3.1 General Policies and Procedures


3.1.1 Transfer Students
A maximum of 12 semester hours of graduate credit may be transferred into a graduate degree program from non-degree graduate status at Old Dominion University A maximum of 6 semester hours of graduate credit may be transferred from another accredited institution Students must obtain at least a B grade for credit transfer

3.1.2 Course Load

3.2 MS (Thesis) Degree Requirements


Recommended for students who plan to pursue doctoral studies For all students supported by research assistantships Require 24 credits of course work and 6 credits of thesis research The 500-level courses are limited to 9 credits ECE 651 Statistical Analysis & Simulation or a 600-level Math equivalent course is required Remaining courses may be from the recommended course list Graduate courses from other departments relevant to the students research may be taken with the approval of the Advisor and GPD EE students must take at least 15 credits of ECE courses CpE students can take courses from both ECE and CS departments MS students must pass an oral thesis defense examination A successful thesis defense will satisfy the comprehensive examination requirement for graduation

3.6 Policies and Procedures for MS Thesis


3.6.1 Thesis Advisory Committee (TAC)
Before completing 18 credit hours students must petition the GPD to appoint a thesis advisory committee (TAC); use Form 20 http://www.odu.edu/ao/gradstudies/forms/pgradform20.pdf TAC consists of at least three members of the ECE graduate faculty including the faculty advisor who serves as the committee chair TAC will serve as the final examination committee

3.6.2 Thesis Proposal


Submit thesis proposal to the committee chair On approval by TAC, submit a copy of the proposal to the GPD Approval of the thesis proposal shall be obtained before the completion of 24 credit hours of course work and one full semester prior to expected graduation.

3.6.4 Thesis Defense
Submit four typed copies of the thesis (spiral bound) to TAC at least two weeks prior to the proposed date of the thesis defense Submit the title, abstract, time and place of the defense to the GPD TAC will conduct the oral defense examination at the defense allowing time for questions from the general audience

3.6.5 Final Examination Result and Retake of Examination


TAC will determine the result of Final Examination Oral defense examination results will be notified by the TAC chair If the student fails this examination, it may be repeated once at least four months after the initial attempt Corrections to the thesis must be completed before retaking the examination

3.7 Thesis Defense Protocol


3.7.1 Public Thesis Defense
Thesis Defense is a university exam; Honor Code is applicable All appointed TAC members must be present Copies of the candidates presentation materials be given to TAC The TAC chair should introduce the candidate giving brief details of undergraduate degree, research experience, and other relevant materials This introduction should be unbiased towards the exam The chair should also introduce the TAC members and invited guests As the moderator, TAC chair should indicate the candidates presentation time, question and answer session for the public, and whether candidate can be interrupted during presentation After the question and answer session, the public should be dismissed before closed-door exam of the candidate

3.7 Thesis Defense Protocol-Contd.


3.7.2 Closed Door Thesis Defense
All TAC members must participate in the closed door examination of the candidate after the thesis presentation The exam should be relevant to the presentation material, research topic and thesis The exam duration is set by the TAC chair

3.7.3 Thesis Defense Result


The candidate will be dismissed for a closed door meeting of TAC after the exam TAC members will discuss and vote on the pass/fail status of the thesis defense and sign the relevant forms In the case of a failed defense, TAC members are required to provide a report giving suggestions for improvement in thesis/presentation The exam may be rescheduled once after four months

3.8 Policies and Procedures for MS Thesis Submission


Upon successful completion of oral defense, submit the corrected thesis to the GPD along with all signatures in Thesis Acceptance Form 6 and Processing Form 7 The GPDs deadline is 5 weeks prior to the last day of classes On GPDs approval submit the thesis to the Deans Office accompanied by the forms no later than 3 weeks before the last day of classes If the thesis is not acceptable, make corrections and resubmit it before the deadline for Deans signature The final copies of the thesis should be prepared according to the guidelines http://www.odu.edu/ao/gradstudies/publications/thesis.pdf

3.9 Policies and Procedures for ME Degree


All ME students are required to a pass comprehensive examination Request permission to take the final examination using http://www.odu.edu/ao/gradstudies/forms/sgradform23.pdf. The Comprehensive Examination will be administered during the last semester of course work. The Comprehensive Examination consists of an interview with the Graduate Program Director and submission of an essay. The essay topic will be assigned by the Graduate Program Director

3.10 Graduate Seminars


All funded MS students are required to register for 1 credit of Graduate Seminar (ECE 731) Unfunded students are excused from registering for Graduate Seminar. They are required to attend the seminar. Students are encouraged to participate in technical discussions during seminar Seminar schedule can be found here Seminar attendance is mandatory for ECE graduate students

4.1 The Doctoral Program Course Requirements


A minimum of 24 credit hours of graduate-level courses beyond the masters degree or equivalent An overall GPA > 3.0/4.0 Satisfactory completion of at least 48 semester hours of post masters or equivalent level of performance in the curriculum, including 24 credit hours of dissertation research At least 15 hours of course work at the 800 level

4.2 Transfer Credits


A maximum of 12 graduate credits may be transferred Transfer credit will be given to courses from a comparable degree program of an accredited institution. Such courses must be relevant to the ODU ECE program as determined by the GPD Transferred credits must have B grade or better No credit will be given to courses for graduate degree obtained by examination in a correspondence study Students must submit a special request for evaluation of transfer credits through the GPD to the Office of Admissions (use Graduate Form 1) Students must obtain written permission from the GPD before registering for a course at another institution with the intent of transferring the credit into a graduate degree program at Old Dominion University

4.3 Course Load


The maximum course load is 12 hours per semester PhD students who are supported by GTA or GRA awards must take at least 7 Graduate Credits (including Graduate Seminar) per semester during the academic year All students who are supported by GTA or GRA awards during summer must register a minimum of 3 credit hours Fulltime students who have passed the candidacy examination and completed the 48-hour credit requirement except their dissertation (ABD -All But Dissertation) may register for one credit hour with the approval of the GPD and the Vice-President for Research and Graduate Studies, using the following forms: 1 -Hour ABD Notification For Graduate Assistants (Form 28) Reduced Courseload Request (RCL)

4.4 Residency and Duration for PhD Program


Students are required to spend at least two semesters engaged in fulltime graduate study unencumbered by the demands of outside employment This requirement must be completed within four years from the date of initial registration All requirements for the Ph.D. must be completed within eight calendar years from the beginning date of the initial course following admission to the doctoral program

4.5 Faculty Advisor


Graduate students will coordinate with the GPD to identify a Faculty Advisor Faculty Advisors will be selected giving considerations to students wishes and areas of research interest, and faculty workload and preference The selection of a Faculty Advisor will require GPDs approval The Faculty Advisor is responsible for the graduate students curriculum plan, research guidance and dissertation defense The curriculum plan will require GPDs approval

4.6 Study Plan


PhD students should plan their degree program with the advisor Consult the GPD and advisor before registering for the first semester Prepare a curriculum plan using the worksheet in consultation with the Faculty Advisor Submit the curriculum worksheet (electronic file) to the Faculty Advisor for approval Faculty Advisor will forward the curriculum worksheet to the GPD for final approval Prepare a research plan in consultation with the advisor Update curriculum and research plan each semester

4.7 Advisory Committee


GPD will appoint students Advisory Committee before the end of the first semester in accordance with the Ph.D. Advisory Committee Form (Graduate Form 13) The committee consists of at least three faculty members (two from the major area of study and one from outside the major) in addition to the students Faculty Advisor The Dean is the approval authority for all guidance committees The GPD will forward the nomination of the committee to the Dean The Dean is an ex-officio member of the Advisory Committee Changes in committee membership may be requested using Graduate Form 14.

4.8 Writing Proficiency Examination


Graduate students admitted to ECE programs are expected to have good writing skills Writing assessment and training services are available in BCET to those students who require writing proficiency improvement as determined by their faculty advisors Faculty Advisor/GPD may recommend the students for writing assessment The students who want to improve writing skill are advised to undergo training and achieve satisfactory level of writing skills during the first year of their graduate studies

4.9 Diagnostic Examination


Students are required to take a Diagnostic Examination prior to the completion of 9 credits This examination will be designed to appraise the students ability to pursue a Doctorate in Electrical & Computer Engineering and it will facilitate counseling the students in the development of the study program

4.9 Diagnostic Examination Contd.


Diagnostic Examination Policy 1. Exam will be administered by the ECE Graduate Committee three times a year at scheduled dates and times. These exams will be conducted in October and April during the Fall and Spring semesters respectively. No exams will be offered at any other times. 2. Ph. D. students must take the exam and pass within the second semester of study in their Ph. D. program. This will be a continuance requirement and may affect the students financial support 3. 4.9 Diagnostic Examination Contd.


Examination Policy-contd. 4. The Graduate Committee will evaluate the results graded by the faculty. A recommendation will be made to the Advisory Committee for final evaluation of the results and subsequent actions if necessary 5. 4.9 Diagnostic Examination Contd.


Examination Policy-contd. 5. Contd. Each group except Math will have at least three questions. Math group will have four questions. Students may not answer more than three Math questions. Students must attempt a total of 8 questions. 6. The MATH group will have questions in Differential Equations/Complex Variables, Linear Algebra, Vector Calculus and Probability Theory, Statistics, and Random Variables. 7. The results will be reported using Graduate Form 10. Candidates will have no more than two attempts to pass the diagnostics examination. Both attempts must occur within the first year of study. Failure to do so will result in termination from the Ph. D. program

4.10 Submission of Formal Study Plan


Students will complete a formal plan of study with the help of their advisor based on the results of the diagnostic examination Plan must be approved by the guidance committee and GPD The Study Plan will be filed with the GPD before the end of the semester during which the student completes 9 semester credit hours and before registration for subsequent semesters. The formal Study Plan will include no less than 24 post masters level semester credit hours of course work, a dissertation topic and provisions for meeting special departmental requirements such as proof of research skills Use PhD Curriculum Worksheet for the study plan

4.11 Candidacy Examination


Candidacy exam will be administered by the Advisory Committee Students must have GPA > 3.0/4.0 on all course work to be eligible to take the candidacy exam Candidacy exam request is submitted using Graduate Form 15 Exam must be taken within the semester in which all course work will be completed Candidacy exam consists of a written and an oral section, and students must pass both sections The written exam will be given first and will consists of a take home exam or review of key journal papers in the general research area of the candidate At least two topics will be assigned by the guidance committee members other than the Faculty Advisor

4.11 Candidacy Examination Contd.


The oral part consists of presentations of the two assigned topics The committee will discuss the results in closed-door Two or more negative vote from Guidance Committee on either part constitutes a failure Students have two opportunities to pass the written part A failed written part must be retaken after six months but within one year Students have two attempts to pass the oral section A failed oral part should be retaken within three months of the first attempt The candidate will present dissertation topic to the committee at a later meeting within one semester, after passing the written and oral parts A reasonable duration of each presentation (oral part or dissertation topic) is two hours: including questions and answers

4.19 Dissertation Defense


Defend the dissertation at least six weeks prior to the end date of classes in the semester of expected graduation Submit typed copies (spiral bound) of the complete dissertation, to dissertation advisor and each member of the committee at least two weeks prior to the scheduled defense date Submit the title, abstract, time and place of the defense to the GPD The dissertation defense of the student will be conducted by Dissertation Committee Chair who is appointed by the GPD A member of the graduate committee/graduate faculty nominated by GPD will serve as the Dissertation Committee Chair Students success or failure in the oral defense will be determined by a majority vote taken by the dissertation committee in closed session immediately following the defense Students dissertation committee chairman will inform the student of the result and submit Graduate Form 10 to the GPD In case of failure, the dissertation committee may recommend that the candidate be dropped or be allowed re-examination at least three months after the first examination.
