The primary purposes of Stream are to provide:


1. An easy-to-use interface for Team Members, Project
Managers, and other stakeholders to communicate
progress on work,
2. Substantive updates to work assignments, and
3. End-users with greater control over daily activities.
One important part of this shift to Stream is providing
Project Managers the ability to communicate with their Team
Members in an interface designed especifically to meet
everyones needs.
The Team Member Home was built to simplify an end-users
interaction with Project Managers, Team Members, and the
Project and Portfolio Management side of @task.

Stream introduces new concepts Project Managers need to


understand. These include the practice of receiving creating
tasks through Work Requests and Team Requests, and
Negotiating Commit Dates.
The Project Managers Reference Manual is designed to
provide specific instructions on how to accomplish these and
other typical Project Manager activities using Stream.

This section of the manual provides a brief introduction to


Project Manager activities for Stream. There are several ways
to navigate to different areas of Stream. This chapter provides
step-by-step directions to access specific locations through
traditional methods.

My Stream Tab

Unlike @task Education course material, it does not provide an


explanation of the @task features, nor does it present scenarios
of how or why the feature might be utilized.

Filtering

Here is a visual of the Stream Home page as it appears when


you log into @task.

The My Stream tab comes with all system default Portal Profiles.
If you are using a custom portal profile, you will need to manually
add the My Stream tab to your home page.

On the left side of your screen you will notice a dynamic filtering
tool that helps you reduce the results displayed by Team or
Project.
By clicking on the Projects link, you will see a list of all projects
in the system that you belong to and updates made to it by
anyone assigned to that team.
Clicking the Teams option shows you a list of teams you belong
to and any updates made by members of your team or teams.

Working On Tab
The Working On tab allows you to see all of the teams in your
system. You can scroll through the list and see what each team
member is working on.
You can filter the users displayed in the Working On tab by
clicking on any of the teams listed to the left. Only the users
assigned to that team will appear under the tab.

Assigning Tasks

In Stream, a Project Manager has the ability to assign tasks to a


specific user or to a team.
If a Project Manager assigns a user to a task, the task will show
up on the individuals Work Requests tab. That individual wlll
then have the ability to accept the task.
To Assign a User to a Task
1. Open the project containing tasks in the Gantt chart.
2. Make sure the Assignments colum is displayed. If not turn
it on using the Add or Remove Columns option.
3. Click on the task you want to assign and type in the name
of the Team Member you want assigned to the task.
4. The task assignment will now show up in that Team
Members Work Requests.

Reviewing and Approving Commit Dates

If a Project Manager assigns a team to a task, the task will show


up on each team members Team Requests tab. The individual
will then have the ability to accept the team task.

Once a Project Manager has assigned a task to an individual or


team, the Team Member who accepts the task has the ability to
negotiate the commit date (or planned completion date).

To Assign a Task to a Team in the Gantt Chart

In other words, the Team Member decides when he or she


believes the task can be completed, and communicates this to
the Project Manager.

1. Add the Team column to the Gantt Chart by clicking


on the Add or Remove icon and selecting Team.
2. Type the name of the team you wish to assign in the
Team column.
3. Click Save. The task will now show under the Team
Requests.
NOTE: You can also assign a team to a task or issue through the
Bulk Edit options.

As a Project Manager, you will receive a notice informing you


there has been a change on work items you assign. This notice
will appear as a red alert icon at the top of the home page. You
can then review the date and either approve or renegociate the
change.
If a new commit date is acceptable, it is recommended that
you replan that portion of the project to reflect the commitment.
When a commit date does not work because it impacts other
portions of the project, then simple respond to the notification
and communicate that the task needs to be completed as
originally planned.
