5. Architecture Assessment /Network Description


< Detail Design of whole System, Provide description of the network. This should indicate the main technologies and architecture used; how the network is being rolled out; the scale in terms of numbers of nodes, buildings, and customers; any significant practical issues of implementation or operation; and any significant or interesting aspects of operations, administration, and maintenance, etc. It would be good to have a suitable diagram of the network to give some idea of its structure.> 6. 1. What is the required bandwidth for full feature operation? 2. What is the required level of network redundancy and load balancing? 3. How many network connections (ports) will be needed? a. What are the required transport media and speed settings? b. How many IP addresses are needed? c. Will DHCP be used to provide IP addresses? 4. What type of backup will the system use? a. Will it require network based backup (across the wire)? i. What is anticipated backup window? ii. What is the amount of data that will be backed across on the network? iii. Where are the data source and backup servers located? 5. What type of network security will be required? a. Will you need the system protected by a firewall? b. Should access be restricted by access control lists? c. Should access be restricted by IP address? 6. Does the system require off-campus access? 7. What is the required availability of the system?

9. Server Assessment
1. Have the subject matter experts been consulted in the development of equipment bids (short-term and long-term projected growth)? a. Memory requirements b. CPU requirements c. Disk space needs (stand alone or SAN connected) d. Power requirements (UPS) e. Network requirements f. Rack space (including keyboard, mouse, monitor switch connections) g. Cooling requirements h. Fail-over requirements (load-balancers, multiple Ethernet connections, etc.)

NOC Assessment

Does the system support external monitoring (SNMP, etc)? What is the desired monitoring of the system (8-5, 24/7/365, etc)? What kind of reporting about the system's availability is needed? What are the required methods of notification when a system problem is detected? What are the required response times when a critical error has been detected of the system? 6. What external dependencies does the system have (DNS, E-Mail, etc.)?

Security Assessment

1. Will this project involve the creation, display, access, or transmission of confidential data? a. Social Security Numbers b. Student grades c. Medical information, etc. 2. What are the security risks created by this project? 3. If this project involves the acquisition of new software, has the software received an independent security certification? 4. How will the ongoing security requirements be addressed? 5. If this project involves a third-party IT solution, who will be responsible for maintaining the solution and ensuring that security issues are resolved?

Training Assessment

1. Will this project require training others before, during or after the implementation? a. If so, does your unit plan on conducting training sessions? b. If not, will another unit conduct the training sessions?

2. If training is required, does your unit plan on creating the training content? a. If not, who will create the content? b. How much lead time will be needed to develop the training content? 3. If training is required, will the training be hands on and if so, what resources (room, computers, etc.) will you use to provide this training? 4. If training is required, how many staff (technical, functional and IT Help Desk) will need training and to what degree? 5. Is there a need to provide initial and ongoing training for the lead trainer, i.e. will the trainer need to training by the vendor, to attend a training conference, etc. If so, what resources have been allocated for training? 6. Will the training sessions require handouts such as exercises, reference guides, step-bystep how to etc.? 7. In what formats (reference guides, user manuals, tutorials, etc.) and mediums (web, print, video, etc.) will training content be created?

Communications Assessment

1. How will the end-user be affected by this technology change? 2. What communication plan do you have in place for informing all users of upcoming changes? 3. Does the service have a production web site?

Documentation Assessment

1. Will your unit develop the technical and user documentation for the project? a. If not, who will write the documentation? b. How much lead time will be needed for creating the documentation? 2. Are there any resource materials currently available for content developers or will they have to be purchased? 3. Are there any special requirements needed for content developers such as access to systems, local configurations, software, hardware, etc. 4. In what formats (reference guides, user manuals, tutorials, etc.) and mediums (web, print, video, etc.) will the documentation content be created?

Purchasing Assessment

1. Has a budget been determined for: a. Implementation b. Annual care/feeding/maintenance (hardware/software) c. Equipment/software upgrades, replacements, expansion d. Staffing, staffing needs (cubicles, equipment, software, training) 2. Has a funding source been identified for: a. Initial implementation b. Long term funding 3. Does the purchase involve establishing a contract with the vendor?

Who will provide maintenance? a. Has the maintenance cost been estimated? b. Do we have the staff to handle maintenance? c. Has the maintenance cost been budgeted? 3. What is the life expectancy? a. Who will perform necessary upgrades? b. Have replacement costs been considered? c. Have upgrade costs been budgeted? 4. Is additional training needed? a. Who needs the training? b. Are there multiple types of training necessary? c. Is train the trainer available? d. Is this something new students or new employees need? e. Can these be held on-site or do we need to go off-site? f. Has the training cost been budgeted? 5. How will new technology be handled? a. Will this affect maintenance? b. Will this affect upgrades? c. Will this affect training? d. What about new browsers? Email clients? Etc? 6. Has customer service been considered? a. Have procedures been put in place to request new features? b. Is there a governance model? c. Is there a trouble line or helpdesk for user support? What are the hours? d. Is there a calling tree? When is this expected? e. Have all the necessary IT units been involved in the development process? f. Is this expected to be up 24x7x365? 7. Has growth been considered? a. Is the hardware scalable? b. Can the software handle it? c. Will more power be necessary? d. Will more bandwidth be necessary?

Web Assessment

Does your project or product have a web interface? Is the web environment public or private? What will be the URL of the web environment? Should communications with the web site be encrypted? Do you need specialized programming languages on the server? Will you need special access rights to the web environment? a. Public b. Limited browse access c. Limited editing access 7.
