MANAGEMENT ASPECT A.

Form of Business Organization Corporate form of business organization is the proposed form for the production of Amplaya Cookies. A Corporation is an artificial being created by operation of law, having the right of succession and the powers, attributes and properties expressly authorized by law or incident to its existence. The formation should not involve many legal formalities and it should not be time consuming. Changes may take place either in market conditions or the states policy toward industry or in the conditions of supply of various factors of production. The nature of organization should be such as to be able to adjust itself to the changes without much difficulty. B. Name of the Company Epitome Corporation Ltd., is a group of C. Mission and Vision Mission Epitome Corporations mission is to provide a distinctive quality of cookies in the industry, promote a new way of service and create a successful independent business opportunities through the relevance of inclusive business system within the Baking industry. We seek to contribute towards the economic growth of our country through the empowerment entrepreneurial individuals and to achieve a high level of performance to benefit our associates and guarantee a high quality product to the society.

Vision Our vision is to become a break new ground of manufacturing a high quality and nutritious baked products that will lead to a global success and garner profitable income that will help us, the government through taxes and our employees to develop their skills, sustain their needs and to maintain a good name in the baked industry and gain more popularity through the public. D. Organizational Structure The Organizational Structure of Epitome Corporation is illustrated through an organizational chart shown in Figure 5.1. It is composed of a Board of Directors and assigns from among themselves a President, Corporate Secretary, and Treasurer - the mandatory officers of a corporation. Figure 5.1 is the companys organizational chart, which shows the apportionment of responsibility and authority among the members of the organization. The various positions in the boxes and the lines connecting them represent the relationship of the positions to each other. The duties and responsibilities, and qualifications of each officer and personnel are discussed in detail in Human Resource.

E. Administrative Policy The following rules must be followed during working hours: 1. Safety First 2. Discipline must always be practiced. 3. Toxic substances, illegal drugs, smoke, alcoholic beverages, or gamble inside the company are prohibited in each of the employee. 4. Cleanliness is always spread. 5. Respect to superiors, subordinates, co-employees and customers must always be observed. 6. Each employee must perform his best for total customer satisfaction. 7. Sleeping is not allowed in offices and production areas especially during office hours. 8. Employee who takes anything that belongs to the company will be automatically terminated. Personnel violating companys rules and regulations would be subject to certain disciplinary actions including dismissal from work in accordance with the company policies. PAY-OUT PERIOD Employees salaries would have two cut-off periodson the 15th and 30th of the month. The salary for the first cut-off would be paid in the 20th of the month and the other would be paid on the 5th of the next month.

2. Job Description Board of Directors The Board of Directors is the law-making body of an organization. It is composed of the President, Corporate Secretary, and the Treasurer. Give direction to the formulation and leadership to the achievement of the association's philosophy, mission and strategy, to its objectives and goals. Secretary Composes and types routine letters, memoranda, reports, minutes of meetings, scientific or technical material, numerical data, charts and forms. Establishes and maintains office files, logs, indexes, control records, or other information concerning the work under the supervisor's control. Receives and screens visitors and telephone calls, takes messages, schedules appointments I.T. Technical Support People provide technical guidance and assistance to the staff, clients or customers. They are regarded as trouble-shooters who understand all types of problems and provide technical support for the hardware, software and the systems. They assure an uninterrupted work process and advise how the output can be

maximized. Help computer operators in an organization, in several ways. Most of the nontechnical employees encounter computer problems that they cannot settle on their own, as they are not computer experts. Installing and configuring computer hardware operating systems and applications. Production Officer The Production Officer ensures that products are produced efficiently while complying with strict standards of process, quality, maintenance, sanitation and safety. Ensure that plant production facilities are in good working conditions, and that the workers are provided with sufficient and equitable work assignments. Directs the plant operations and schedules equipment maintenance. Quality Control Perform standardized qualitative and quantitative tests to determine the chemical and physical properties of food. Examine chemical and biological samples to identify cell structures and locate bacteria or extraneous material. He/she also responsible in monitoring and rejecting finished products. Production Worker Production workers in a manufacturing environment can be involved with everything from assembling, loading and unloading machines, theyre required to work in a clean room in scrubs with specific instructions to be followed regarding hygiene procedures before entering the room. Production Workers are in charge of operating the machineries to the desired quality products and proper packaging of the product. They are responsible in executing the specific production processes.

Operation Manager Responsible for directing and managing the entire plant operations to include production, maintenance, quality, logistics and all production related activities. Developing control plans, and budget. Established and monitoring overall plant performance for production as well as quality standards. Provide leadership, direction, and training to accomplish the companies goals and objectives. Finance Manager Clear budgetary planning is essential for short and long-term future planning, and companies need to know the financial implications of any decision before proceeding. Responsible for planning, developing and directing overall financial management including, capital expenditures, in source / outsource decisions, financial planning, analysis, reporting, and cash management. Accounting Clerk To calculate a production costs that includes raw materials, direct labor and manufacturing overhead. This information relates to the allocation of costs to goods or services produced by the company. Verify the accuracy of invoices and other accounting documents or records. Update and maintain accounting journals, ledgers and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, accounts payable). Enters data into computer system using defined computer programs Human Resource

Maintenance and Security (Security Guard, janitor, maintenance) The Security maintains peace and order inside the company and within the companys vicinity. He guards and secures the safety of all the assets of the company. He records all the names of the persons who enter the companys premises. Maintenance section is responsible in monitoring whether or not, the equipments and other machineries are in their proper working conditions. And when there are defects, he is responsible in repairing the equipments to be useful in the companys daily operations. The Janitor is the one responsible for maintaining cleanliness within the companys vicinity. He also maintains a conductive place of operation and a sanitary environment from time to time. Delivery Man The delivery man must be the one responsible in conveying the goods to the location of the clients / customers. Driver

The driver operates the assigned delivery vehicle in a safe and responsible manner. He must ensure that the goods are delivered on time. Marketing Manager Marketing Manager is responsible for forming the timing, level and composition of the demand of the consumer for the product that the manufacturing company, Participating in the development of the pricing strategies for the growth of profit. Ensuring that the services of the company is good enough to the benefit the customers and meet their demands. Purchasing Officer The Purchasing officer is responsible for all of the goods and services that are purchased by a company. Coordinate with suppliers to ensure on-time delivery. Plan and manage inventory levels of materials or products. Negotiate for best purchasing package (in terms of quality, price, term, delivery and service) with suppliers, monitor and co-ordinate deliveries of items between suppliers to ensure that all items are delivered to site/store on time. Sales Coordinator The Sales Coordinator is accurately process customer transactions such as orders, quotes or returns, is anyone who works to sell a product or service for a company. Sales officers have to show customers what they are offering is worth buying. Cashier

The Cashier is responsible for receiving payments and issuing official receipts, and handles with due care and honesty the cash fund in the register. She provides information regarding cash receipts and disbursements. General Manager The General Manager supervises and controls the business, all other officers, employees, and other subordinates. Inventory / Warehouseman The Inventory or Warehouseman is responsible in checking the inflows and outflows of inventories regularly. Store Personnel The store personnel would be in-charge of occupying the store and selling the products directly to the buyers. 3. 4. Recruitment and Hiring Policy One key of business success is to have good and effective working relationship which depends on how the employees and officers work hand-in-hand to attain organizational goals and objectives. Choosing the right employees for the right job is a serious responsibility of the management. Epitome Corporation Ltd. would hire its applicants from the town of San Pedro and from nearby towns. The company would recruit applicants through direct contact with the

applicants. The HR Manager who is responsible for the recruitment and hiring should comply with the following steps. 1. Preliminary Screening HR manager or officer have able to choose the qualified and unqualified applicants resume. Basis on apparent characteristics such as age, height, years of experience, physical condition, etc. 2. Preliminary Interview the interview aims to know the other information that unattached in applicants resume. And to eliminate those who are clearly unqualified. Social Security Systems ( SSS ) - is a form of social insurance to protect individuals from financial hardships. Maternity benefit is equivalent to 100 per cent of the members average daily salary credit multiplied by 60 days for normal delivery or miscarriage, 78 days for caesarean section delivery. This shall be paid for the first four deliveries. Paternity benefits of seven (7) days with full pay to all married male employees in the private and public sectors for the first four deliveries of the legitimate spouse. 2. PAGIBIG Fund It is required that an employee shall contribute to the PAG-IBIG one or two percent of his compensation with the maximum contribution of P 5,000. The company is also required to contribute to the fund matching the employees contribution.
