Purpose and objectives


The purpose of this manual is to be a basic guide for the use of the HP Designjet 815mfp, which was installed in August of 2003 to scan as built engineering drawings and associated engineering design plans for the approximately 5,000 dams permitted and regulated by the Dam Safety Program, Division of Land Resources, DENR. The HP Designjet 815mfp is a large format scanner integrated with a large format plotter. The maximum width of a scanned document is 42-inches; the length of a scanned document is in practice unlimited. The specific objectives of this manual are to describe: How to turn the scanner, plotter on and off; How to scan, copy maps and other documents; How to print from a file already saved in the scanners touch screen computer; How perform scanner calibration; and Basic use of the HP Designjet 815mfps computer touch screen interface.

Description of the HP Designjet 815mfp


This section describes the HP designjet 815mfp and its components and gives the units location. The HP designjet 815mfp (unit) is located in room 527H on the 5th floor of the Archdale Building 512 N Salisbury St. Raleigh NC, 27604 in the Division of Land Resources. Figure 1 provides an overview of the machine components that are described below.

The following images show details of the individual components of the HP designjet 815mfp. Figure 2 shows the location of the scanner, which is located on top of the plotter.

Figure 3 shows the plotters location directly beneath the scanner.

Starting the HP designjet 815mfp


This section describes how to turn on the unit. The sequence to start the unit is the plotter must be turned on first, the scanner second, and the touch screen computer last. The procedure for shutdown is the opposite. The scanner and plotter must warm up for 1 hour before using. Remove the dust cover from the top of the scanner before use. Then begin turning the unit on starting with the plotter. Turn on the plotter by pushing the blue button located in the lower left corner of the plotter (fig. 5).

After the plotter has been turned on, then turn the scanner on using the switch located on the left on the back of the scanner.

After the scanner and plotter are turned on wait a few minutes for the machines to warm up. When the scanner and plotter are ready, turn on the computer. The on/ off switch is located under the touch screen computer on the right side. The computer is flexible and rotates and can be tilted. In order to reach the on/off switch, also the USB port, the computer may have to be tilted as shown in the picture.

The scanner and plotter must warm up for at least 1 hour before copying or scanning.

Loading the original document for copying and scanning


This section describes the correct way to load the original document into the scanner to prepare for scanning and copying. There is a ruler across the top of the scanner. The ruler is in centimeters. Directly below the ruler is an opening (insertion slot). The document to be scanned or copied will be fed into this slot. The opening is set for documents of standard thickness but can be adjusted for thicker documents. To adjust the size of the slot see Jeff Reid, or consult the HP online manual (see page 26 for the website). Documents can be scanned either horizontally or vertically. Place the document either horizontally or vertically face down on the scanner. Make sure that the top of the document is toward the scanner. If the top is facing the other way the image will be saved upside down. Figure 8 shows the insertion slot.

There are lines and magnetic guides (fig. 9) on the scanner that can be used to line the paper up and keep it straight. The magnetic guides can be moved around depending on the paper size. The letters above the guidelines are paper size. Figure 9 shows the lines, letters and magnetic guides.

After the paper is lined up push it into the insertion slot (see figure 8). Slide it in until the scanner grabs the document and pulls it into place. New users: when the scanner takes hold of the paper it may startle you. If the paper is not in straight it can be removed by pushing the blue bottom arrow shown in figure 10. The blue arrow is located on the right side of the scanner.

Using the HP Designjet 815mfp computer


This section gives a brief overview of using the touch screen, including how to use windows on the touch screen computer. The computer is a touch screen. The pen attached to the computer, shown in figure 11, can be used to touch the screen.

After logging in designjet scan will open automatically from the windows screen. If calibration is needed a system maintenance box will pop up on the screen. The system maintenance box is shown in figure 12. Calibration can be skipped by touching remind me later. If scanner maintenance is chosen then see calibration instructions (page 20).

If remind me later is chosen, you will be taken to a screen with the copy tab selected. It is from this screen where all the copying options are chosen. See section titled making copies on page 23 for an explanation of the various options that can be used during the copying process. Figure 13 shows the copy tab screen.

To use windows or other programs Windows can be used on the touch screen by exiting designjet scan. To exit the Designjet program and get to windows touch the exit button, this is the door with the arrow pointing at it in the bottom left corner of the screen. Figure 14 shows this button.

After touching the exit door, a box that is shown in figure 15, will pop up. It has two options shutdown or exit. To get to windows touch exit. System shutdown will turn off the computer (See page 46 for information about shutting down the computer).

If exit is chosen designjet scan will close and you will be in windows.

To access saved files


At the windows screen go to start in the lower left corner. At the start menu touch windows explorer then open my computer. Open the Data (D:) drive. Then navigate to the folder where the data was saved and open it. To scan, copy or print a document return to designjet scan. To do this touch the designjet scan icon, shown in figure 17, located in the top right corner of the windows screen. This will take you back to either the system maintenance box or the copy screen (see page 16 17).

Calibration
If calibration is needed this section explains step by step how to calibrate the HP Designjet 815mfp. Also included in this section is an explanation of where the calibration sheet is located and how to use it. The calibration sheet located in the corner of room 527H in a colorful box that is labeled scanner maintenance. To do calibration at the system maintenance box (see fig. 12) touch scanner maintenance shown in figure 18.

Figure 18. Scanner maintenance box When the screen after that comes up touch next. The next window will say printed side down. Carefully remove the calibration sheet. When handling the calibration sheet try to touch the sheet only by its edges, and do not drop it. At the top of the calibration sheet there is an arrow. Line this arrow up with the arrow on the scanner. The arrow on the scanner is located underneath insertion slot. Figure 19 illustrates the arrow on the scanner that should be lined up with the arrow on the calibration sheet.

Keeping the calibration sheet straight and in line with the arrow, insert it into the scanner. Then push next. After a few minutes a file window may pop up on the screen. Touch use standard file. This should work, if it doesnt get Jeff Reid to help you. Wait while the computer goes through calibrations. This could take up to 45 minutes.

A screen should appear that says basic calibration and color calibration was successful. It will also say gray calibration done. At this screen touch finish. Carefully remove calibration sheet, put it back in its box then return it to the corner.

Making copies
The section entitled making copies explains how to make copies on the unit, how to choose the type of original document, how to make multiple copies, how to change the scale, and how to make the copied image lighter, or darker. First open designjet. Or if designjet is already open be sure you are at the copy screen. If you are not already at the copy screen, shown in figure 20, then touch the copy tab at the top of the screen.

Copies can be made in either black and white or color. To make black and white copies touch the white circle beside black and white (B&W). Figure 21 shows black and white selected. Select color by touching the white circle beside color.

The next thing to choose is the type of original document. Touch the button beside type of original and a screen will pop up with a list of original document types. Choose the one that best describes the original document. For examples and descriptions of each type go to HPs online manual at https://www.designjet.hp.com/pdf_refer.html?pdflink=Data/Manuals/cc800_815_4200_c olor_guide.pdf. Scroll through the types by touching the arrows. Figure 22 shows the box with the list of original document types.

The next option, labeled lightness, changes how light the copied image will be. The lower the number the darker the image will be. To change the settings touch the button beside lightness. When enter value (shown in figure 23) pops up chose the value.

The input size option is for the size of the original paper. This can be left on auto or changed to one of the paper sizes listed (See page 31 for a list of sizes). To change the paper size touch the input size button. Scroll through the paper sizes using the arrows until the correct one comes into view. Touch the desired paper size.

The output size is the copied paper size. This can also be changed from auto by touching the desired paper size.

Changing the scale will change the size of the image. To do this first open the scale screen, then touch the desired value. A 100% scale is a 1:1 ratio. A value less than 100% reduces image so the image will be smaller on the copy than on the original. A value greater than 100 magnifies the image. Figure 26 shows the scale box and a list of percent values to choose from.

To generate more than one copy touch the copies button. A box that says, enter value will pop up; this is shown in figure 27. At this screen, type or touch the number of copies desired. Either press enter on the keyboard or touch the enter button on the screen.

Before starting make sure the paper has been placed into the scanner (See loading paper pg. 12). After all the appropriate options have been chosen begin to copy by touching the green button located at the bottom right corner of the screen. Figure 28 shows the button to begin copying.

The scanner will take the document and an image of it will become visible on the computer screen. Then the plotter will print the copy. After the process is complete, remove the original paper by pressing the eject arrow (see figure 3).

Scanning
Touch the scan tab on the top of the screen. This section explains how to scan a document, the different types of original document, how to choose the file where the image is saved and how to name it, how to make the image lighter or darker, changing the file format, how to change the resolution, paper input size and the type of original document. Figure 29 shows the scan tab after it has been selected.

The scan screen will appear. On this screen there will be several options that can be changed. The scanning section will explain these options. After the scan tab is selected the screen shown in figure 30 will appear. The image that will be saved on the computer can be in black and white or in color. To choose the black and white option touch the white circle beside B&W (black and white) for color touch the circle beside color. Color must be used to save in pdf. Figure 30 shows the color option selected.

Touch the button beside type of original and a screen will pop up with a list of original document types. The next options changes how dark or light the image comes out when copied. To change the settings touch the button beside lightness. When the enter value box (shown in figure 32) pops up chose the value.

The input size option is for the size of the original paper. The paper sizes in inches are ANSI A: 8.5x11; B: 11x17; C: 17x22; D: 22x34; and E: 34x44. The paper size can be left on auto or changed to one of the paper sizes listed. To change the paper size from auto, touch the input size button. Scroll through the paper sizes using the arrows until the correct one comes into view. Touch the desired paper size.

The resolution of the scanned image can be changed. Touch the button beside scan resolution and a box labeled quality will appear. The resolution can be changed to low, normal, high, or choose custom to put in a specific resolution. The quality box is shown in figure 34.

To change the name of the file, touch file name (fig. 35), then using the keyboard or the touch screen type in the file name and press enter. The files can be named using a format proposed by the LQ people. State ID_ date of plan plan type sheet number. Here is an example from Haywood County. HAYWO004_19760308RD_01. The date is written starting with the year then the month and day.

There are three different types of formats that the file can be saved as, Tiff, Jpeg, or Pdf. To change the file format, touch the file format button, select the format type and touch okay. The file format box with the format types is shown in figure 36.

To save the image into an already existing folder open the file folder box (this box is shown in figure 37) and scroll through the folders using the arrows buttons. Touch the folder the image is to be saved in then touch okay. To save the scanned image in a new folder open the change folder screen, then tap new folder. Type in the desired file name and hit okay. A separate folder should be made for each dam and given the state ID as a name.

Then make sure the document is loaded in the scanner (see loading original document pg. 12) and touch the button in the lower right corner of the screen (fig. 38). This will begin the scanning process.

The machine will take the document and an image of it will appear on the computer screen. After scanning is finished press the eject arrow (see figure 10) to remove the document.

Printing
This section will explain how to print an image that is already stored in the touch screen computer. Designjet must be opened first. Then the print screen must be brought up; this screen is shown in figure 40. To do this touch the print tab on the top right corner of the screen. Figure 39 shows the selected print tab.

The print screen will come up. At this screen the list of images to be printed can be selected. Figure 40 shows this screen.

The files to be printed need to be added to the print list. Bring up the add files to list box by touching add to list. A box will pop up that says add files to list, this is shown in figure 41. Use the arrow buttons find the file to be printed. Touch the white box next to the desired folder and touch okay.

More than one copy can be printed. To choose the number of sets to be printed touch the box next to number of sets. At the enter value box, type the number of sets and then touch the enter button. Figure 42 shows the box where the number of sets that will be printed are entered.

To start printing touch the button in the bottom right corner of the screen. This button is shown in figure 43.

Retrieving files through the network


This section will explain how to get to the files from a computer other than the touch screen, how to save the files and how to delete them from the computer. The HP Designjet 815mfp touch screen computer must be on to access the files saved on it from another computer. A computer that has network access to the HP Designjet 815mfp computer must be used to get the information. Either use windows explorer or in windows open the shortcut to Dlrncgshpdjcc (this is the shortcut to the files stored on the scanners touch screen computer). This icon is shown in figure 44.

To create a new folder to save the files in first minimize the Dlrncgshpdjcc window. Now create a new folder, this is where the images will go. Do one folder per dam in the county folder. After the new folder is created go back to the Dlrncgshpdjcc window. From here open the folder that contains the scanned files, in figure 47 it is the images folder. Figure 47 is an example of what the folder will look like.

To copy the files to the work folder select the file or files to be copied, then go to edit, under edit click on copy to folder. More than one file may be selected by highlighting the first one, pushing the shift key and clicking on the last file. Figure 48 shows the files highlighted and also the edit menu.

In the browse for folder screen navigate to the created folder and click okay. This screen is shown in figure 49. It may take a few minutes for the files to transfer.

Deleting files
On the scanners touch screen computer navigate to the folder where the files are stored. Highlight the file to be deleted. This may also be done on a networked computer, but the process will take longer. Click on file and go to delete. Figure 51 shows the file menu.

A box, shown in figure 52, will appear that says, confirm file delete. Click on yes to send the file to the recycle bin.

This section explains how to shutdown the touch screen computer and the unit. The computer must be shut down before shutting off the plotter and scanner. If you are at the windows screen touch shut down button, it is shown in figure 53.

If you are in designjet scan touch the door located in the bottom left corner of the screen (shown in figure 54).

After touching the door the shutdown or exit box will pop up (shown in figure55). At the shutdown or exit box touch System Shutdown. If exit is chosen the computer will exit designjet scan and go to windows.

Wait until the computer says, it is safe to turn the computer off. Then turn the computer off with the switch located under the computer on the right side. The computer will need to be tilted to reach the on/off switch. Figure 56 shows the computer tilted.

After the computer has been shut off, turn off the plotter. To turn off the plotter push the blue button on the lower left side of the plotter. On/off button is shown in figure 57.

After turning off the plotter. Turn off the scanner. The switch is shown in figure 58 and located on the back of the scanner.

Changing plotter paper


The plotter should be turned on (see page 10 for instructions on how to turn on the plotter). When the machine is turned on, unlock the brakes on the plotter. The brakes are located on the wheels. After the brakes have been released pull the machine out so that the paper roll can be easily reached. Pull up on the blue lever located on the right side of the plotter (fig 59).

On the right side of the plotter, above the blue lever, there is a small screen (Fig. 60).

Go around to the back of the unit. Before doing anything, notice how the paper is positioned with the paper going over the roll. Figure 61 shows the paper correctly in the plotter.

When the paper has been changed it should be in the same way. There are also instructions on the paper roll. Read them carefully. Now very carefully pull the black tube with the paper on it out of the machine. DO NOT SET THE TUBE ON THE FLOOR. Find a piece of cardboard and set the tube on the cardboard instead. The plotter takes 36-inch paper. Remove the paper from the box. Do not set the paper on the floor either. Use a piece of cardboard. Take the paper out of its sleeve. After getting the paper out, remove the tape from the paper. Put the paper on the tube and put the tube back in the machine with the paper feeding off the bottom of the spool, out and around the spool toward the slot. Make sure the paper is the correct way. Now feed the paper into the feed slot until it goes all the way through and make sure the paper is going over the roll and in not under the roll. After the paper is all the way through push the blue lever down. Go to the back of the machine and roll up the slack in the paper. The plotter will grab the paper and trim the edge. After the paper has been changed, roll the machine back to where is was and lock the brakes.
