Lytec 2011 Installation Overview

This document contains instructions for all versions of Lytec 2011, including Lytec MD and service packs. Please carefully review the instructions for your version of Lytec 2011 and hardware and software requirements (see page 7) before installing the software.
If you purchased Lytec 2011 Single-User, go to page 11. If you purchased Lytec 2011 Professional or Multi-User, go to page 16. If you purchased Lytec 2011 Client/Server, go to page 26. If you purchased Lytec MD and you are a new user of Lytec MD, go to page 35. If you purchased Lytec MD and you are upgrading from an earlier version, go to page 62.

Lytec 2011 Single-User Hardware and Software Requirements
Workstation System Requirements - Recommended Equivalent to Pentium 4, 2.0 GHz (minimum) or higher processor, 4GB of available hard disk space, 2GB RAM, 32-Bit color display (minimum screen display of 1024x768), DVD drive (required to install the software). Workstation Operating System - Required Windows XP Professional SP3 or higher 32-Bit, Windows Vista Business SP1 or higher 32-Bit or 64-Bit, Windows 7 Professional or Ultimate (32 or 64 bit). Internet - Recommended High-speed Cable, DSL, Satellite internet service.

Workstation System Requirements - Recommended Equivalent to Pentium 4, 2.0 GHz (minimum) or higher processor, 4GB of available hard disk space, 2GB RAM, 32-Bit color display (minimum screen display of 1024x768), DVD drive (required to install the software); network card (NIC) 100Mbps. Workstation Operating System - Required Windows XP Professional SP3 or higher 32-Bit (NOTE: Window XP Professional SP3 is required if the workstation and the server are installed on the same computer), Windows Vista Business SP1 or higher 32-Bit or 64-Bit, Windows 7 Professional or Ultimate (32 or 64 bit). If a wireless network is the only option, we suggest, at the minimum, an 802.11G wireless network. Internet - Recommended High-speed Cable, DSL, Satellite internet service.

NOTE: The requirements for Lytec MD documented in the next section include several key elements that supersede or are in addition to the requirements for Lytec 2011 Client/Server. Review this section of the documentation carefully; the different requirements for Lytec MD are in italic text.

Lytec MD Hardware and Software Requirements
Workstation
Equivalent to Intel Core 2 Duo 1.6 GHz (minimum) or higher processor (recommended), 4GB of hard drive space, 4 GB of RAM (minimum), DVD drive (required to install the software). Network card (NIC) 100Mbps (cannot be a teamed network card).
Application Server
Equivalent of Intel Quad Core Xeon 1.6GHz; 8 GB of RAM, DVD-ROM drive; Storage Array Type: RAID1; Network card (NIC) 1Gbps (cannot be a teamed network card). At least 3 GB free on the C drive for installation of LytecMD and SQL Server 2008.* Dedicated hard drive or partition for data (for example, P:\ppart). At least, 1 GB for Lytec MD Server installation and 250 MB for Lytec MD Client installation. For those upgrading to Lytec MD 2011, the amount of space necessary is equivalent to the current size of your P:\Ppart folder. Lytec MD 9.5 (ships with Lytec 2011; 9.5.1 ships with Lytec 2011 SP1), Windows 2003 Server (Enterprise or Standard editions) 32-Bit SP2, Windows 2008 Server R2 Standard edition, 32-Bit. Database Platform: SQL Server 2008 R2 Standard edition (included with Lytec Client Server).

Lytec 2011 Single-User Installation

NOTE: Do not uninstall your previous version of Lytec until you convert to Lytec 2011. Uninstalling previous versions of Lytec is not required after upgrading and in most cases not necessary or recommended. NOTE: Shut down the Communications Messenger before running the Lytec 2011 installation. NOTE: Use an administrator account with full privileges when installing the software. NOTE: In some instances, you may have to restart the Lytec 2011 installation after the .NET framework is installed. If this occurs, the installation will close after installing .NET. Restart the installation. This situation can occur with older versions of the .NET framework on the PC. NOTE: Make a backup of your practice data in the prior release before installing Lytec 2011. Important note: If you are extracting the ISO or webinstall file to the hard drive prior to installing, you should extract to a folder that is immediately off the root drive and the folder name should be short. For example, c:\Install. Do NOT use a long folder name. This is recommended for both server and workstation installs.
Prior to installing, we recommend

If SQL Management Studio Express is installed, you should uninstall it prior to installing Lytec 2011. For steps to do so, see page 95. Make sure your Windows operating system has the latest service pack installed. This will be checked during installation.
If you are installing Lytec on Windows 2008 Server R2!

If your server is Windows 2008 R2, you MUST manually start the .NET Framework 3.5.1 feature BEFORE you attempt to install Lytec. To start the .NET Framework 3.5.1 feature: 1. On the server machine, select Start, Administrative Tools, Server Manager. The Server Manager window opens. 2. Under Feature Summary, check to see if .NET Framework 3.5.1 Feature is listed as installed. If it is, you may close the Server Manager window and continue with the install of Lytec. 3. If it is not listed, Select Add Feature to the right of Feature Summary. 4. Find .NET Framework 3.5.1 and open the folder. 5. Select the check box for .NET Framework 3.5.1. 6. Click Next. 7. Click Install. When the install is finished, you will see that this feature has been added. 8. Close the Server Manager window and proceed to the installation of Lytec. NOTE: if you have Capture Cam Player installed and running during installation of Lytec on Windows 2008 Server R2, Capture Cam Player will shut down and you will receive a notice of it. Simply select Close the window to continue installation.
1. Insert the Lytec 2011 disc in the computer. The Lytec Installation window appears.

Note: If the Lytec Installation window does not appear automatically, click Start and select Run. The Run window appears. On the Run window in the Open field, type X:\AUTORUN (where X is your DVD-ROM drive letter) and click OK. The Lytec Installation window appears. We recommend that you do NOT attempt to install using any of the programs with the extension *.msi, such as Lytec.msi. Doing so may result in failure of the installation. Always use autorun.exe. Note: if your Windows operating system does not have the latest service pack installed, you will receive a message notifying of this. You will need to exit the installation and install this service pack before installing Lytec. 2. On the Lytec Installation window, click Install Lytec. The Lytec 2011 Installation Welcome window appears.
Depending on your security settings if installing on the Windows Vista or Windows 7 platforms, the User Account Control window appears. Click Allow. 3. Click Next. The End User License Agreement window appears. 4. Review the terms of the agreement and click I accept the agreement. The Installation Type window appears.

5. Select the Lytec Single User Serial Number Prefix 7500 button and click Next. 6. The Select Lytec Components window appears. Select which components you want to install and click Next.
SQL Server: The database engine used by Lytec. Lytec Client: This is the Lytec 2011 software that you will use to enter information for your practice. Communications Manager: Transmits information between Lytec and Practice Partner Encoder Pro Integrated: Installs Encoder Pro so that it can be opened and accessed from within Lytec. Not available for Single User install. Encoder Pro Standalone: Installs Encoder Pro so that it is accessed from the desktop. Not available for Single User install. Crystal Reports: a reporting program that Lytec uses to print and generate reports. Predefined Forms: Forms you can use with Lytec.
7. The Subscription Agreement window appears. 8. Review the terms of the agreement and click I accept the agreement. Click Next. The Target Folder window appears. NOTE: The default program folder location is the recommended location that in most cases is the best choice for users. To complete a custom software installation and select a different folder, click Browse, navigate to an appropriate location, and click OK.

9. Click Next. The Data Folder appears. Either leave the default or click the Browse button to find a different folder. Click Next.
The SQL Server Setup window appears. During the installation, Lytec will install SQL Server Express in the Data Folder and use it to manage your practice database. Use this window to set up the SQL instance that Lytec will use for its practice database. You will need the information you enter here when you start Lytec and specify the default SQL credentials. .

Your SQL Server 2008 password must meet these requirements: At least 8 characters long. Not found in a dictionary. Not the name of a command. Not the name of a person. Not the name of a user. Not the name of a computer. Uses at least one upper case, lower case, numeral, and special character. Is significantly different from previous passwords.
Please note the password requirements above. Failure to create a password that meets these requirements WILL cause the installation to fail. IMPORTANT: For security purposes, we recommend that you change the default to something unique, especially if you have more than one Lytec server on your network. 10. Click Next. The Start Installation window appears. This window will tell you what type of installation you are actually performing, so what it says may differ from what appears here.
11. Click Next. The Installing window appears and tracks the progress of the install. If you are installing Lytec 2011 SPx, you may skip installing the Hotfix. When the installation is complete, you will need to: Install the Hotfix that you will need to apply when installing the software. This Hotfix updates the billing functionality. To do so, o o Click this link or copy it into your web browser: http://www.lytec.com/download/2011/Hotfix_1/Lytec2011hotfix.exe Click Save to save the file to your computer.

Find the file and double click. Then, follow the instructions.
Start Lytec. Then, you must specify the default SQL server credentials. For step by step instructions, go to on page 92. Register the program. If you are upgrading from an earlier version of Lytec, you will need to migrate your existing database to a new location. For instructions, go to Migrating Existing Databases on page 93. Then, you will need to convert your practice data. Instructions are found on page 95. If you are new to Lytec, you will need to create your practice. Just follow the initial steps on page 93.

Overview
When installing Lytec 2011 Professional or Multi-User, you should first designate a computer as the server. For the purpose of this installation, a server is the computer where your data resides. You must know the name of the server to continue with installation and setup. A workstation is a computer that you use to run Lytec but does not house the data files. It accesses the data on the server across the network. There are four major steps for installing Lytec 2011 Professional or Multi-User on a network: Install and set up Lytec 2011 on the server Migrate the existing database to the new SQL instance Create a new practice or convert an existing practice Install and set up Lytec 2011 on each workstation

5. Depending on the product purchased, select either the Lytec Multi User Serial Number Prefix 7400 button or the Lytec Professional Serial Number Prefix 7300 button. Click Next. The Installation Mode window appears.

6. Select Server. Click Next. The Select Components window appears.

To complete a custom software installation and select a different folder, click Browse, navigate to an appropriate location, and click OK. 10. Click Next. The Data Folder window appears.
11. Specify the folder on the server where the practice data will be stored. Click Next. The SQL Server Setup window opens. Enter the name of the SQL instance and the password for the system administrator. You will need this information when you specify the default SQL instance later, both on the server machine and the client workstations.

When the installation is complete, you will need to start Lytec and specify the default SQL server credentials. For step by step instructions, go to page 92. Following that, you will need to migrate existing databases to the new SQL instance. Then, you will create a new practice or converting existing practices. 14. After you are finished setting up a practice or converting, go to the Workstation Installation and Setup section of these instructions for information on installing and setting up the program on a workstation.

Lytec 2011 Client/Server Installation

NOTE: Do not uninstall your previous version of Lytec until you convert to Lytec 2011. Uninstalling previous versions of Lytec is not required after upgrading and in most cases not necessary or recommended. NOTE: Shut down the Communications Messenger before running the Lytec 2011 installation. NOTE: In some instances, you may have to restart the Lytec 2011 installation after the .NET framework is installed. If this occurs, the installation will close after installing .NET. Restart the installation. This situation can occur with older versions of the .NET framework on the PC. NOTE: Make a backup of your practice data in the prior release before installing Lytec 2011. Important note: If you are extracting the ISO or webinstall file to the hard drive prior to installing, you should extract to a folder that is immediately off the root drive and the folder name should be short. For example, c:\Install. Do NOT use a long folder name. This is recommended for both server and workstation installs.
If you are installing Lytec 2011 on a Windows 2008 Domain Controller

You will need to manually install SQL Server 2008 BEFORE you install Lytec. For instructions on installing SQL Server 2008 manually, see page 98 for a new install, and page 104 for an upgrade. NOTE: If you are installing any service pack of Lytec 2011, you may disregard this and install normally.

If SQL Management Studio Express is installed on your server computer, you should uninstall it prior to installing Lytec 2011. For steps to do so, see page 95. Make sure your Windows operating system has the latest service pack installed. This will be checked during installation.
Overview
For the purpose of this installation, a server is the computer where your data resides and is running either Windows Server 2003 operating system (Standard or Enterprise, SP2 and R2) or Windows Server 2008 operating system (Standard, or R2). You must know the name of the server to continue with the installation and setup. A workstation is a computer that you use to run Lytec but does not store data. It accesses data on the network server. There are four major steps for installing Lytec 2011 Client/Server: Install and set up Lytec 2011 on the server Migrate the existing database to the new SQL instance Create a new practice or convert existing practices Install and set up Lytec 2011 on each workstation These instructions take you through each step.
Server Installation and Setup

NOTE: You must perform the server installation on a computer with a supported server operating system (Windows Server 2003 or Windows Server 2008) using an administrator account with full privileges.

If you are installing Lytec on Windows 2008 Server R2!

If your server is Windows 2008 R2, you MUST manually start the .NET Framework 3.5.1 feature BEFORE you attempt to install Lytec. To start the .NET Framework 3.5.1 feature: 1. On the server machine, select Start, Administrative Tools, Server Manager. The Server Manager window opens. 2. Under Feature Summary, check to see if .NET Framework 3.5.1 Feature is listed as installed. If it is, you may close the Server Manager window and continue with the install of Lytec. 3. If it is not listed, Select Add Feature to the right of Feature Summary. 4. Find .NET Framework 3.5.1 and open the folder. 5. Select the check box for .NET Framework 3.5.1. 6. Click Next. 7. Click Install. When the install is finished, you will see that this feature has been added. 8. Close the Server Manager window and proceed to the installation of Lytec. NOTE: if you have Capture Cam Player installed and running during installation of Lytec on Windows 2008 Server R2, Capture Cam Player will shut down and you will receive a notice of it. Simply select Close the window to continue installation.

Lytec MD Installation Checklist

The following steps list the general requirements for installing Lytec MD. You must complete the steps in the order listed below. Mark off the items as you complete the checklist. The first task you will complete is downloading your license file for Lytec MD from the Internet. The steps are shown below. The second task you will complete is installing Lytec MD on the server. Complete the steps in this book for installing Lytec MD on the server. Be sure to complete all the steps in the instructions. The third task you will complete is installing your client workstations. See the Client Workstation Installation section for step-by-step instructions on page 45. The fourth task you will complete is configuring the Communications Manager, installed when you were installing Lytec MD. Yu will launch Lytec 2011 and launch the Communications Manager. Complete the

steps in the Setting up a Connection to Lytec MD with Communications Manager section of this guide on page 50.

From the desktop, select Start, Control Panel. Double click User Accounts and click on the link Turn User Account Control on or off.
2. Uncheck Use User Access Control (UAC) to help protect your computer. Click OK. 3. At the prompt to restart your computer, click Restart Now.
Overview

Make sure the following items are true: The logical drive on the application server must be a drive letter that is not reserved by any workstation (P: is the recommended drive letter). The drive letter where the application resides on the application server must be available to be mapped to each and every Lytec MD computer workstation. You should have a folder prepared on the server, on the logical drive noted above, for Practice Partner and this folder should be empty (typically this folder is called ppart). You will need a folder called License on the same server. This is where you should place your Practice Partner license file. If you do not have a License folder, the steps below on downloading your license file will walk you through the process of creating one. You must verify that the correct permissions are established for the root drive (typically P). Users should have full access rights. For instructions on setting or verifying these permissions, see page 95. Your server and workstations should meet the system requirements as specified at the beginning of this guide. Once you install Lytec MD on your server, you will need to open or add ports on any third party firewall you might use. Refer to the product documentation for instructions. The ports that need to be opened or added to an exception list are: TCP on 1433 and 1434 and UDP on 1434. A workstation is a computer that you use to run Lytec but does not store data. It accesses data on the network server. Each workstation should be mapped to the server computer.
Download License Files for each new Lytec MD version

Your license file can be downloaded from the Internet. Please note new license files are required for each new version of Lytec MD. We will still send license disks upon request. If you would like a disk sent to you, please email your request to DL_PP_Production@McKesson.com. To download your new license file: 1. Go to the Customer Support Web site at https://support.practicepartner.com. 2. Enter your username and password. If you forgot your password, click the Forgot your Password? link and follow the instructions. 3. Under Account Links to the right side of the page, click on View Product Details. Here is a list of your registered Products. Click the product you would like to request the license for. 4. Under Included Options, click on Request a license file for installing Lytec MD. Your license files will be e-mailed to you within the next couple of minutes. The email provides instructions for installing the license files or see the section below for details.
Installing your License files for Lytec MD

1. Create a License folder on the P:\ drive (or whatever drive the ppart folder is on). To create a License folder: 1. Open Windows Explorer. Click Start, point to All Programs, point to Accessories, and then click Windows Explorer. 2. Browse to the P:\ drive (or whatever drive the ppart folder is on). 3. Create a new folder by right-clicking a blank area in a folder window or on the desktop, pointing to New, and then clicking Folder.

4. Rename the default folder to License, and then press ENTER. 2. Save the files attached to the email into the License folder (usually P:\license). One of the files should be named "pplic.txt". If this file doesn't exist (because some Email programs strip this file), please save the other file in the License folder and rename it to "pplic.txt". 3. Begin your installation or upgrade of Lytec MD. During the install you will be prompted to browse to the License folder (usually P:\license) where your license files are located.
Lytec 2011 MD Server Installation

Follow the instructions below to install LytecMD on your server computer. NOTE: You must perform the server installation on a computer with a supported server operating system (Windows Server 2003 (SP2 or R2) or Windows Server 2008) using an administrator account with full privileges. NOTE: Unless instructed, accept all default choices and follow all the default window prompts. Exceptions and recommendations are noted in the step by step instructions. NOTE: In some instances, you may have to restart the Lytec 2011 installation after the .NET framework is installed. If this occurs, the installation will close after installing .NET. Restart the installation. This situation can occur with older versions of the .NET framework on the PC.
If you are installing Lytec MD on Windows 2008 Server R2!

Your password must be Between 8 and 16 characters in length and Consist of a combination of letters and at least one number and one non-alphanumeric character. Cannot be the same as your user name. The default value shown to the left is the recommended password.
15. Write down the name and password of the initial user. You will need this information when you first start and log into Practice Partner. Click Next. NOTE: If you are installing Lytec 2011 and not Lytec 2011 SP1, these last two windows will be combined on one screen. 16. On the PP Database Setup window, enter the name of the database and a user name and password for the user. This information gives the database a name, user, and password. If you are unsure, leave the defaults for the first two fields and create a password that meets the requirements listed, make a note of them, and click Next. WARNING: If you are running Windows 2008 Server, you must change the default password on this window. PM$1ADMIN will not work.
Passwords cannot contain the users account name or parts of the users full name that exceed two consecutive characters. Passwords must be at least six characters in length. Passwords must contain characters from all of the following four categories: o English uppercase characters (A through Z). o English lowercase characters (a through z). o Base 10 digits (0 through 9). o Non-alphabetic characters (for example, !, $, #, %).
IMPORTANT: Please note the password requirements. Failing to create a password that meets these requirements WILL cause the installation to fail. 17. The Start Installation window appears. Note: if you chose to install Encoder Pro, you will see a window that asks you to specify where you want it to install.

Watchdog
A program called Watchdog is available. This program will monitor applications and services used with Lytec MD and can notify you if there are failures in these applications and services. In addition, you can use Watchdog to shut down and restart applications and services periodically to ensure they are running or when you are running an automatic backup. It can also be set up to notify you via email if there are failures in any applications and services. Setting up a Connection to Lytec MD with Communications Manager

Before you set up Communications Manager, you should determine if you want to use Automatic Provider Mapping. Your provider ID mapping between Lytec and LytecMD determines if you should use this feature. Using this feature if your provider ID mappings do not meet certain conditions can jeopardize accuracy of appointments sent from Lytec to LytecMD, the provider associated with a patient, and possibly the provider assigned to charges coming in from LytecMD to Lytec. Also, before using this feature, back up your data.
Types of Provider Mappings

There are two methods for mapping providers between Lytec and LytecMD: via manual provider entry in Lytec and LytecMD and then updating the cross reference files to map the providers between the systems or via automatic provider mapping, a new feature introduced with Lytec 2011 controlled by the Automatic Provider Mapping box that manages the process. The automatic provider mapping feature replaces the need to enter providers in both systems (now entered in Lytec only) and to update the provider mappings in the cross reference files. You can take advantage of this new feature if you are: installing LytecMD for the first time (new installation). upgrading your version of LytecMD if you have a one-to-one relationship in your current provider record mapping between Lytec and LytecMD in the DemSch and Billing cross reference files.

A one-to-one mapping relationship means that you only have one provider ID for each provider record in your practice mapping to one provider ID in LytecMD. If your practice is set up with one-to-one provider mappings between Lytec and LytecMD, then you can use the automatic provider mapping feature. WARNING: If you have multiple provider IDs for the same provider and these are mapped to one provider ID in LytecMD, then you MUST NOT use the automatic provider mapping feature. If you turn on this feature and use it in this situation, you jeopardize accuracy of appointments sent from Lytec to LytecMD, the provider associated with a patient, and possibly the provider assigned to charges coming in from LytecMD to Lytec. For instance, if your practice has two providers, but each provider has three provider IDs, possibly for unique billing situations, use of a facility, services offered, etc., and in LytecMD you have mapped these provider IDs to one provider ID in LytecMD, you should continue using the manual provider entry method to update provider information.
Provider Mapping Examples

TIP: If you are unsure of the status of your mappings, contact LytecMD support. You can also check the DemSch cross reference file (DemSch_Pvid.ref) and Billing cross reference file (BillCode_Pvid.ref) to determine your mapping status.
One-to-One Mapping Example

To check the Dem Sch cross reference file, go to [Practice Partner directory folder]\\Interface\BillingBridge\DemSch\CrossRef and open the DemSch_Pvid.ref in NotePad or WordPad. When you open this file, you will see a series of entries, for instance in a three doctor practice: MM471 | MM4 JM875 | JM8 WW934 | WW9 The first entry for each line is the Provider ID from Lytec. The second entry for each line is the Provider ID in LytecMD. Both items when combined create a mapping from Lytec to LytecMD and this mapping is used by the applications to accurately transfer or map data between the systems. In this example, the relationship is one to one. Each of the three provider IDs in Lytec match a single provider ID in LytecMD.
Variation of a One-to-One Mapping Example

Another variation of a one-to-one mapping is the following: MM471 | MM4 MM571 | MM5 MM671 | MM6 In this example, the provider in the Lytec practice has three provider IDs (multiple provider records in Lytec); however, each of these Lytec provider IDs is mapped to a specific provider ID in LytecMD (also multiple provider records in LytecMD).
Multiple Mappings Example

If the cross reference file looked like this example below, the practice is set up using a multiple-to-one mapping: MM471 | MM4 MM571 | MM4

MM671 | MM4 In this example, there are three provider IDs in Lytec for a single provider and the IDs are mapped to one provider ID in LytecMD.
Check Billing Mappings Also

You must also check your mappings in the Billing cross reference file (BillCode_Pvid.ref) to determine your mapping status. Your Billing mappings must be the same as your Dem Sch but in reverse order; that is, the LytecMD provider IDs appear first, followed by the Lytec provider IDs. For instance, if you have five entries in your Dem Sch mapping, then these entries would need to be in your Billing mapping but in reverse order (LytecMD provider ID first). To check the Billing cross reference file, go to [Practice Partner directory folder]\\Interface\BillingBridge\BillCode\CrossRef and open the BillCode_Pvid.ref in NotePad or WordPad. Compare these mappings to the mappings in the Dem Sch. If you want to interface Race, Ethnicity, and Relationship to Insured (new for Lytec 2011), you will need to create new cross reference files. For Race, create DemSch-Race.ref with this configuration: C | White B | Black I | Indian/Alask A | Asian E | Other P | Pac Isle N | Non-Hispanic H | Hispanic

Setting Up Communications Manager with Automatic Provider Mapping

1. Launch Lytec and open a practice. Click Admin and click Communications Manager.
The Communications Manager launches showing the practice you are logged into and your user name.
2. Click Connections to create a connection. If no connections exist, the Connections window only contains the Add button. Once connections are added, they are displayed in this space and the Add button shifts to the right side of the window.

3. Click Add. The window updates with the Connection Name field and Connection Type list. In the Connection Name field, enter a name of your choice for the connection, and from the Connection Type list, select Lytec MD. Click OK.
Communications Manager creates the connection. This connection uses default settings for the File transfer method. This connection method is supported by both applications. 4. Select the Edit link for the Lytec MD connection.

5. In the PP Server Location field, enter or select the path to the Practice Partner Server files. This is the same path that you used on the PP Client Setup page of the client installation, the Practice Partner Server location.
6. Select the Automatic Provider Mapping box if you want to use this feature. If you do NOT want to use Automatic Provider Mapping, go to step 7. To use the Automatic Provider Mapping feature to manage your provider updates, you will first send your providers. You can at this time also send any other library synchronization data (facilities, diagnosis codes, and procedure codes) to LytecMD. Then, after this information is transferred by Communications Manager, you can send your other data, such as appointments, demographics, etc. WARNING: If you initially send your providers along with appointment and demographic data, the information will not completely transfer since providers need to be in LytecMD with mappings between the systems first so data can be matched to those records. When sending Library Synchronization data (providers, facilities, diagnosis codes, and procedure codes), you cannot also send demographic and appointment data. Each of these processes needs to have separate cycles that complete before the process runs, to guarantee that data transfers. After sending Library Synchronization data, you will need to check that the data transferred, by opening LytecMD and validating that the data transferred. You will also need to verify that the LytecMD Inbound DemSch and Outbound Bill Code features are not running (not yet turned on for new sites). To do so,

Click Done. Proceed to step 10. 8. Select the Bypass Synchronization Process box. Make sure the Force Resync on next transmission interval box, Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box ARE NOT SELECTED (checked).

9. Select the Send Providers box. Option: Also select the Send Facilities box, Send Procedure Code box, and Send Diagnosis Codes. Sending procedure codes and diagnosis codes can take several hours depending on the file size. Consider selecting these options at the close of your business day.

10. Click Done. 11. Before using the newly created connection, click Register and follow the standard Lytec registration window prompts, to register the connection.
12. After registering the connection, turn on the Communications Messenger (part of the application that manages the transfer of data between Lytec and Lytec MD). Click the Configuration button and then click Enable Communications Messenger on this Machine box.
A Communications Messenger window appears. The text in the window describes the initial synchronization process. Click OK. A second window appears, indicating that the messenger is processing the synchronization and creating messages in the destination directory.

If you did NOT use Automatic Provider Mapping, go to step 21. 13. At this point, you will need to launch LytecMD and verify that your provider records transferred. Also, if you sent other libraries (facilities, procedure codes, or diagnosis codes), verify that this information transferred. 14. Return to Communications Manager. On the Connections window, click the Edit button on the LytecMD connection entry.
15. Select the Force Resync on the next transmission interval box. Make sure the Automatic Provider Mapping box remains selected (checked). 16. For most users, select the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. 17. Make sure the Bypass Synchronization Process box is not selected (checked). 18. Make sure the Library Synchronization boxes (Send Providers, Send Facilities, Send Procedure Codes, and Send Diagnosis Codes) ARE NOT selected (checked). 19. Click Done.
20. The Communications Messenger window appears. The purpose of this window is to notify you that the application is about to perform an initial synchronization and send patient demographics and appointments.

The data is transferred. 21. Double-click the LytecMD DemShed (Inbound) icon on the LytecMD client pc desktop.

TIP: Sending future library updates The appointment and demographic data transfer is a different process than the library synchronization process. The library synchronization cannot occur at the same time as appointment and demographic data transfer; if these processes run at the same time, data might not completely transfer. For new sites when you have finished installing the software and have initially sent your library synchronization records, followed by other demographic and appointment data and then have a need to send the latest updated library updates (provider, facilities, procedure codes, or diagnosis codes) from Lytec to LytecMD, verify that the LytecMD Inbound DemSch and Outbound Bill Code features are not running.

In Communications Manager on the LytecMD connection clear (uncheck) the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. After the initial transmission of providers, you do not need to reselect Bypass Synchronization Process for library updates. Select the Library Synchronization choices of Send Providers, Send Facilities box, Send Procedure Codes box, or Send Diagnosis Codes box. Click Done. The library updates are sent at the next transmission interval. After sending the updates, verify that the information transferred to LytecMD. Then return to Communications Manager and on the LytecMD connection, select (check) the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. Make sure none of the Library Synchronization boxes are selected. The demographic and appointment updates are sent at the next transmission interval. Turn on the LytecMD DemSch Inbound and Bill Code Outbound features to import this data (demographics and appointments) into LytecMD.
Lytec MD InstallationUpgrade Users

Warning: do not upgrade to LytecMD 2011 unless you also plan to upgrade your Practice Partner release to Practice Partner 9.5 or higher. Earlier versions of Practice Partner will NOT run on the SQL Server 2008 R2 that is installed with LytecMD 2011.
If you are installing Lytec on a Windows 2008 Domain Controller

If you are installing Lytec 2011 and not a service pack of Lytec 2011, you will need to manually install SQL Server 2008 BEFORE you install Lytec. For instructions on installing SQL Server 2008 manually, see page 98 for a new install, and page 104 for an upgrade.
Lytec MD Installation Checklist

The following steps list the general requirements for installing Lytec MD. You must complete the steps in the order listed below. Mark off the items as you complete the checklist. The first task you will complete is downloading your new license file for Lytec MD from the Internet. Then, you will copy it into the existing License folder in the same place as the current license file. The steps are shown below. In addition, you will perform several pre-requisite steps to check for certain files and to shut down certain services. The second task you will complete is installing Lytec 2011 MD on the server. Complete the steps in this book for installing Lytec MD on the server. Be sure to complete all the steps in the instructions including migrating existing databases and practice data conversion. The third task you will complete is installing your client workstations. See the Client Workstation Installation section for step-by-step instructions on page 75. The fourth task you will complete is configuring the Communications Manager. You will launch Lytec 2011 and launch the Communications Manager. Complete the steps in the Setting up a Connection to Lytec MD with Communications Manager section of this guide on page 80.

Download License Files for each new Lytec MD version

You will no longer routinely receive a License disk. Instead, please download the product license file from the Customer Support Web site. Please note new license files are required for each new version of Lytec MD. We will still send license disks upon request. If you would like a disk sent to you, please email your request to DL_PP_Production@McKesson.com. To download your new license file: 1. Go to the Customer Support Web site at https://support.practicepartner.com. 2. Enter your username and password. If you forgot your password, click the Forgot your Password? link and follow the instructions. 3. Under Account Links to the right side of the page, click on View Product Details. 4. Here is a list of your registered Products. Click the product you would like to request the license for. 5. Under Included Options, click on Request a license file for installing Lytec MD. 6. Your license files will be e-mailed to you within the next couple of minutes. The email provides instructions for installing the license files or see the section below for details.
Copy the New License File

You will need to copy the new license file to your server drive. On the server drive, open the License folder. If there is an older license file in the folder, add .old to the end of the file name to avoid overwriting

it. Copy your new LytecMD license file into this location. The file is named pplic.txt.
Lytec 2011 MD Server Installation

NOTE: Do not uninstall your previous version of Lytec until you convert to Lytec 2011. Uninstalling previous versions of Lytec is not required after upgrading and in most cases not necessary or recommended. There are a number of procedures you should follow prior to installing Lytec MD 2011.
Print Lytec Registration Files

You should save or print the registration files for Lytec before you upgrade. To do so 1. In Lytec select Help, Register Program. 2. Step through the registration windows until you click Done. 3. You can then print the Software Registration page or save it to disk.
Disable User Access Control (UAC)

In order for the installation to go smoothly and for the client to run on the server, UAC must be turned off. Once it is turned off, you will need to reboot the server for the changes to take effect. Below are the steps to turn off UAC on Server 2008 Standard. 1. From the desktop, select Start, Control Panel. Double click User Accounts and click on the link Turn User Account Control on or off.

2. Uncheck Use User Access Control (UAC) to help protect your computer. Click OK. 3. At the prompt to restart your computer, click Restart Now.
Rename or Delete Certain List Container Names

If certain List names in Practice Partner exist prior to installing Release 9.5 or higher, the installation will fail and Practice Partner will NOT be usable. These list names are as follows: ENCOUNTER LIST REGISTRY TYPE ADMINISTRATION ROUTE ADMINISTRATION SITE VACCINE MANUFACTURER ADMINISTRATION DEVICE IMMUNIZATION SERVICE FUNDING ELIGIBILITY VACCINE DOSE UNITS If your database uses these list names, you must rename the lists or delete them prior to installing. To access the List names and modify them, a. In Practice Partner Client (LytecMD Client), select Maintenance. b. Select Templates. c. Select List Maintenance.
d. Check for the above names. If you find a list with any of these names, either use the Edit button to change the name of the List or use the Delete button to delete the list.

Shut down PP Connect

Stop the PMSI Data Server

Stop the PMSI Data Server and PMSI Application Server before installing on the server computer. If you do not stop the service, you will not be able to upgrade successfully. 1. Click Start and navigate to the Control Panel. From the Control Panel, select the Performance and Maintenance option. Then, select Administrative Tools and then Services. NOTE: depending on your version of the Windows operating system and if you are using the Classic view option, the Performance and Maintenance option does not always appear. In this case, go to the Administrative Tools option. 2. Find PMSI Data Server and right-click. Select Stop. 3. Find PMSI Application Server and right-click. Select Stop. Before using LytecMD, you will need to verify that the installation restarted the services.

Shut down Communications Manager and Messenger

Close Communications Manager if the utility is open and running on the server. You must also stop Communications Messenger by right-clicking its icon in the system tray, selecting Exit, and clicking OK on the message window that appears. Before using Communications Manager, you will need to turn it back on by opening Communications Manager, clicking Configuration, and selecting the Enable Communications Messenger on this Machine box after installing the server.
Important note: If you are extracting the ISO or webinstall file to the hard drive prior to installing, you should extract to a folder that is immediately off the root drive and the folder name should be short. For example, c:\Install. Do NOT use a long folder name. This is recommended for both server and workstation installs.

Uninstall ALL patch installers. These patches are called McKesson Practice Partner Client Patch Installer and McKesson Practice Partner Server Patch Installer. It is possible that these patches exist multiple times on a single machine. All instances will need to be removed for the Practice Partner installer to work properly. They can be removed by using the Add/Remove Programs feature in Control Panel. If SQL Management Studio Express is installed on your server computer, you should uninstall it prior to installing Lytec 2011. See page 95. Make sure your Windows operating system has the latest service pack installed. NOTE: In some instances, you may have to restart the Lytec 2011 installation after the .NET framework is installed. If this occurs, the installation will close after installing .NET. Restart the installation. This situation can occur with older versions of the .NET framework on the PC. NOTE: Make a backup of your practice data in the prior release before installing Lytec 2011. NOTE: If you currently have Lytec MD 2010 with Practice Partner 9.3.3 installed, you must upgrade FIRST to Lytec MD 2010 SP1 PRIOR to installing Lytec MD 2011.
Server Installation and Setup

NOTE: You must perform the server installation on a computer with a supported server operating system (Windows Server 2003 or Windows Server 2008) using an administrator account with full privileges.
If you are installing Lytec MD on Windows 2008 Server R2!

If your server is Windows 2008 R2, you MUST manually start the .NET Framework 3.5.1 feature BEFORE you attempt to install Lytec MD. To start the .NET Framework 3.5.1 feature: 1. On the server machine, select Start, Administrative Tools, Server Manager. The Server Manager window opens. 2. Under Feature Summary, check to see if .NET Framework 3.5.1 Feature is listed as installed. If it is, you may close the Server Manager window and continue with the install of Lytec MD. 3. If it is not listed, Select Add Feature to the right of Feature Summary. 4. Find .NET Framework 3.5.1 and open the folder. 5. Select the check box for .NET Framework 3.5.1.

6. Click Next. 7. Click Install. When the install is finished, you will see that this feature has been added. 8. Close the Server Manager window and proceed to the installation of Lytec MD. NOTE: if you have Capture Cam Player installed and running during installation of Lytec on Windows 2008 Server R2, Capture Cam Player will shut down and you will receive a notice of it. Simply select Close the window to continue installation. 1. Insert the Lytec 2011 disc in the computer. The Lytec Installation window appears. .

SQL Server: The database engine used by Lytec Lytec Client: This is the Lytec 2011 software that you will use to enter information for your practice. Communications Manager: Transmits information between Lytec and Practice Partner Encoder Pro Integrated: Installs Encoder Pro so that it can be opened and accessed from within Lytec. Encoder Pro Standalone: Installs Encoder Pro so that it is accessed from the desktop. Crystal Reports: a reporting program that Lytec uses to print and generate reports. Predefined Forms: Forms you can use with Lytec. LytecMD Server: This is the software that goes on the server computer to run Practice Partner. It is ONLY installed during the Server installation. LytecMD Client: This is the Practice Partner program. It is installed on the server computer only.
8. The Subscription Agreement window appears. Review the terms of the agreement and click I accept the agreement. 9. Click Next. The Target Folder window appears. Note: You will see this window ONLY if you selected Lytec Client on the Lytec Components window.

10. Click Next. The Data Folder window appears. This is the folder where the practice data files will be stored on the server. Note: You will see this window ONLY if you selected Lytec Client on the Lytec Components window.

11. Click Next. The SQL Server Setup window opens. Enter the name of the SQL instance and the password for the system administrator. You will need this information when you specify the default SQL instance later, both on the server and the workstations. NOTE: If you are upgrading from Lytec 2010 and were using a 64-bit computer, you must manually enter the name of the SQL instance (PP_SQL) in the field What would you like to call the SQL instance? The reason for this is that Lytec 2011 has updated the SQL instance.
Please note the password requirements above. Failure to create a password that meets these requirements WILL cause the installation to fail. IMPORTANT: For security purposes, we recommend that you change the default to something unique, especially if you have more than one Lytec server on your network. NOTE: If SQL is already installed on your computer and there is an existing password for the SQL Instance, the existing password will continue to be used. 12. Click Next. The Path to License File window appears.
13. Enter the path on the server to the file (named pplic.txt) and click Next. The PP Server Setup window appears.

14. Specify the location on the computer where you want the Practice Partner Server to be installed and enter the initial user credentials. This should be a server drive and be identified by a letter. The folder specified should be empty (typically P:\ppart). Click Next. The PP Initial User window appears.
Your password must be Between 8 and 16 characters in length and Consist of a combination of letters and at least one number and one non-alphanumeric character. Cannot be the same as your user name. The default value shown to the left is the recommended password.
15. Write down the name and password of the initial user. You will need this information when you first start and log into Practice Partner. Click Next. NOTE: If you are installing Lytec 2011 and not Lytec 2011 SP1, these last two windows will be combined on one screen. 16. On the PP Database Setup window, enter the name of the database and a user name and password for the user. This information gives the database a name, user, and password for the Practice Partner database. If you are unsure, leave the defaults for the first two fields and follow the requirements for the password below, make a note of the information, and click Next. WARNING: If you are running Windows 2008 Server, you must change the default password on this window. PM$1ADMIN will not work.

Passwords cannot contain the users account name or parts of the users full name that exceed two consecutive characters. Passwords must be at least six characters in length. Passwords must contain characters from all of the following four categories: o English uppercase characters (A through Z). o English lowercase characters (a through z). o Base 10 digits (0 through 9). o Non-alphabetic characters (for example, !, $, #, %).
NOTE: if the current database user (PHTECH) password does not meet the new requirements, you will see a dialog box that will allow you to change the password.
17. Click Next. The Start Installation window appears. This window will tell you what type of installation you are actually performing, so what it says may differ from what appears here. Note: if you chose to install Encoder Pro, you will see a window that asks you to specify where you want it to install.

Click Next. The Installing window appears and tracks the progress of the install. NOTE: The installation of Practice Partner Server could take several hours because your data is being upgraded during the installation. Once the installation has started, do not cancel the installation or you will have to start it over. 18. If you are installing Lytec 2011 SPx, you may skip installing the Hotfix. Go directly to step 18. Otherwise, install the Hotfix that you will need to apply when installing the software. This Hotfix updates the billing functionality. To do so, a. Click this link or copy it into your web browser: http://www.lytec.com/download/2011/Hotfix_1/Lytec2011hotfix.exe b. Click Save to save the file to your computer. c. Find the file and double click. Then, follow the instructions.
When the installation is complete, you will need to start Lytec and specify the default SQL server credentials. For step by step instructions, go to page 92. Following that, you will find steps to creating a new practice or converting existing practices.

Communications Manager: Transmits information between Lytec and Practice Partner Encoder Pro Integrated: Installs Encoder Pro so that it can be opened and accessed from within Lytec. Encoder Pro Standalone: Installs Encoder Pro so that it is accessed from the desktop. Crystal Reports: a reporting program that Lytec uses to print and generate reports. Predefined Forms: Forms you can use with Lytec.
If you selected Communications Manager during the server installation, leave it unchecked here. Normally, it is only installed on the server computer. 8. The Subscription Agreement window appears. 9. Review the terms of the agreement and click I accept the agreement. Click Next. The Target Folder window appears. NOTE: The default program folder location is the recommended location that in most cases is the best choice for users. To complete a custom software installation and select a different folder, click Browse, navigate to an appropriate location, and click OK.
If you are installing Lytec 2011 SP1, skip to Step 12. 10. Click Next. The Path to License File window appears. This is the file that gives you the license to use Practical Partner.

11. Enter the path on the server to the file (named pplic.txt). 12. Click Next. The PP Client Setup window appears.
13. Use the Browse button to locate the Practice Partner server files (set up during the Server installation procedure). These files will be on the server computer (typically in P:\ppart). In addition, type in the path where the Practice Partner Client is located. These files will be on the client computer. Click Next. The Start Installation window appears. NOTE: If you chose to install Encoder Pro, you will receive a wizard window that will ask you to specify the location where you want Encoder Pro installed.

14. Click Next. The Start Installation window appears. Let the installation complete. 15. If you are installing Lytec 2011 SPx, you may skip installing the Hotfix. Go directly to step 14. Otherwise, install the Hotfix that you will need to apply when installing the software. This Hotfix updates the billing functionality. To do so, a. Click this link or copy it into your web browser: http://www.lytec.com/download/2011/Hotfix_1/Lytec2011hotfix.exe b. Click Save to save the file to your computer. c. Find the file and double click. Then, follow the instructions.
NOTE: you must install this Hotfix on EVERY client workstation. 16. Repeat these steps for each workstation on which you want to use Lytec MD 2011.
Setting up a Connection to Lytec MD with Communications Manager

Before you set up Communications Manager, you should determine if you want to use Automatic Provider Mapping. Your provider ID mapping between Lytec and LytecMD determines if you should use this feature. Using this feature if your provider ID mappings do not meet certain conditions can jeopardize accuracy of appointments sent from Lytec to LytecMD, the provider associated with a patient, and possibly the provider assigned to charges coming in from LytecMD to Lytec. Also, before using this feature, back up your data.
Types of Provider Mappings

There are two methods for mapping providers between Lytec and LytecMD: via manual provider entry in Lytec and LytecMD and then updating the cross reference files to map the providers between the systems or via automatic provider mapping, a new feature introduced with Lytec 2011 controlled by the Automatic Provider Mapping box that manages the process. The automatic provider mapping feature replaces the need to enter providers in both systems (now entered in Lytec only) and to update the provider mappings in the cross reference files. You can take advantage of this new feature if you are: installing LytecMD for the first time (new installation). upgrading your version of LytecMD if you have a one-to-one relationship in your current provider record mapping between Lytec and LytecMD in the DemSch and Billing cross reference files.

Appendix A: Automatic Provider Mapping
A one-to-one mapping relationship means that you only have one provider ID for each provider record in your practice mapping to one provider ID in LytecMD. If your practice is set up with one-to-one provider mappings between Lytec and LytecMD, then you can use the automatic provider mapping feature. WARNING: If you have multiple provider IDs for the same provider and these are mapped to one provider ID in LytecMD, then you MUST NOT use the automatic provider mapping feature. If you turn on this feature and use it in this situation, you jeopardize accuracy of appointments sent from Lytec to LytecMD, the provider associated with a patient, and possibly the provider assigned to charges coming in from LytecMD to Lytec. For instance, if your practice has two providers, but each provider has three provider IDs, possibly for unique billing situations, use of a facility, services offered, etc., and in LytecMD you have mapped these provider IDs to one provider ID in LytecMD, you should continue using the manual provider entry method to update provider information.
Provider Mapping Examples

TIP: If you are unsure of the status of your mappings, contact LytecMD support. You can also check the DemSch cross reference file (DemSch_Pvid.ref) and Billing cross reference file (BillCode_Pvid.ref) to determine your mapping status.
One-to-One Mapping Example

To check the Dem Sch cross reference file, go to [Practice Partner directory folder]\\Interface\BillingBridge\DemSch\CrossRef and open the DemSch_Pvid.ref in NotePad or WordPad. When you open this file, you will see a series of entries, for instance in a three doctor practice: MM471 | MM4 JM875 | JM8 WW934 | WW9 The first entry for each line is the Provider ID from Lytec. The second entry for each line is the Provider ID in LytecMD. Both items when combined create a mapping from Lytec to LytecMD and this mapping is used by the applications to accurately transfer or map data between the systems. In this example, the relationship is one to one. Each of the three provider IDs in Lytec match a single provider ID in LytecMD.
Variation of a One-to-One Mapping Example

Another variation of a one-to-one mapping is the following: MM471 | MM4 MM571 | MM5 MM671 | MM6 In this example, the provider in the Lytec practice has three provider IDs (multiple provider records in Lytec); however, each of these Lytec provider IDs is mapped to a specific provider ID in LytecMD (also multiple provider records in LytecMD).
Multiple Mappings Example

If the cross reference file looked like this example below, the practice is set up using a multiple-to-one mapping: MM471 | MM4 MM571 | MM4

MM671 | MM4 In this example, there are three provider IDs in Lytec for a single provider and the IDs are mapped to one provider ID in LytecMD.
Check Billing Mappings Also

You must also check your mappings in the Billing cross reference file (BillCode_Pvid.ref) to determine your mapping status. Your Billing mappings must be the same as your Dem Sch but in reverse order; that is, the LytecMD provider IDs appear first, followed by the Lytec provider IDs. For instance, if you have five entries in your Dem Sch mapping, then these entries would need to be in your Billing mapping but in reverse order (LytecMD provider ID first). To check the Billing cross reference file, go to [Practice Partner directory folder]\\Interface\BillingBridge\BillCode\CrossRef and open the BillCode_Pvid.ref in NotePad or WordPad. Compare these mappings to the mappings in the Dem Sch. If you want to interface Race, Ethnicity, and Relationship to Insured (new for Lytec 2011), you will need to create new cross reference files. For Race, create DemSch-Race.ref with this configuration: C | White B | Black I | Indian/Alask A | Asian E | Other P | Pac Isle N | Non-Hispanic H | Hispanic
For Ethnicity, create DemSch-Ethnicity.ref with the following values: N | Non-Hispanic H | Hispanic For Relationship to Insured, create DemSch_InsRel.ref with a configuration something like the following: Self | S Spouse | O Child | C Other | O
Use the Automatic Provider Mapping Feature

If, after reviewing both the DemSch and Billing cross reference files, your mappings are one to one. The steps immediately below detail setting up Communications Manager with this feature.

If, after reviewing both the DemSch and Billing cross reference files, your mappings show a oneto-many relationship.

Setting Up Communications Manager with Automatic Provider Mapping

1. Launch Lytec and open a practice. Click Admin and click Communications Manager.
The Communications Manager launches showing the practice you are logged into and your user name.
2. Click Connections to create a connection. If no connections exist, the Connections window only contains the Add button. Once connections are added, they are displayed in this space and the Add button shifts to the right side of the window.

3. Click Add. The window updates with the Connection Name field and Connection Type list. In the Connection Name field, enter a name of your choice for the connection, and from the Connection Type list, select Lytec MD. Click OK.
Communications Manager creates the connection. This connection uses default settings for the File transfer method. This connection method is supported by both applications. 4. Select the Edit link for the Lytec MD connection.

5. In the PP Server Location field, enter or select the path to the Practice Partner Server files. This is the same path that you used on the PP Client Setup page of the client installation, the Practice Partner Server location.
6. Select the Automatic Provider Mapping box if you want to use this feature. To use the Automatic Provider Mapping feature to manage your provider updates, you will first send your providers. You can at this time also send any other library synchronization data (facilities, diagnosis codes, and procedure codes) to LytecMD. Then, after this information is transferred by Communications Manager, you can send your other data, such as appointments, demographics, etc. If you do NOT want to use Automatic Provider Mapping, go to Step 7. WARNING: If you initially send your providers along with appointment and demographic data, the information will not completely transfer since providers need to be in LytecMD with mappings between the systems first so data can be matched to those records. When sending Library Synchronization data (providers, facilities, diagnosis codes, and procedure codes), you cannot also send demographic and appointment data. Each of these processes needs to have separate cycles that complete before the process runs, to guarantee that data transfers. After sending Library Synchronization data, you will need to check that the data transferred, by opening LytecMD and validating that the data transferred. You will also need to verify that the LytecMD Inbound DemSch and Outbound Bill Code features are not running (not yet turned on for new sites). To do so,

Also check to see if the icons for these processes appear in the system tray at the bottom right of the window. If so, right-click and select Exit for each of them. Go to Step 8.
7. If you do NOT want to use Automatic Provider Mapping, make sure the Automatic Provider Mapping box IS NOT selected. Make sure the Send Providers box IS NOT selected along with any other Library Synchronization boxes. For most users, select the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates. Select the Force Resync on next transmission interval box to initially send your demographic and appointment data.

Click Done. Proceed to step 10. 8. Select the Bypass Synchronization Process box. Make sure the Force Resync on next transmission interval box, Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box ARE NOT SELECTED (checked).

9. Select the Send Providers box. Option: Also select the Send Facilities box, Send Procedure Code box, and Send Diagnosis Codes. Sending procedure codes and diagnosis codes can take several hours depending on the file size. Consider selecting these options at the close of your business day.

10. Click Done. 11. Before using the newly created connection, click Register and follow the standard Lytec registration window prompts, to register the connection.
12. After registering the connection, turn on the Communications Messenger (part of the application that manages the transfer of data between Lytec and Lytec MD). Click the Configuration button and then click Enable Communications Messenger on this Machine box.
A Communications Messenger window appears. The text in the window describes the initial synchronization process. Click OK. A second window appears, indicating that the messenger is processing the synchronization and creating messages in the destination directory.

If you did NOT use Automatic Provider Mapping, go to Step 21. 13. At this point, you will need to launch LytecMD and verify that your provider records transferred. Also, if you sent other libraries (facilities, procedure codes, or diagnosis codes), verify that this information transferred. 14. Return to Communications Manager. On the Connections window, click the Edit button on the LytecMD connection entry.
15. Select the Force Resync on the next transmission interval box. Make sure the Automatic Provider Mapping box remains selected (checked). 16. For most users, select the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. 17. Make sure the Bypass Synchronization Process box is not selected (unchecked). 18. Make sure the Library Synchronization boxes (Send Providers, Send Facilities, Send Procedure Codes, and Send Diagnosis Codes) ARE NOT selected (unchecked). 19. Click Done.
20. The Communications Messenger window appears. The purpose of this window is to notify you that the application is about to perform an initial synchronization and send patient demographics and appointments.

NOTE: this window may appear BEHIND other open windows on your desktop. Minimize other windows until you see this window. Click OK.
The data is transferred. 21. Double-click the LytecMD DemShed (Inbound) icon on the LytecMD client pc desktop.
The Connect-DemSch In window launches. 22. Double-click the LytecMD BillCode (Outbound) icon on the LytecMD client pc desktop.
The Connect-BillCode and Sch Out launches. 23. Return to LytecMD and verify that appointments and demographics transferred to LytecMD.
TIP: Sending future library updates The appointment and demographic data transfer is a different process than the library synchronization process. The library synchronization cannot occur at the same time as appointment and demographic data transfer; if these processes run at the same time, data might not completely transfer. For new sites when you have finished installing the software and have initially sent your library synchronization records, followed by other demographic and appointment data

and then have a need to send the latest updated library updates (provider, facilities, procedure codes, or diagnosis codes) from Lytec to LytecMD, verify that the LytecMD Inbound DemSch and Outbound Bill Code features are not running. In Communications Manager on the LytecMD connection clear (uncheck) the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. After the initial transmission of providers, you do not need to reselect Bypass Synchronization Process for library updates. Select the Library Synchronization choices of Send Providers, Send Facilities box, Send Procedure Codes box, or Send Diagnosis Codes box. Click Done. The library updates are sent at the next transmission interval. After sending the updates, verify that the information transferred to LytecMD. Then return to Communications Manager and on the LytecMD connection, select (check) the Transmit Appointments box, Transmit Patient Demographics box, Receive LytecMD transactions box, and Send & Receive appointment status updates box. Make sure none of the Library Synchronization boxes are selected. The demographic and appointment updates are sent at the next transmission interval. Turn on the LytecMD DemSch Inbound and Bill Code Outbound features to import this data (demographics and appointments) into LytecMD.
Watchdog
A program called Watchdog is available. This program will monitor applications and services used with Lytec MD and can notify you if there are failures in these applications and services. In addition, you can use Watchdog to shut down and restart applications and services periodically to ensure they are running or when you are running an automatic backup. It can also be set up to notify you via email if there are failures in any applications and services. To download and install Watchdog, navigate to http //Lytec.com/Watchdog/ and follow the instructions.
Specifying the Default SQL Server Credentials

After you have installed Lytec 2011, you will need to specify the default SQL credentials. Lytec 2011 no longer installs or controls the SQL instance. Instead, it uses an existing one by being given the credentials to the instance. 1. Start Lytec 2011. The Specify Default SQL Credentials window appears.

2. Select the server and instance name that was specified in the SQL Server Setup step during installation. The default Username is sa. 3. Click OK. 4. If you are a new Lytec user, go to the New Practice section of the instructions on page 93. If you are converting data from Lytec 2010, 2009, 2008, 2007, or 2006 to Lytec 2011, go to the section called Conversion from Lytec 2010, 2009, 2008, 2007 and 2006 on page 93.
New Practice
1. From the Lytec button, select New Practice. The New Practice window opens. 2. Enter the following information in the window: Practice NameEnter a name for the practice. SYSTEM PasswordEnter a password for the SYSTEM user. This password should be at least seven characters long and contain both alpha and numeric characters (for instance, SYSTEM1). Confirm PasswordReenter the SYSTEM password. 3. Click OK to create the practice. The Log In window opens. 4. Enter SYSTEM as the user code and the SYSTEM Password created in Step 2. Click OK to open the new practice.
Converting Data from Lytec 2006, 2007, 2008, 2009, and 2010
Migrating Existing Databases
Lytec 2011 has an updated use of SQL in which it no longer controls the SQL instance on the computer, allowing other programs to use the instance as well. Lytec now simply is given the SQL instance credentials and uses them. Because of this, it is necessary to migrate Lytec databases to the new instance as part of the process of installation and conversion. Once you have Lytec 2011 and later installed, you will be prompted to migrate your databases when you first start Lytec. The program will look for the old LYTEC_SQL instance. If it finds this instance, it will trigger the Database Migration wizard. In addition, there is also an option on the main application menu that you can use to manually start the wizard.

When you click this option, Lytec will check for a LEGACY_SQL instance and check if any legacy practices exist. If so, the Database Migration wizard will start. Use the Migrate Legacy Databases window to select the databases that you want to migrate to the new SQL instance.
Once you have made your selections, click Migrate. A progress bar will show you the progress of the migration. When the process is complete, click OK. NOTE: You should run this utility only on the server computer. When the databases have been migrated, you can continue with the conversion of your practices.

Converting Practices
NOTE: this procedure applies to users converting data from 2010. 2009, 2008, 2007, or 2006 to 2011 on same operating system; that is, you are installing on the same operating system (either Windows XP or Vista) as the previous version. 1. After you have migrated your databases to the new SQL instance, click the Lytec button and select Open Practice. The Practice List window opens. 2. Click Browse. 3. Select the practice you want to convert and click Open Practice. The Converting Data Files window appears. 4. Click Yes. The Log In window appears. 5. On the User Code and Password fields, enter the information for the practice and click OK. The Conversion Backup window appears. 6. Click OK. The Backup Type window appears. 7. Select the Backup Database button and click Next. 8. Click the Backup File button to navigate to a location for storing the backup. Use the Folders drop down list to further select a location and enter a file name in the Selected File field. Click OK. Click Next. 9. Click Next on the Backup Options window. 10. Click Next on the Backup Media window. 11. Click Finish on the Backup SQL Preview window. The backup utility runs and the Database Interface window appears. 12. Click OK. Conversion continues. 13. When the conversion is complete, the Error Log window appears. Click OK. 14. The Log In window appears. Enter the user code and password from the practice and click OK. The converted practice opens.
Appendices
Uninstalling SQL Management Studio Express
To uninstall this program: 1. Click Start, and then click Control Panel. 2. Double-click Add or Remove Programs. 3. In the list of installed programs, click Microsoft SQL Server 2005, and then click Change. 4. On the Component Selection page, select Workstation components, and then click Next. 5. Click Next. 6. On the Change or Remove Instance page, click Change Installed Components. 7. Expand Client Components, click Management Tools, and then select Entire Feature will be Unavailable. 8. Click Next. 9. Click Install.

Setting Permissions for the Lytec MD Root Drive and Folders

It is critical that workstations and users have full access to the root drive and folders where the Practice Partner files are stored. Follow these directions to verify the permissions settings. 1. On the server drive, double click the My Computer icon or select Start, Computer. 2. Right click on the drive set up for Practice Partner (typically P:) and select Properties. 3. Select the Sharing tab and click Advanced Sharing. 4. Select the Share this folder check box and specify the Share name (typically P).
5. Select the Permissions button. On the Permissions window, click Add and type in USERS in the Enter the object names to select box. Click OK. 6. Repeat this process and create a SYSTEM user and a DOMAIN USER (if you are on a domain; If there is no domain, you might get a message telling you so).

7. On the Permissions window, select each user from the Group or user names box and then click Allow for Full Control in the Permissions for box.
8. Click OK twice to return to the Properties window. 9. Select the Security tab. 10. Highlight Everyone and click Edit. 11. On the Permissions window, select the Allow check box for Full Control.

Installing SQL Server 2008 Manually for a New Install

NOTE: if you are installing a service pack, you may disregard this information and install normally. Normal installation will install SQL as part of the complete installation process. If you are installing Lytec on a domain controller, you must install SQL Server manually prior to installing Lytec. Follow these steps to install it manually. Insert the appropriate Lytec DVD in your computer and allow it to start. NOTE: If the installation window does not appear automatically, click Start and select Run. The Run window appears. On the Run window in the Open field, type X:\setup (where X is your DVD-ROM drive letter) and click OK. The SQL Installation window appears.

1. Select Installation from the menu on the left.
2. Select New installation or add features to an existing installation. The wizard will run Setup Support Rules. When this is done, click OK. 3. On the Product Key window, select Enter the product key and enter the appropriate key.

11. On the Disk Space Requirements window, select Next. 12. On the Server Configuration window, select the appropriate value in the Account Name column for each Service. Click Next.
13. On the Database Engine Configuration window, select Mixed Mode (SQL Server authentication
and Windows authentication). Then, enter a password for the system administrator (sa) account. The requirements for this password are as follows:
At least 8 characters long. Not found in a dictionary. Not the name of a command. Not the name of a person. Not the name of a user. Not the name of a computer. Uses at least one upper case, lower case, numeral, and special character. Is significantly different from previous passwords.
NOTE: You will need this password later when you install Lytec, so make sure you remember it. 14. Next, specify the SQL Server administrators. These must be users with sufficient permissions. If necessary, you must create a user.

15. On the Analysis Services Configuration, add the current user if that user has sufficient permissions or add a user who does. Then, click Next.
16. On the Reporting Services Configuration window, select Install, but do not configure the report server. Click Next.

17. On the Error Reporting window, click Next. 18. On the Installation Configuration Rules window, click Next. 19. Click Install on the Ready to Install window. The installation begins. When it is complete, you will see the Complete window.
20. Return to the point in this guide from which you started and proceed with the installation of Lytec.
