Overview of Admitting department


Admitting department - admitting, transfer & Discharge of patients. Patients first point of contact with the hospital. Efficiency of the department is measured by time taken for the services. Due to economic constrains in some hospital the functions is enlarged to include reception, Round the clock enquiry, this is what called as CPS(Centralized Patient Service). Data collected during admitting process is vital to the quality of care the patient receives.

DURING ADMISSION Handling the patients and their relatives those will be in mental stress. Delay in efficiency can cause emotional trauma. DURING DISCHARGE Because of lack of information, delay in preparation of bills & inefficient working This results poor bad impression

Functions
Admit, Transfer& Discharge. Check master patient index for any previous file of the patient. Maintaining a bed index. Arranging for patient escort Hospital representative should have one-on-one basics is recommended. Disseminate info relating to admission/transfer/ discharge/death to department concerned.

Patient interview. Accept reservation for scheduling future admissions. Coordinate pre-admission in case of elective admissions in order to reduce actual time for admission process. Computing payment for pre Admission

Locations
Should be situated on same level as the hospitals main entrance. Should be readily identified Provided with a sign from hospitals main entrance/reception area. Should be adjacent to Emergency, OP, Medical records, Cashier. For increased operating efficiency Admitting & medical records dept should be adjacent.

Design
It should be in range of (1000-2000 sq.ft) in multi- speciality hospitals Admitting and discharge should be in pleasant and comfortable environment. Hospital rep should interact on one-one basics. Special care in Dcor & Furniture. Place to keep patients belongings, telephone, information desk , etc.
Admitting /discharge of patients should not be through main lobby or in the midst of heavy traffic.

Design
There may be a Screened alcove or a Sub-lounge to avoid noise. Admitting dept should have seating capacity for relatives & must be comfortable for patients.

Organization
Relationships with various departments is necessary. Esp between medical records & registration departments. Staffs with general office skills on accounting, medical terms, medical records is needed. Computer knowledge is necessary. 24*7 Functioning Dept.

Space Requirements
Waiting area should be large. Admitting reception area whom receives/records/ coordinates following their admissions. Wheel chair holding area should be readily accessible. Supplies room Space for computer & office equipment. Clerical work area for maintaining hospital occupancy directories, records, forms etc.

Space Requirements
Office of chief / supervisor of admitting. A small vault if dept receiving prepayment and patient valuables during night. Individual workspaces for patients & admitting officers, large enough to avoid crowding. Privacy is essential.

Other Considerations
Admitting and computers Important departments that extensively uses computers Stand-alone computer>Hospitals wide network Online information system that updates bed vacancy, status, room status etc Common database is maintained.

Day surgery & AM Admit: In Day surgery cases admitting department needs to take pre-surgery tests and patients can be admitted on previous day to be prepared. Admitting department coordinates these functions.

AM Admit: In cases of AM ADMIT, when patients get admitted early morning on the day of surgery. Paper works for these cases has to be done and dept opens it doors early as 5:30-6:00 am.

Public relations
This dept in responsible for the external relationship between patients and hospital & inter departments too. A positive relationship is generated with brochures or booklets during admission. Staff should be courteous and friendly for good everlasting impressions.
