Title of Activity: Notes of the steps to be taken before, during and after the interview and a slideshows presentation for lecture. Instructions : 1) Instructors distribute a handout to each learner regarding the steps to be taken before during and after the interview. 2) Instructors provide a short lecture with a slideshow presentation as reference while learners refer to their handouts. Before the Interview Here are five steps you should take ahead of time to help ensure a successful interview: 1. Define the Purpose of the Interview. You have done library research about the issue of gender equity in college athletics and have begun to grasp the major points of view fairly well. You get some information from the newspaper but you still have many questions. You decide the only way to get answers is to interview someone associated with the athletic program. In that decision you have begun to formulate a purpose for the interview. 2. Decide Whom to Interview In dealing with administrative organizations it is usually best to go to the leaders first. They are likely to have a broad understanding of the issues. And if you need more specific information than they have, they can get it for you or put you in touch with the right person. 3. Arrange the Interview The subject of gender equity may be a delicate issue. Furthermore, he is a very busy person. So you work out a plan for convincing him to agree to talk with you. Knowing that it is easier to brush someone off over the telephone than in person, you go to the office to request the interview. You introduce yourself, identify your exact purpose, and explain why the interview is important. When the interviewee agrees, you set up the interview for three days later. (You are astonished to get the interview, but you shouldnt be. Nearly everyone likes to be interviewed. If your purpose is a serious one and you conduct yourself well, the person you ask to interview is likely to cooperate.) 4. Decide Whether or not to Use a Tape Recorder

If your subject does not want the interview tape-recorded, then the decision is made otherwise you must choose. There are two major advantages of using a tape recorder: (a) Since you dont have to spend all your time taking notes, you can concentrate on the interviewees message and on formulating your questions. (b) Your record of the interview will be exact- there will be no possibility of misquoting or of forgetting important facts. There are also two disadvantages to using a tape recorder during an interview : (a) many interviewees are so uncomfortable with a recorder in the room that this may spoil the interview.(b) you will have to spend a lot of time after the interview playing the tape over and over to distill the recorded material. When you take notes, on the other hand, that distillation process takes place during the interview because you write down only the important points. If you decide to use a tape recorder, never smuggle it in without the knowledge or consent of the person being interviewed. Not only is it unethical, but the interviewee is bound to find out and you will cause yourself more trouble than you had hoped to avoid. 5. Prepare Your Question You now face the most important part of your preinteview tasks- working out the questions you will ask during the interview. Keep in mind the old adage, ask a stupid question, youll get a stupid answer. You should devise questions that are sensible, intelligent, and meaningful. Here are some types of questions to avoid: (a) Question you can answer without the interview. Queries like this just waste the subjects time and make you look foolish. Research this information yourself before the interview. (b) Leading questions. (c) Hostile, loaded questions. You need not shy away from tough questions. Just phrase them as neutrally as possible and save them until near the end of the interview. That way, if your interviewee becomes irritated or cooperative, youll still get most of the information you want. When you finished preparing, you should have a set of direct, specific, reasonable questions. During the Interview There are several steps you can take to help make the interview proceed smoothly: 1. Dress appropriately and be on time. The VIP has a busy schedule and is doing you a favor by agreeing to an interview, so you make every effort to show up on time. Since the interview is a special occasion, you dress appropriately. This is one way of telling the VIP that you regard the interview as serious business. In return, he is likely to take you more seriously.

2. Repeat the purpose of the interview. The VIP invites you into his office; you exchange a few introductory remarks. Now, before you plunge into your questions, you take a minute or two to restate the purpose of the interview a sharper focus. You are more likely to get clear, helpful answers if your subject knows why you are following a certain line of questioning. 3. Set up the tape recorder. If you are using one. If your subject has agreed to being recorded, keep one principle in mind: the tape recording should be as casual and as inconspicuous as possible. You should have practiced in advance to make sure you understand how the recorder works. Set up the recorder, start the tape and then try to ignore it for the rest of the interview. 4. Keep the interview on track You ask the VIP the first question on your list. He answers it. You ask him the second question. He answers it but in doing so he also answers question 4. As it turns out, you go back to question 3. You pose a couple of questions about it, get helpful answers, then keep the interview on track by returning to your list of prepared questions. 5. Listen carefully During the interview, you listen attentively while taking key-word notes. When you do not understand something, ask for clarification. If you hear a statement you want to quote directly, you have the VIP repeat it to make sure you get it exactly right. 6. Dont overstay your welcome Try to keep within the stipulated time period for the interview, unless your subject clearly wants to prolong the session. When the interview is over, thank the VIP for having given of his time and insights.

After the Interview Although the interview is over, the interviewing process is not. You must now review and transcribe your notes.

1. Review your notes as soon as possible When you leave the VIPs office, the interview is fresh in your mind. You know what the cryptic comments and scrawls in your notes mean. But as time passes, the details will become hazy. Dont let something like that happen to you. In reviewing your notes, try to concentrate on two things- discovering the main points that emerged during the interview and pulling out specific information that might be useful to you. As you review the interview, you also seize on several specific item that look promising as supporting details for your speech. If any of them are unclear, call the VIP to make sure you have the facts right. 2. Transcribe your notes After reviewing the notes, you transcribe important ideas and information onto index cards. Since this requires filling in from memory various details of the interview, you do it as soon as possible. So that your research material will be in the same format and can be arranged easily.

Once settle on the most important ideas and information from the interview, you should transcribe that material. By putting research notes consistently, you can arrange and rearrange them easily when you start to organize your news article.
