Annual Conference
This premiere, two-day event is held annually and moves throughout the state on a rotating basis. It is a key means of interacting with the members and associates. The conference boasts a minimum attendance of 200 professionals a year and reaches a broad spectrum of professionals, including OTs, COTAs, students, faculty and industry representatives. Additionally there are times during the conference when the public has is invited to attend the event and interact with vendors. Each year we ensure that there are multiple opportunities to interact with the attendees, some of the methods to facilitate this are as follows: Vendor booths located in break-out areas of conference Unopposed vendor time on multiple occasions within the event Tools to increase interaction such as a vendor raffle with vendor signature cards Advertising options on conference bags and in brochure Special event sponsorship opportunities such as the Presidents Reception and breaksout sessions Exclusive presenting time at the beginning of seminars

Although a variety of business partnerships are available, we realize that a broad package of options may not meet the needs of all businesses, and we have therefore priced each option individually. The various items are discussed below, with pricing included. In a final section at the end of this package the specifics of each items such as submission deadlines is listed.

Newsletter Ads

NYSOTA produces four issues of NYSOTA News each year, two in print format and two electronically as PDFs. Each issue is sent to all current NYSOTA members regardless of format. We have a variety of sizing options for the newsletter advertisements. Both print and electronic formats have the same ad sizes and pricing.

This advertising opportunity offers vendors the ability to convey information such as job postings or event listings. NYSOTA will work with you to place your ad in the most advantageous location on our website to maximize consumer viewing based on the content of the ad. Once ad and payment are received, orders are placed within one week of receipt, often sooner.

E-Update Advertising
Each month, NYSOTA sends our members a snapshot of all association happenings in the form of an E-Update. Similarly, this can be a quick snapshot of your company with an active link to the NYSOTA website, or your company home page. Information is delivered in an attractive single sheet with a striking format and layout. Only one ad is accepted per EUpdate giving exclusivity to your advertising! Ads are accepted on a first-come, first-served basis. You can reserve a spot in the issue(s) you prefer, provided they are not yet reserved. Ads can be text-based, with an active link and logo, a classified ad or a graphics-based ad and must be received no later than the 15th of the month in which they run. E-Updates are transmitted on or around the 20th of every month.

Membership Mailing Labels


Having the ability to contact members directly can further enhance your other advertising efforts. Labels can be purchased for the general membership of NYSOTA or specifically the attendees at the annual conference. Additionally we can refine information as needed. For example, addresses of just OTs can be requested, rather than the membership as a whole. To protect the integrity of the association and its members, NYSOTA requires review of the actual content of any mailing in advance of the delivery of the labels. Please note that NYSOTA has a single-use policy in effect for each set of labels that are purchased.

Special Events
Silent Online Auction
This is an exciting new venture for NYSOTA and promises to be an elite event through which will offer increased exposure to our vendors. Contributors will receive advertising opportunities on the auction site and in literature produced for the event. This event is wellpositioned to reach a broad spectrum of people, both within the profession of occupational therapy in New York State and beyond, as well as community members not routinely associated with the profession.

Gala Event

This is another exciting event for NYSOTA which is well-positioned to be a premier event of the calendar year for the association. It is anticipated that the NYSOTA Gala Event will be a night of glamour and glitz and will draw a wide array of professionals from across the state that are both directly involved and associated with the profession of occupational therapy. It is expected to be an environment that can highlight our vendors in new and exciting ways.

NYSOTA Cancellation Policy


For advertisers needs to cancel any purchased business partnership or individual advertising option the following policies will apply: For individual advertising options, if the request has been completed by NYSOTA no refund will be given. If the request has not been completed a 50% refund will be given at the time of the request. For business partnership arrangements, requests for cancellation must be received 45 days prior to Conference to be considered for a refund. If less than 45 days remains no refund will be provided. If any of the individual components of the package have been completed, a prorating will be applied to the total price of the package before a refund is considered. Following a prorating, a 50% refund will be provided.
