Uses of this Documentation

This documentation is a compilation of information related to the system, from how to use the system to how the system works. Every part is explained as simple as possible without ruining the integrity of the system. This documentation serves as a user manual for employees of the company. Terminologies used are listed at the definition of terms page for the benefit of the users who are not too familiar on some technical terms used. Charts and diagrams are used to show how the system is developed

Project Overview A Sales and Inventory System supports inventory information of all items, monitors inventory depletion, as well as imports and exports inventory information to and from external systems of record. It also serves the needs of business manager, cashiers, and the administrators. CC Salon was established in February 2007 owned by Ms. Sandra Escalante, located at Fashion Square Bldg. Citywalk Eastwood Libis Q.C. with the initial capital of 18M Pesos, as high-end salon and distributor of professional and imported products like LOreal, Kerastase, and MAC make-up and accessories. Benefits Style Salon is known for its hair and make-up experts in the local industry. Due to the manual sales and inventory system existing in CC Salon, it posits like when their daily sales inventory and often it is not tally to what has been recorded. Another problem also arises when the reports are being manipulated by the employees. These problems lead to loss of sales if the company does not give proper solutions to them. Stock reports should be done daily. However, employees often fail to do so because they are too busy attending to their clients. Hence, it causes problems that would affect the accuracy of the status of their stocks and they do not know what particular product is diminishing and have been used that day. Thus, the proponents propose a Inventory System for CC Salon to further eliminate all the manual method and to diminish inconsistency of information due to some manual purpose. The study will also be able to produce necessary information for

the needs of the company. This will help them to do their task easier and to lessen errors in report due to human errors. Dedicated to the concept of product improvement as a means of solidifying, CC Salon looks toward a prosperous future raised through an impressive record of past accomplishments.

What the system can do? The inventory system supports the creation, updating, editing or deletion of an item data to its database. It also supports the calculation of the products price, number of stocks and number of sold items. The system will help the employees or user to attain accurate inventory. And it will help the user to organize data more easily.

Coverage of the project Scope The proponents will use a close kind system because there is no automated existing system in the salon. The study is focused on a Inventory System for CC Salon that will eliminate the manual computing of orders for their customer. It will generate the list of supplier and the lists and prices of different products.

The system will have a security and access level to ensure that no unauthorized personnel can see the data and transactions. The study of the proposed system also has the capability to show the users if a specific product that has already reached the lowest stock amount. A search index will be made available to easily locate products that need to be replaced. The users of the proposed system are their Manager/Cashier, Inventory head, and the Owner of the Benefits Style Salon. The Manager/Cashier can monitor the delivery and sales of the product and firsthand access to the system; tracks the availability of the products. The Inventory Head is assigned for the updates of the stocks like its prices, description, and its location then he can generate a report and give it to the Owner for the ordering of the stocks.

Work not to be included The study will not handle the payroll of the salon, the attendance monitoring of the staff. It will only keep track of the products sold and used by the company.

Project Team and Their Roles Different roles were set in this project to maximize time and effort each role fits to the ability of a person. Below is a detailed explanation on each of the role of our members. Project Managers (Group) Can have the responsibility of the planning, execution, and closing of any project, typically relating to construction industry, architecture, computer networking, and telecommunications or software development. Requirements Analysis(Pugrad,Cruz) encompasses those task that go into determining the needs or conditions to meet for a new or altered product, taking account of the possibly conflicting requirements of the various stakeholders, such as beneficiaries or users. Programmers(Vicente)(semi- Pugrad,Cruz,Campingco) write, test, debug and maintain the detailed instruction, called computer programs that computer must follow to perform their functions. Programmers also conceive, design, and test logical structures for solving problems by computer. System Designer (Pugrad,Cruz) - works under the direction of a project manager or systems architect and is central to the process of designing, developing and implementing the clearly defined requirements of a new information system. The role involves planning and designing information systems that integrate hardware, software and communication technologies. There are a range of opportunities in sectors as diverse as finance, retail, communications and government.

Testing Engineer(Vicente) Is a professional who determines how to create a process that would test a particular product in manufacturing, quality assurance. They are also responsible for determining the best way a test can be performed in order to achieve 100% test coverage of all components using different test processes. Implementation Coordinator (Campingco) - Is the person who orchestrates the many technologies, departments, and personnel involved in the planning and implementation of information systems for today distributed, cross-organizational, and multi-platform environment. Software Specialist(Group) provides Consultation, assistance, and instruction with respect to a wide variety of computer software and its applications; assist in analyzing software needs and recommending appropriate purchases and utilization.

Frequently used in project management, a Gantt chart provides a graphical illustration of a schedule that helps to plan, coordinate, and track specific tasks in a project.
