GENERAL INTRODUCTION

In the modern world of tough competition and rivalry among the companies it has become necessary that one should be able to understand each and every aspect of the functioning of the organization than only concentrating on his work alone. Through the study we will get awareness about the functioning of the organisation, its organisation structure, vision & mission , communication pattern etc. In India, major occupation is agriculture. It is the backbone of our economy .But in recent years, the productivity in agriculture sector has been declining. Farmers lack knowledge about use of various good chemical fertilizers in our country . It affects the performance of agriculture sector. The second World war resulted in a severe food crisis. It resulted in import of large quantities of food grains from other countries. Large amounts were spent for import of food grains. At that time the farsighted administrator of Travancore

Dr.C.P.Ramaswami Iyer paved the way for setting up a chemical fertilizer factory in an unheard village of Kerala to grow more food using the wonder replenished chemical fertilizer. Thus FACT established at Udyogamandal on the banks of the

river Periyar in 1944 . It was since then the largest fertilizer manufacturing company in India. FACT was since then the first large scale manufacturer of chemical fertilizer of the entire country. The company's main business is manufacture and marketing of (a) Fertilizers (b) Caprolactum and Engineering Consultancy and Fabrication of Equipment This organisation study was conducted at Udyogamandal division of FACT in partial fulfillment for the requirements for award of Degree Master of Business Administration(MBA) of Mahatma Gandhi University, Kottayam during May 2011 The study includes the objectives of company, functioning of various departments, organization structure of company etc.

The organisation study helped to understand the working of an organisation. In order to understand how different management principles are applied in the organisation this organisation study helped very much. To get practical knowledge about the organisation in detail this study helped.

NATURE OF FERTILISER INDUSTRYFertilizer is generally defined as any material, organic and inorganic material or synthetic, which supplies one or more of chemical elements required for the growth of plant. The nutritional requirement of the soil keeps on increasing in the coming years. The fertilizer industry must be healthy enough to meet the requirements of nutrients and attain a reasonable level of self-sufficiency

WORLD SCENARIO
Use of manure and fertilizer as old as agriculture itself. Some other materials like wood ash from burning the fallen trees, cattle dung were used in earlier years. Then the fertilizer industry was developed & the agriculture sector developed. The disappearance of frontiers companied with the improvements in the technology of fertilizer manufacture & more transportation led to a growing role fertilizer for producing the needed food & fibre. Important fertilizer producing countries in the world are Russia & USA. Other leading countries include China, Canada, France & India. In US the fertilizer industry has separate segments for producing and marketing nitrogen, phosphate or potash intermediates and products. In European Union, there are several regulations

regarding health & safety conditions of employees & general public, regulations regarding the safe storage & transportation of materials etc. They try to minimise the environmental impact using such regulations also.

INDIAN SCENARIO
In India several people depend on agriculture for their livelihood. Here agriculture contributes 25% to GDP. There is wide scope for fertilizer industry. With technological advancement fertilizer industry is also developing. There is advanced manufacturing practices, innovative new products developing etc. After the 2nd world war a severe food crisis happened in India. Our agricultural production declined. Then we had to import large quantities of food grains from other countries. In order to meet our own requirements, several fertilizer plants were established. The first plant was established in Chennai. Then FACT, FCI etc established. The Fertilizer And Chemicals Travancore Ltd (FACT) at Cochin in Kerala & Fertilizers Corporation of India (FCI) , Bihar were the first large sized fertilizer plants set up in the 40s and 50s with a view to establish an industrial base to achieve self sufficiency in food grains. Then, green revolution in late 60s gave a faster growth of fertilizer industry in India. Later period fertilizer production capacity. Later, more fertilizer plants were established in different parts of the Country & thereby assortment of assortment of fertilizers like Phosphatic Acid, Ammonium Sulphate etc grew more witnessed a significant addition to the

The state has good fertile land & suitable climate for agriculture. Even though the states agricultural productivity is decreasing year by year. Especially production & cultivation of commercial crops like rubber shows declining trend in production.. Industrys production had shown increasing trend during past few years. Industry leaders sought Governments support in reducing the time period for mandatory environmental clearances for setting up chemical units. The industry also urged Government to take necessary steps to bring down petroleum products prices, which would reduce raw materials costs.

HISTORY OF FACT
THE BEGINNING
In India agriculture has very much importance. It is the backbone of our economy. We have been tilling the land & reaping the harvests for hundreds of years . Later we reached in a situation where land became less bountiful, yield became lower. We had to depend imports of food grains to meet our own requirement. The major reason was land lost its fertility through repeated cultivation over the long years. We used organic manure & other old methods for farming purposes. Advanced countries had

discovered the answer to this problem by use of chemical fertilizers. Later India also imported chemical fertilizers for our requirement. The second world war resulted in a severe famine & there was a huge food crisis. Situations made us to think. Chemical fertilizer was the answer, But we didnt have the technical know- how or raw materials .At that time the farsighted administrator of Travancore Dr.C.P.Ramaswami Iyer paved the way for setting up a chemical fertilizer factory in an unheard village of Kerala to grow more food using the wonder replenished chemical fertilizer. Thus FACT established at Udyogamandal on the

banks of the river Periyar in 1944 . First chairman was N. Gopalaswami. FACT was since then the first large scale manufacturer of chemical fertilizer of the entire country. In 1947, FACT Udyogamandal started production of Ammonium Sulphate with an installed capacity of 10,000 MT Nitrogen. FACT became a Kerala State Public Sector Enterprise on 15th August 1960 and 21st November 1962, the Government of India became the major shareholder. The company's main business is manufacture and marketing of (a) Fertilizers (b) Caprolactum and Engineering Consultancy and Fabrication of Equipment

GROWTH & EXAPANSION OF THE COMPANY


The company started commercial production in 1947 with the installation of Ammonium Sulphate plant with productive capacity of 50000ton. Later other plants were established for super phosphate with 44000ton productive capacity & sulphuric

plant with productive capacity of 75ton/day was established. FACT was 1st used chlorine as the byproduct for production of Hydrochloric acid & Ammonium Chloride In 1950s were the 1st stage of expansion with 3crore outlay for installation of plant to produce Phospheric acid, Ammonium Phosphate etc. FACT became public sector enterprise in 1960. In second stage of expansion was in the year 1962. The outlay was 2crores & there were replacement of firewood gasification & electrolytic process by toxic oil FACT Engineering and Design Organization was set up on 24th July 1965 to meet the emerging need for indigenous capabilities in vital areas of Engineering, Design and Consultancy for establishing large and modern fertilizer plants. FEDO has since then diversified into Chemicals, Petrochemicals, Hydrometallurgy,

Pharmaceutical and other areas. FEDO offers services from project identification and evaluation stage to plant design, procurement, project management, site supervision and commissioning of new plants as well as revamping and modernization of old plants. The third stage was completed in 1965 with setting up of a new Ammonium Sulphate plant. FACT Engineering Works was established on 13th April 1966 as a unit to fabricate and install equipments for fertilizer plants. Over the years FEW developed capabilities in the fabrication of pressure vessels and heat exchangers. FEW has also undertaken laying of cross country piping and fabrication and installation of large penstocks of hydel projects. The Cochin Division of FACT, the 2nd production Unit was set up at Ambalamedu and the 1st phase was commissioned in 1973. The 2nd phase of FACT Cochin Division was commissioned in 1976

DIVERSIFICATION
FACT then grown & diversified into a multi-division /multi-function organisation with Basic interest in manufacturing & marketing of fertilizers & petrochemicals, Engineering, Consultancy & Design & Fabrication & erection of industrial equipments.

OWNERSHIP PATTERN & MANAGEMENT OF THE COMPANY


FACT comes under Schedule A category Government of India enterprise, under the Administrative control of department of fertilizers in the Ministry of Chemicals and Fertilizers. FACT was incorporated in 22/09/1943 and in 1960s the Government of India became the major shareholder. The company is managed by a board of directors. The chairman of the Board of Directors is the Managing Director. The company has a full time finance director, a technical director and marketing director. .There are also six part time directors on the board, nominees of the central and state governments.

activities do as parts of CSR are 1.Dealer network They has an important role in marketing of fertilizer over the entire country. They also provides important knowledge on use of fertilisers & helps to improve Agricultural practices.

2.Community health centre The community in which factories at Udyogamandal & Cochin division are located Are given free medical consultation services on 2 days in a month. This has benefitted the people at large. 3.General health insurance FACT has joined hands with Government of Kerala to introduce a general health insurance for about 3000 families residing in Eloor Grama Panchayath. 4.Drinking water supply To meet the scarcity of water in Eloor Grama Panchayath, FACT is providing about 1500 M3 water per day to more than 500 residential users of the Eloor Grama Panchayath. 5.Fire and Emergency Services The well equipped fire services established in FACT provide emergency services not only to the surrounding areas but also to Ernakulam district as well. 6.Training facilities In addition to Employees and Apprentices Training, FACT Training Centre has of late emerged as a Skill Development Academy offering the following courses, utilizing its resources for the benefit of the public at large: One year Diploma in Fire & Safety Engineering for ITI/Plus 2 passed students. 3.months Certificate course in Heavy Equipment Operation. 3.months Certificate course in Instrumentation & Maintenance. 7.Community Awareness There are several community awareness programmes provides on the areas of safety, pollution control measure in plants, onsite emergency plan through public relation department. 8.Hospitals

There are two full-fledged hospitals, one each at Udyogamandal complex & Ambalamedu respectively. These hospitals provide both inpatient and\outpatient

treatment to the company employees who are members of the contributory health scheme. The hospitals also extend their service to those who are not members

DIVISIONS OF COMPANY
1. UDYOGAMANDAL DIVISION

FACTs one of oldest plant which started production of Ammonium sulphate using firewood gasification process in 1947. Later it has gone through expansion process with modern technology. Today it has an installed capacity of 76050tonnes of N & 29700 tones of P205 . Apart from fertilizers like Ammonium Sulphate & Ammonium Phosphate sulphate, it produces chemicals as intermediate products like sulphuric acid, phosphoric acid, Sulphur dioxide etc. Ammonium Sulphate liquor obtained as a byproduct from the Caprolactum

plant is converted as a useful fertilizer product in a new Ammonium sulphate plant 2,25000 TPA capacity put up in October1990 , at a cost of Rs35crores. As a replacement to the existing high energy consuming old Ammonia plants at Udyogamandal ,a new 900 TPD capacity Ammonia plant at a cost of Rs 642crores was put up in March1998. FACT Udyogamandal plants received ISO 14001 certification in March 2004 conforming to the Environmental Management System standard
2. PETROCHEMICAL DIVISION

This division of FACT manufactures Caprolactum, the raw material for Nylon-6, which is extensively used for the production of tyre -cord, textile filament yarn & engineering plastics. FACT, one of the only two manufacturers of this product in India has the capacity to produce 50000 MT of Caprolactum in a year. FACTs Caprolactum, exported to

various countries including the USA, not only earns precious foreign exchange but also appreciation on account of its excellent quality. The Caprolactum plant also produces 225000 MT of Ammonium Sulphate/year as coproduct & small quantities of Soda Ash & Nitric Acid, as by-product The plants has been certified ISO 9001: 2002 since April 1996 by RWTUVGermany & ISO-14001 since December 1999 by DNV, Netherlands
3. COCHIN DIVISION

FACT Cochin Division was set up in the 1970's at Ambalamedu, 30 km from Udyogamandal and adjacent to the Cochin Refineries. Phase-I of the division saw the setting up of an integrated Ammonia urea complex utilizing Indian Engineering skills. A large scale complex fertilizer plant of 485,000 TPA was set up as phase-II. Sulphuric acid and Phosphoric acid plant of economy scale were also set up
4. FACT ENGINEERING & DESIGN ORGANISATION

For utilizing the considerable indigenous plant building expertise accumulated by FACT in its process of nurturing the nascent chemical fertilizer industry, FACT Engineering & Design Organisation was established. It entered into many industrial Sectors like petrochemicals, refining, pharmaceuticals, hydrometallurgy etc as well as Petroleum storage, environmental engineering, offsite facilities etc. The major work of FEDO is project execution on consultancy and turnkey basis, design and engineering, hardware procurement and construction with practiced ease .FEDO is an ISO 9001certified project consultancy organisation FEDOs multi disciplinary project functions are carried out to ensure world class standards in process economics & plant performance through various departments. The overall project management & construction management are the responsibilities of Project & construction groups.

5.FACT ENGINEERING WORKS

FEW, the Fabrication and Engineering Division of FACT was established in the year 1966.It is one of the leading contracting firms in the country offering services through the manufacturing wing with modern fabrication and testing facilities. Present range of equipments fabricated by FEW includes items like Heat Exchangers in Carbon Steel, Alloy Steel, Penstock Pipes, and Towers etc. Since 2006 FEW has also been producing ship building components. Project wing of FEW undertakes design engineering, fabrication and erection of plant piping etc. It can also handle the design, fabrication & erection of large size Storage Tanks including Ammonia Storage Tanks, Vessels etc. The quality system of Manufacturing Wing as well as Project Wing has been certified to ISO 9001 since 1998.
6.MARKETING DIVISION

When FACT became the first large scale producer of chemical fertilizer in India the full responsibility for selling the fertilizer concept to the tradition bound farmers also rested on the company. The farmers were reluctant to try the new product. Then FACT understood the need to persuade the farmers to buy the product with necessary instructions. Then FACT under took the responsibilities of fertiliser promotion programme with a well structured dealer network. They also used multi media publicity campaign. like the press , cinema, the outdoor and other forms of printed word, also under took demonstration , farming on farmers own plots, where the farmers in neighborhood could come and watch for them-selves the activities and the transformation taking place right before their eyes. THE FERTILISER FESTIVAL was a novel idea introduced by FACT in fertilizer promotion. This was a real media in which there were opportunities for farmer education programmes, entertainments, recreation and exchange of ideas.. THE VILLAGE ADOPTION SCHEME was another new concept developed by FACT for the first time in the country. A whole village was adopted and a scheme to

improve agricultural productivity and the overall socio- economic status of the village was launched. As a result. FACT has so far adopted more than 100 villages in the states of Kerala, Tamil Nadu, Karnataka and Andhra Pradesh. FACT AGRICULTURAL STUDY CENTRE (FACT Krishi Vigyan Kendra) was a new experiment in agricultural extension work. These Kendras operated in villages on a rotating basis and trained farmers in modern and scientific methods of cultivation. Regular fortnightly classes were arranged by experts in the concerned fields for a period of six months. FACT marketing network is spread over the states of Kerala, Tamil Nadu, Pondicherry, Karnataka & Andhra Pradesh and has around 100 field storage points and 7000 retail selling points in these states. The total sale of fertilisers during 20092010 was 10.45 Lakh Mts.

ACCOUNTING PROCEDURE
FACT is a central Govt enterprise. As a multi unit organisation there is a specific accounting procedure in this company. There is a uniform classification in the financial accounts to be followed by all the units. To record all the transactions of units, a nine digit code number is used. BUDGETING
A budget is a financial quantitative statement of the policy to be pursued during a period of for purpose of attaining a specific objective. It is a financial statement of estimated receipts & expenditure for a year. Revenue budget
Control of revenue expenditure is achieved through the revenue budget for the next financial year and revisions of revenue budget for the current year are taken up together. Capital budget
The capital budget shows all the items of capital expenditure to be undertaken during the budget period. Generally, expenditure on acquisition of new asset such as land, building, plant & machinery, furniture ,service equipments etc which have reasonable life, expansion of existing facilities, modification & improvements etc. Both the budget is usually prepared during September-October every year. Moreover, two types of estimates are prepared for both the budget that is the Revised Estimate (RE) and Budgeted Estimate (BE) Revised budget for the current year RE is the and BE is the budget for the next year. PROCEDURE FOLLOWED When a material is received, the stores officer inspects the items and is approved by the stores manger for holding in the stores after verification. The store in charge allocates materials to the specified shelf and records the data in the Bin card. The

store officer updates the data in the MIS. And for issue of materials, the requirements forwarded by the departments is verified and approved by the manager for dispatch. The issue is and recorded in the MIS. However, for disposal the list of items to be disposed is forwarded to the management by the stores. Approved items are disposed or sold for scrap value and recorded in the MIS. Store is responsible for all activities for ensuring inventory control, commissioning of codes and disposal of scrap. Materials move into store only after inspection conducted by store employees. Technical department help is sort wherever required. Obsolete items are disposed.

STOCK VERIFICATION
Stock verification is done by physical stock verification Team (PSVT) are attached to finance department. A and B items are verified once in a year and C items once in 2 years. For those which are not covered under ABC analysis XYZ is taken and frequency of verification is once in a year for X& Y Items and once in 2 years for Z items. Along with this officer, stockholding in-charge verifies stock daily and submits the report to PSVT and when they come for inspection, the deviations in the report are clarified.

A-B-C Analysis ABC analysis is prepared by the computer centre based on the value limit sof: A Items > Rs 50,000, B Items < Rs 50,000 and > 5,000 and C Items <Rs 5,000. Computer centre prepares the list on basis of annual consumption. Accordingly, items A are given more attention and require more control. F-S-N Analysis Here, analysis is based on the consumption rate. Items moved within the last 5 years may be classified as Fast moving(F), and those moved between last 5 to 10 years are slow moving(S) and those not moved within last 10years are non-moving(N). The last two groups are reviewed further to decide on disposal. X-Y-Z Analysis This analysis is done on the basis of stock in hand at the end of the financial year. 80% value of total inventory is labelled as X, 15% value of total inventory as Y, 5% value of total inventory as Z. FOR SPARES V-E-D Analysis - Vital (V), Essential (E), and Desirable (D) Vital are those spares whose non-availability results in very high production downtime loss and/or entails very high cost due to emergency purchase. Essential spares are those whose non-availability is expected to cause moderate production down-time. 3. Based on installed production capacity of the plant and production data for the previous year annual production targets for the next year are prepared . Necessary feedback is also taken from marketing department while fixing the production targets. INTRODUCTION
In FACT the research began only in 1962 with just 4 scientists in a small scale. In later years this has grown to a highly integrated division with a team of about 12 personnel. The department has been approved by the ministry of science and technology for in house research and by the ministry of environment and forests, Govt. of India. FACTs well-equipped R&D section has advanced facilities equipped with pilot plants , modern equipment and accessories with team of highly motivated research scientists. Here important processes have been developed & patented and some of them were commercialized successfully. A variety of tests confirming the Indian & international standards has been carried out here. It has a well equipped laboratory with modern facilities. FACT has won Indian Chemical Manufacturers Association Award twice for outstanding performance in development of technology and export of technology.

BENEFITS DERIVED
R&D centre has produced 83.42MT of Bio-fertilizers during the year 20092010 And dispatched 72.2MT for distribution to all southern states. Based on the study, 2 alternative methods were suggested to use off grade Ammonium Sulphate from purge incineration section of KHI plant, in 150 TPD plant without affecting the quality of the final product. The trial run using strong Phospheric Acid & 40% Oxime Ammonium Sulphate Liquor has been successful in all respects & the scheme was implemented for the benefit of FACT.

In FACT there is more importance in pollution control activities. It has already invested 500 million in specially up plant at Udyogamandal, Petrochemical and Cochin Division with recurring Rs 120 billion annually. INTRODUCTION
In FACT, the computer service department began in 1965. Firstly it was introduced for finance department to handle the data processing very quickly. Later it spreads into other departments. Now it plays a major role in the functioning of the company. This centre is established in order to meet the growing needs for management information and for engineering and commercial applications. This multi system computer service centre is continuously updating its hardware and software. They started the online computing in 1986 with the Olympia/ 32 machines. In 1990 the FACT network was established using LAN and WAN in 1997 internet facility was introduced. In the year 1998 the FACT website was launched (www.factltd.com) in 1999, fact together with TATA Consultancy Services developed its online integrated information system. This system maintains the general ledger, bills payable, bills receivable, assets, material accounting, stores, purchase management, production, product dispatch, raw materials, central excise, insurance, budgeting, costing, maintenance, human resources etc. In the year 2000, SUN E250 servers were installed for OHS in all divisions.

Distribution of products at right time is a major function of distribution department.The top most authority is Chief Distribution Manager who is responsible for planning, monitoring & implementing of product distribution & coordination. These operations follows a centralised pattern. The marketing network of FACT spreads over southern states like KeralaTamil Nadu, Pondicherry, Karnataka & A.P. There are 4 area office and 16 regional offices in each state. The distribution network consists of 100 Agro service centres, 50 field storage points and over 7900 retail selling points. The department is transporting finished products from the plants to different

depots or to customers. The product is covered with HTPG bags and each weighs 50 Kg. The product is transported mainly by Lorries, trucks or railways. At Kalamassery & also at Cochin division, there is private railway siding for FACT. A full rake takes 2200 tons & half rate takes 1100 tons of the products. A go down is at Kalamassery where fertilizer is stored. When the product reaches the size of a rake it is transported. Based on tenders, Lorries & trucks for transportation ischosen. Tender is called by the transportation section in the materials department

Exports are mainly going through shipments & rail. Sealed containers are used for shipment transport while exports through rails depend on rake allotment by railway. For loading activity FACT has its permanent workers. When it goes back again weight is taken with the load. There were not many losses during the transportation but heavy rains can damage fertilizers.

This method is employed to impart knowledge and skills in the employees in general areas which enable them to perform the job better. The main objective of this programme is personality development such as leadership quality, communication skills, attitude change etc. These methods consist of lectures, conference, group discussions, case studies, role playing and transactional analysis. Off the job training is carried out with the help of internal or external faculty on the basis of their availability and suitability. Examples of programmes conducted by internal faculty are fire fighting training, employee development programme, fire and industrial hygiene, safety etc. Some of the external organizations which provide training programme in FACT include National Productivity Council, Confederation of Indian Industries, National Safety Council and Regional Labour Institute. Some of the technical programmes conducted are innovative approach in industrial pollution control, instrumentation and energy conservation of boiler operations and maintenance of bearings.

With commercialization of its production at Udyogamandal, it began its expansion stage to Cochin division and finally to petrochemical division. But the reigning period of FACT came to an end with the scarcity and skyrocketing prices of raw materials. It could hardly do anything to save its declining trend as the product pricing is done by the Govt. of India. The show case example has been the drift of the company to loss even after making a record production in 1999-2000 During the year 2008-09, the production and sale of all products have shown substantial increase despite abnormal increase in raw materials prices and its limited availability. The companys overall performances during the year 20008-09 was greatly affected by the sharp rise on the prices of key raw materials also especially sulphur and naphtha in the first quarter of the financial year and global recession in last 2 quarters. Performance of the company during the first quarter of the financial year during 2009-10 shows a loss of Rs. 3452lakh as against the profit of Rs. 112lakh during the corresponding period of the previous yaer. The loss during the first quarter of 2009-10 was mainly on account of annual return around carried out during April/May 2009 and lower level of operation of Caprolactum Ammonium sulphate plants due to shortage of Benzene
