ORGANIZATIONS PROFILE COMPANYS BACKGROUND COMPANYS ORGANIZATION HISTORY

1.1.1

Univercity of Teknologi Mara Johor (UiTM) was built at Segamat in 1985. Previously, it was built at Segamat Baru officially opened by Dato 'Abd. Ajib bin Ahmad, Minister of Johor at that time, but then was moved to Jalan Muar-Segamat in 1990. This campus contents of 4 main faculties which are Faculty of Accounting, Faculty of Business Management, Faculty of Information Management and Faculty of Computer Science and Mathematics.

The vision is to make UiTM Johor as an excellent university in the field of management and business that based on intelligence and businessmanship culture with the conducive and new technology environment. In fact, UiTM Johor also play a role in order to improve the education and skills among the bumiputra in management and business field throughout the program of profesionalisme, research and involvement of community service which are based on moral values and professional ethics in its mission. To be sure, UiTM Johor will continue to forge the name of glory as proof of magnanimity and purity of the identity of the nation and motherland.

1.1.2

UNIT/DIVISION OF INDUSTRIAL TRAINING STUDENT

Generally, UiTM Johor is a main campus that has many units and divisions which specify to its own task such as Administration, Treasures Unit and Information Technology Unit as well. In this IT unit, I have been placed as an Industrial Training student together with my partner from UKM starting from the beginning to the end of industrial training. Information Technology Unit was built in 2001 and play important role in expand the information technology in this campus.

ROLE OF UNIT/DIVISION

This IT Unit has its own function and role in order to give the best service to UiTM Johor such as develop, improve and manage facilities in accordance with the requirements of the Information Technology Students, Educators and Administrators in UiTM Johor.

In addition, it also gives 8 other services which are Administration & Management, Training & Visits, Office Automation, Web Application & Multimedia, Computer System Support, Managemnt of Asset and Inventory, Research & Development, Network & Security, Application & Information System and Lab Service.

1.1.4

ROLE OF STUDENT IN THE UNIT/DIVISION

As a student that been placed in the training industry IT Unit UiTM Johor, at first I was given the task to assist the work of ICT, such as providing desk files, updating records and print reports, but getting to work building a web-based system as an use of the departments in UiTM Johor, which is Facilities Management Division (Bahagian Pengurusan Fasiliti). COMPANYS CORE BUSINESS

Information Technology Unit is responsible for providing services to clients consisting of students and staff as well as producing and maintaining the information technology infrastructure for the academic and administrative of Universiti Teknologi Mara Johor. The core businesses are: i. Asset Management Provide ICT facilities to function properly in accordance with the eligibility of consumers.

ii.

Office Automation Ensuring staff receive an email address within 2 days if all the requested information was obtained by complete.

iii.

Research and Development (Advisory) Always provide the best solutions for all situations and needs of the ICT universities with continuous research and development.

iv.

Networking and Security Ensure communications systems throughout the campus network can operate with stability over 24 hours and ensure they are protected from any intrusion and virus threats.

v.

Support Computer System Provide computer systems to help facilitate their daily tasks, easy to use and can serve well at any time desired.

vi.

Laboratory Services Provide hardware and software according to the needs of learning and teaching in the computer lab.

vii.

Application Information System Ensure that all systems applications developed to meet the needs of users, equipped with manual users and can function well during working hours.

viii.

Training and Visit To provide ICT training opportunities to all staff who need it.

ix.

Web and Multimedia Strive to provide the best service in the development of multimedia in times of need.

2.0 2.1

REPORT OF TASKS DURING INDUSTRIAL TRAINING DURATION ABOUT THE TASK (OBJECTIVE/SCOPE/DURATION OF TASK)

The objective of the training tasks in the industry UiTM Johor IT Unit is to assist one of the departments in UiTM Johor, the Facilities Management Division (Bahagian Pengurusan Fasiliti) in developing a system that can make the decision to assess the performance of the contractors involved in UiTM Johor. In addition, industrial training students are exposed to the global information technology industry that has called upon the graduates nowadays.

The scope of the assignment is to develop the web-based system which use MYSQL database and client-server environment. System tasks entrusted named Contractor Performance Monitoring System or in Malay is Sistem Pemantauan Prestasi Kontraktor (SPPK) Bahagian Pengurusan Fasiliti UiTM Johor, where the system is intended to assist the staff of Facilities Management Division which been tasked to evaluate the performance of projects of certain contractors according to the grade and scale that has been outlined.

Apart from assessing the performance of the project made by contractors, this system is also integrated with information systems administrators, companies and projects. The process of adding, updating and deleting information can also be done. Duration for developments of contractor performance monitoring system has been time consuming and a half for 3 months starting from August 4, 2010 until November 19, 2010.

2.2

INTERACTION WITHIN MAIN INDIVIDUALS DURING TRAINING

As one of students industrial training, interaction between the staffs is important because the process of learning and adaptation in the new regulations. On the IT Unit, as an industrial training students, many interactions and communications occur with supervisors, Mrs Mimi Hasliah about the details of tasks, problem solving, and organization description in the IT Unit itself and it is added with the help of that is due to many given the assistant supervisor of an assistant information technology officer. Most interactions involved are in the form of discussions, meetings and presentations. The medium is also used orally.

Besides, the interaction also occurs between the practical partners which also give a great help in preparing the modules in the system. In fact, the supervisor has set an advisor who is a computer science lecturer in UiTM Johor to help in develop the system. Every two weeks the work plan and a module that has been built will be shown to lecturer adviser of system and discussions will be made.

Inquiries are also made directly via email if there are any problems or concerns. In addition, during the training industry in the IT Unit a lot of support staff and technicians were helping if there are any difficulties in using ICT equipments here, and when answering calls from users regarding to the problems reported. TASKS BRIEF DESCRIPTION IN GROUP/INDIVIDUAL

3.0 3.1

Because the industrial training in the IT Unit, UiTM Johor is involving me and the other partner of from UKM, so the task to develop this system was made in a group involving both of us. After the design work done, we have agreed to divide the task into several modules of the system and each one of us is responsible to complete the modules have been divided. Modules that involved in developing the Contractor Performance Monitoring System (SPPK) UiTM Johor is the Administrator module, a module of the Company and the Project module, while the level of user for this system is divided into users, administrators and system administrators.

3.2

ROLE OF GROUP MEMBERS

The breakdown of modules for administrators and the company was taken over by me, while the project's module is taken over by my practical partner. This breakdown also divided according to their administrators and users for which I am responsible for completing the module and the administrator of the system administrators and administrators of the user level. In the limited time, we strive to complete the task in accordance with the Gantt Chart made as guidelines and guideline in preparing the system in phases.

Here the role of each of us as a developer of systems to ensure that each module is assigned to us and we could finish it according to specified time period to avoid the phase or other modules affected by the distribution of individual tasks. In addition discussions are always conducted on the problem and confusion among the SQL statement, data discrepancies and logical thinking to consider for this system can be developed in future by other system builders. 3.3

To ensure the smooth development of SPPK system, documentation of the analysis phase of the processes and flows that occur in the system is done before entering the technical process of identifying and sketching Business Rules and model processes such as Context Diagram, Data Flow Diagram and Entity Relationship Diagram. In the analysis phase was 9 entities and 8 processes that contain 1 to many and many to many relationship involved in data flow, and only the first level of DFD was assigned where there is no breakdown for the second level.

All the Business Rules and analysis model was made after the referred numbers of books of Systems Analysis and Design and references on the internet are also be made so that the flow system are relevant. In addition, discussions and references are also made with the end user and supervisor in order to make flow system designed meet the requirements of users.

After a phase of analysis model and business rules are completed, the process of system design and development initiated in which the design sketch shown to the user and after the user is satisfied with the design, development system created by starting the modules that are already planned. After nearly 3 months to complete the system, the test is made by presenting to the user.

The system was tested by the user before the system made a few modifications. In the final phase, the system is ready to be implemented in the Division of Facilities Management (Bahagian Pengurusan Fasiliti). Undeniably, some problems also arise in the process of preparing the system, including the scope of the module that is not clear, time constraints, lack of expertise in PHP web programming language, and browser incompatibilities with some

programs. Even so, all problems can be solved with the help of his friends have a practical, lecturer advisers, staff and supervisor and discussions conducted.

NEW SKILL GAINED

During the assignment to develop a web-based system in UiTM Johor IT Unit, the main skill is learned and acquired using a PHP web programming language is learned in building webbased system, and use MYSQL database. In fact, the industrial training assignment system SPPK had give me speaking skills in front of an audience because of the presentation that has been made. Presentations for the user and the supervisor has indirectly increased confidence and improved ways to interact effectively for myself.

Through this industrial training, planning and decision making skills also been gained when faced with problems and difficulties in order to complete the assignments SPPK system where critical thinking is necessary and relevant to the problem and could be overcome successfully.

3.5

RELATION WITH THE COURSES THAT BEEN LEARN

Given the task of training the industry is building a web-based system, so this task is closely related to the courses that I have learned during study in FTSM, UKM. Among them is the course Systems Analysis and Design, where the course aims to introduce students to the system development and related analysis system. In addition, several programming languages used in the system have been studied at the faculty.

3.6

SOFTWARE AND TOOL THAT BEEN USED

In order to complete the task of SPPK system, some software and tools that have been used such as Micromedia Dreawveaver editor, PHPMyAdmin and Xampp server for the database, Microsoft Access 2007 to create a table relationship between the entity, Microsoft Visio 2003 for a sketch of ERD and DFD, Adobe Photoshop CS2 for designing banners and navigation menus. For hardware devices, the printer HPLJP4010_P4510 6_1 Series PCL is used to print the documentation system.

CONCLUSION 4.1 TASK OBJECTIVE BEEN ACHIEVED

After training in the IT industry in the Unit UiTM Johor for 20 weeks, the objective of a task accomplished by implemantation of Contractor Performance Monitoring System (SPPK) as a web-based evaluation system for Facility Management Division (Bahagian Pengurusan Fasiliti), UiTM Johor which the system can be used continuously to monitor the performance of contractors.

4.2

EMOTION/EXPRESSION DURING INDUSTRIAL TRAINING DURATION

Variety of expressions and emotions in which different situation are faced during this industrial training. Stress and emotional problems make the task do not work under control, but through discussion and conversation with our practical and staffs here had made my emotions decreased. In fact, feeling sad and happy to mingle was expressed on the last day of training because of sadness when had to leave IT Unit and UiTM Johor itself and finished the industrial training, but still happy to be continuing studies at UKM and sharing the experience later on.

4.3

CONTRIBUTION OF STUDENT TO THE COMPANY

Among my contributions as an industrial training student at the Unit IT, UiTM Johor is to provide good service and assistance in completing the assignment SPPK system. The system will be utilized by the Division of Facilities Management (Bahagian Pengurusan Fasiliti), UiTM Johor and will be supported and maintained by the IT Unit in future.

4.4

CONTRIBUTION OF COMPANY TO THE STUDENT

UiTM Johor while the IT Unit is also has helped me learn the skills to build an information management system and expose me to the ICT work environment. It would help me in experience and learning which may be useful to look for jobs later.
