First paragraph: The introduction Briefly introduce yourself. Explain why you are writing. If applicable, say where you saw the advert. Second paragraph: Why are you interested in this job/sector? Give reasons for your interest in the job. Demonstrate that you have researched the field and you are genuinely committed to the sector.

I would like to apply for your graduate retail management programme, as advertised on the University of Southampton Career Destinations student portal. I will graduate this summer from the University with a degree in management science, and am predicted a high 2.1. I first became interested in a career in retail through a part-time weekend job at my local Nine2Nine convenience store. I then gained broader food retailing experience in Waitrose, where I have worked at weekends and during vacations for the past five years, progressing to the position of senior customer adviser. An internship at the Head Office of Marks and Spencer confirmed my commitment to pursuing a career in retail management with a company that offers a wide range of food and non-food products and services. I am particularly keen to join James Day Retail because of the unique position the company holds in the retail sector, with a genuine and proven commitment to quality and service that embraces not only customers but also extends to staff and suppliers. The astute governance of the company has enabled James Day to stay ahead in the competitive retail sector and also to undertake a regular programme of investment in existing and new stores. As you can see from my CV, I have developed a range of skills and experience which I believe will enable me to succeed on your graduate programme. In my work experience, I have excelled in delivering exceptional customer care and regularly receive positive feedback from colleagues and customers, which recently culminated in a Part-time Employee of the Year award. Having worked part time throughout my university career, I have demonstrated the hard work, time-management and flexibility which I believe are essential to success in a career in retail. As an active member of Fish on Toast, the student Entrepreneurs Society, I also have a good understanding of the skills required to develop and grow businesses. I work well in teams and have gained useful leadership skills as captain of the University handball team. This required excellent communication and motivational skills to inspire the team to achieve second place in the recent, national British Universities and Colleges Sport competition. I hope that you will be persuaded that I have the enthusiasm and commitment, as well as the necessary skills and experience, to make a positive contribution to the graduate programme and the future success of James Day Retail. Final paragraph: Reiterate your commitment to and interest in joining them. Include a statement that anticipates a response.

Third paragraph: Why them? Say why you are applying to them in particular. Demonstrate that you have done your research and know what sort of work they do, what products/services they offer, and who their clients are. Avoid vague generalisations about their excellent reputation, first-class training programme and merely repeating information from their website/recruitment literature.

Fourth paragraph: Why You? Give reasons why the company/ organisation should consider YOU. Include relevant skills, experience or knowledge and discuss how you can make a contribution. Refer to particular points on your CV that you want the employer to note. Tailor everything to the specific job!
