Leave Policy w.e.f.

1st April 2010


The leave policy as per Company norms: 1. Casual Leave (CL) 7 Days for the year. It lapses at the end of the year An Employee is entitled to seven days leave with wages in a calendar year The leave is credited on 1 April every year to the employees leave account Casual leave is leave of short duration of three days maximum, at a stretch, to meet unforeseen emergent circumstances. It requires the employee to intimate and get the leave sanctioned. Casual leave cannot be claimed as a matter of right. Granting casual is sole discretion of the management and subject to exigencies of work of the company Casual leave will not be granted in conjunction with EL but can be granted when prefixed to SL Anyone proceeding on CL must apply for it on the prescribed form and submit it at least one day in a advance to the Functional Head / HR Dept ( Delhi,NCR Ms Shilpam Kalra, Kolkata Sales Office Ms Seema, Kolkata Corporate office Ms Barnali) In case of an emergency where advance sanction of leave is not obtained, the employee must apply for it immediately on the day he/she resumes duty. During the first six months of service the principle of earn and avail shall apply.

Sick Leave (SL) 7 days for the year. It lapses at the end of the year. An Employee is entitled to seven days leave with wages in a financial year (April to March). Sick leave is credited on the first day of April every year. Sick leave beyond two days will be granted on production of medical certificate by medical practitioner. Any new employee joining in between the financial year will be entitled to leave on pro-rata basis.

3. Earned leave (EL) 16 days for the year.

To avail the earned leave, it is mandatory for the employee to take more than five days leave at a stretch. If an employee has availed his entire casual and medical leave, and he takes one day off, it will be treated as leave without pay.

Encashment of Earned Leave: Encashment of earned leave will be allowed to all regular employees. Employees under suspension will not be eligible for encashment of earned leave. Encashment of earned leave will be allowed only after completion of every two years of services. Encashment cant be done on pro rata basis. Leave Encashment calculation will be done on last drawn basic pay and on the basis of 30 days a month. (Encashment on only basic salary)

4. Maternity leave All Women Employee of Hi Tech are entitled to maternity leave only on confirmation after the probation period.

All Govt. holidays as per the list circulated by the company at the beginning of the year All Saturdays are half day Office timing is from 9.30 to 6:00 PM Lunch time is 1.30 to 2.00 PM Any other type of Leave will be informed as per policy decided on the same. All location should keep attendance register and leave register as per shop & establishment Act.

Prior permission will be taken for leave as given below : Immediate Superior is only authorized to sanction upto 1 days leave More then 1 day has to be informed and prior sanction taken from Regional Head\ Manager Tech Support\ D. Misra for Accounts, Commercial\HR ( Ms Shilpam) A medical certificate from Certified Practitioner has to be given for Sick Leave beyond 2 days Any person being absent without leave for more than 2 days without giving a reason is treated as terminated from services. (Exceptions are not the rule). No Show Cause notice will be issued. Intervening Sundays and Holidays falling within the spell of earned leave will be counted as earned leave. However, the holidays preceding and/or succeeding the leave period shall not be counted as leave.

GENERAL RULES No leave can be claimed as a matter of right. Sanction of leave is always subject to exigencies of work and at managements sole discretion. Mere submission of application for leave shall not be deemed as to leave having been sanctioned. Leave requests will only be submitted to the line manager/Department Head. Under no circumstances will the leave request be made to the top management directly. Line manager will be responsible for recommending/sanctioning the leave and planning of work in absence of the employees. In the event of an employee proceeding on leave before the leave is sanctioned, the employee will be treated as absent without permission. Except in case of emergency, no leave will be availed, without prior written sanction (e mail). In case of emergency, telephone intimation must be received by the

concerned Department Head within four working hours on the first day of absence, failing which the absence will be penalized as unauthorized absence. When leave is required for more than 4 days at a time, the leave application shall be submitted at least 10 days in advance. Extension of leave shall be allowed only if sanction is obtained before expiry of leave already sanctioned. This condition will be relaxed in cases of emergency such as those of accident, sickness, death in family and other unforeseen but severe circumstances.
