Report Paper Guidelines

(To be used with the proposals to be submitted; modifications to this format when used as guideline for paper submission will be communicated in the future)
FORMATTING Font Times New Roman typeface should be used. Title should be set in upper case, bold, 14-font size. Block quotations and footnotes should be set in 10-font size. The abstract, acknowledgements, and the main body of the essay should be set in 12-font size. If there is a dedication, it should be in upper case, bold, 12-font size. Paragraphs / Line Spacing The first line of all paragraphs should be indented one tab key from the left-hand margin. The main body text should be left aligned. In the main body, use 1.5-line spacing. 2 Leave one line space before a heading. 3 Do not leave a line after the heading. Do not leave a line between paragraphs. Page Numbers Page numbers should be placed on the right side at the bottom of the page. Each page in the dissertation, from the body onward, should be numbered in consecutive order. This includes the text, references, and appendices. Preliminary pages carry lowercase Roman numerals. Spellings British or American spellings may be used; as long as they are used consistently throughout the paper. Bullets Bullets should be aligned with the paragraph i.e. they should be indented one tab key from the margin.

References The word references should be left aligned, bold, uppercase, 12- font size. There should be one line space between the heading and the first reference, and between subsequent references. 3 Appendices If the paper has only one appendix, it is labelled as APPENDIX (Uppercase, bold, centred, 12-font size).
If

it has more than one appendix, each is labelled with a capital letter

such as APPENDIX A, APPENDIX B etc. Font size for the title and the text should be 12. Text should be justified. If, for example, there is more than one appendix for APPENDIX A, then it will be titled APPENDIX A1, APPENDIX A2, etc. Sub-title: Uppercase and Lowercase, bold, centred Example: APPENDIX A Flow chart of the Microcontroller program

Footnotes Footnotes should be numbered with superscript, smaller font (size 10) Arabic numerals (1, 2, 3 etc.). Example: Item analysis 1 The item analysis for each section was carried out as follows: _______________________________________________________________________

6 TABLES AND FIGURES Title: Uppercase, centred, bold, font size 10. Sub-title: Upper and lowercase, centred, bold, font size 10. 3

Text: Justified, not bold, single spaced, font size 10. Use Arabic numerals (1, 2, 3 etc.) to number the figure or table. For explanation of any term, use small alphabets (a, b, c etc.) and provide explanation right below the table or figure.

Arrangement of contents: The sequence in which the project proposal material should be arranged and bound should be as follows: 1. Title page 2. Acknowledgements 3. Abstract 4. Table of Contents 5. List of Tables(optional) 6. List of Figures(optional) 7. List of Symbols, Abbreviations and Nomenclature 8. Chapters 9. References Title Page It should include University logo, University name, Institute name, Department name, Project title, Purpose of the project, Full name of the candidate and their ID number, Advisor name, submission date. For its sample see at last page. Abstract This should be not more than one paragraph. Actually it depends on the project size. The abstract should allow the reader who is unfamiliar with the work to gain a swift and accurate impression of what the project is about, how it arose and what has been achieved. Contents List This should give a complete list of what the report contains starting with the abstract (the title page is not included in the contents list). List of Tables/Figures If the report contains figures or tables a list of these should be provided. The list should give the table or figure number, the title of the table or figure and the page number. If only a few tables and figures are present, they may be treated on one page. Remember that all figures and tables used must be referred to in the text. For example The class diagram shown in Figure 2.1 .... Acknowledgements It is normal to thank those who have given help and support. Keep acknowledgements short and business-like. Chapters The chapters may be broadly divided into 3 parts: i. Introductory chapter, This section introduces the reader to the subject area in the project. It is a brief description of the project, how it will be done, and what procedure will be used to accomplish the project. It is vital to state clearly the scope of the project and the objectives of the project. It may include such things as: the nature of the system -its schematic diagram and block diagram of the system, application area, and so on. ii. Chapters developing the main theme of the project work Design and Analysis Material requirement (i.e. component list with their appropriate name and ratings)

Project activity plan (i.e. Gantt chart) Project cost iii. Conclusion. The conclusions section is where you close the loop of the proposal. Restate your objectives and show how your procedure makes sure to achieve the project objectives. This chapter should state briefly the significance of the project if it will be accepted.

References There should always be a list of all books, articles and technical resources consulted. References are to be placed in square brackets and interlaced in the text. For example "A number of profiles of Asian researchers can be found in the literature [2]. A project proposal / report can not be accepted without proper references. The references shall be quoted in the following format: The articles from journals, books, and magazines are written as: [1] Jennifer Eyre, "The Digital Signal Processor: Derby", IEEE Spectrum, June 2001, pp 62-68. [2] Nabila Zar, "Wasey Omar", In Person: Profiles of Researchers in Africa, Asia, and the Americas, International Development Research Center, Ottawa, 1995, pp 67-73 [3] The books are written as:

Use the Harvard style of referencing web pages. Since web page contents may vary through time include the date referenced.
