car booking?


A: This will be taken care by the CWT travel Centre & you need to send the
email to cscindiatravel.in@contactcwt.com and a return confirmation
mail shall be sent to the resource in whose name the lease needs to be
extended as per policy.
