This document provides information about Microsoft Lync Server 2010 Web Scheduler (referred to hereafter as Lync Web Scheduler), as well as answers to questions you might have.

About Lync Web Scheduler


Lync Web Scheduler is a resource kit tool for Microsoft Lync Server 2010. It provides a Web-based alternative to the add-in for the Microsoft Office Outlook messaging and collaboration client for the purpose of scheduling a meeting using Lync Server 2010. It also provides a browser-based conference management experience that includes operations such as the following: Scheduling a new online Lync meeting. Listing all existing Lync Server 2010 meetings that the user has organized. Viewing and modifying details of an existing meeting. Deleting an existing meeting. Sending an email invitation to meeting participants by using a configured SMTP mail server. Joining an existing conference.

Compared to the Conferencing Add-In for Microsoft Outlook, Lync Web Scheduler has the following limitations: Lync Web Scheduler does not support scheduling recurring meetings. Lync Web Scheduler lists only meetings that were organized by the user. It does not list all meetings that the user is invited to. Further, meetings created using some other tool will not be editable using Lync Web Scheduler. Lync Web Scheduler is available only in English. Meeting invitations that are generated by Lync Web Scheduler do not look exactly the same as those that are generated by the Conferencing Add-In for Outlook. Lync Web Scheduler doesnt interact with the calendaring server. Calendar updates happen only via email invitations.

Lync Web Scheduler needs to collect certain information from users in order to create and manage their Lync Server 2010 meetings. Read our privacy policy for more details. Lync Web Scheduler is an ASP.NET application, which must be installed on the same Internet Information Services (IIS) Web server on which Lync Server Web Components are installed.

Prerequisites
Lync Web Scheduler requires a computer that has installed and activated Lync Server 2010 Web Components. An SMTP server, such as Microsoft Exchange Server, is required for sending email invitations for meetings scheduled with Lync Web Scheduler. This is optional.

Setting up Lync Web Scheduler


The setup program for Lync Web Scheduler creates a virtual directory named Scheduler in both Lync Server internal and external websites in IIS. The internal website is intended for access by enterprise

users on the internal network while the external website is accessed through an HTTP reverse proxy by users outside the network. The virtual directories use forms-based authentication and require an SSL connection. The SSL certificate should have been configured when web components were set up on the computer where you are installing Lync Web Scheduler.

Installing Lync Web Scheduler


Run the WebScheduler.msi to install Lync Web Scheduler on the server. Note: If you are installing this on an Enterprise Edition Pool, WebScheduler.msi must be run on every server in the pool that has web components installed on it. In addition, the load-balancer must be configured to use Client IP Affinity to ensure that multiple HTTP requests from a user reach the same server that the user logged on to at the start of the session.

Configuring an SMTP Server (Optional)


SMTP Server is required for sending email invitations for meetings scheduled with Lync Web Scheduler. To configure SMTP Server for Lync Web Scheduler: 1. 2. 3. Run inetmgr to open the IIS Manager. Navigate to Lync Server External Web Site and expand the tree to list all web applications. Click Scheduler, and then click SMTP E-mail.

Click Deliver e-mail to SMTP server. Enter the SMTP Server address, port and authentication settings.

Click Apply. Repeat steps 2-6 for Lync Server Internal Website. Restart the service to enable mail sending capabilities in Lync Web Scheduler.

The account used while configuring SMTP server should be permitted to relay email on behalf of all enterprise users. For Enterprise Edition pools, SMTP configuration has to be done on all servers where Lync Web Scheduler is installed.

Using Lync Web Scheduler


Accessing Lync Web Scheduler
Depending on the location, navigate your browser to https://<internal pool FQDN>/scheduler or https://<external pool FQDN>/scheduler. In these URLs, the internal and external pool FQDN refer to configuration settings provided when you installed the Standard Edition server or Enterprise Edition Pool.

Creating, Viewing, and Joining Meetings


Enterprise users who have been enabled for Microsoft Lync Server 2010 can access the URLs mentioned above to search for invitees and create new meetings. Details of newly created meetings can be copied into the meeting invitations that users create with their favorite calendar program. If SMTP Server is already configured, users can opt to automatically send an email invitation to all meeting participants. Users can view and edit meetings they create. When viewing meetings, the detailed page also provides a link and dial-in details for joining these meetings.

Joining Meetings Created by Another User


Users should follow the instructions in an email invitation to join the meeting.

Removing Lync Web Scheduler


Lync Web Scheduler should be removed from all Front End servers by using the provided uninstaller.
