Chapter 1 Overview of the Scanning Features Scan to HDD

This feature lets you save scanned data to the hard disk of the print controller. To scan originals, you need to specify a 4-digit box number from the control panel. This box number is handled as if it were a holder in the print controllers hard disk. Scanned data files thus stored on the hard disk are available to be loaded in, edited and stored via networks using TWAIN-capable Windows applications. When loading in scanned data, you need to enter a box number. Scanned data sitting on the hard disk of the print controller can be deleted only from personal computers on a network.

You can program the print controller to automatically delete scanned data sitting on the hard disk by configuring the [ScanDataAutoDel.] setting in the Print Controller Setup on the control panel. In addition, when the remaining disk space reaches less than 20 MB, your attempt to store scanned data is automatically rejected.

Scan to Email
This feature transmits scanned data to recipients at specified addresses as attachments to email.

Scan to FTP
This feature uploads scanned data to specified FTP servers.

[IMAGE EDIT] - [Reverse Image]
Allows you to enable/disable Reverse Image mode.

This feature cannot be used in combination with the Non-image Area Erase, or Full-image Area.

[IMAGE EDIT] - [Frame/Fold Erasure]

Allows you to enable/disable Frame/Fold Erasure setting. Use this feature when a thick original such as a book is loaded on the glass platen. Then, the scanned data does not take on the black shadow which otherwise develops along the outer edge or at the center of a duplicated original. This feature works with originals loaded in the RADF as well (not only originals loaded on the glass platen).

The Fold Erasure mode cannot be used in combination with the Full-image Area.

[IMAGE EDIT] - [Full-image Area]

When the SPECIAL ORIGINAL feature is set to Normal, the scan is made with an image data erase of 2 mm width at the top, bottom, left and right edges. In this mode, the document is scanned completely to the edges.

This feature cannot be used in combination with Non-image Area Erase, Reverse Image, or Frame/ Fold Erasure.

ROTATION OFF
Use this feature not to rotate the original image automatically by 90 degrees counterclockwise. Not Selected is the default. Whether or not this ROTATION OFF is activated, rotation does not occur in [RE] or [Mixed Original] modes if a selected paper size is [A4/A4R] and LENS MODE is [8.5x11/8.5x11R] or larger.

STORE
Press this key for scanning in Store mode. As long as this mode is activated, scanned data is not sent to the Print Controller. Press this key again to disable the Store mode.

Troubles Concerning the Scanner

Cannot connect to the scanner
When an error dialog appears when attempting to access the scanner, perform the following checks:

1. 2.

Check whether the correct IP address of the scanner has been entered.
If the entered IP address is not correct, enter the correct one. If the entered IP address is correct, go on to step 2.

From the DOS prompt run a ping test through the destination host to the IP address of the scanner.
If the ping test fails, check whether the copiers main power is switched on, and also check the network cable for proper connection. If the ping test is successful, go on to step 3.

3. 4.

Check whether the IP router is correctly set.

If it is not correctly set, set it correctly. If there is no problem in IP router setup, go on to step 4.

Trace the routing to the scanner to check whether there are any error conditions within the network.
If any error conditions are found, eliminate them. If no error is found and yet the connection to the scanner cannot be established, contact your service representative.

HD Full
Cause
Hard-disk full occurs when 1% of total disk capacity is used by the print/scan jobs; if the disk capacity is 2 GB, the HD Full is 20 MB free space. Under the HD Full condition, the following message is displayed on the front panel of the main body printer. Printer HD Full Please free HD space

Remedy
Remove the scan job in the HD on network computer. Refer to Chapter 4 Scanner Operation To Delete Scanned Data. (p.4-10) Output the password print job in the HD from control panel. When the [Delete After 24H] is selected in the [Set Default] - [Scan Data AutoDel.] on the control panel of the Copier, the print controller automatic timer deletes the jobs from the HD which exists for more than 24 hours.

NOTE
Under HD Full: The print job can not be printed. If the scan job starts, the job is canceled automatically: The following message is displayed on the control panel. Printer HD Full Scan JOB was canceled You may want to view the scan job canceled at this time. To do this, touch [NON COMPLETE JOB LIST] in the Job Status Screen.

Appendix A Troubleshooting

Scan Error List

When scanned image files sitting on the hard disk of the print controller are deleted without being output from the print controller as a consequence of something other than user operations, relative information is displayed as a scan error list.

Listing Objects
Listed are image files and the corresponding management data stored on the hard disk of the print controller as a result of the scan using the Scan to FTP, the Scan to Email or the Scan to HDD feature.

Causes of Error
The automatic deletion feature (ScanDataAutoDel) was activated in the Scan to HDD process. The file was not successfully sent to an FTP server in the Scan to FTP process because, for example, of connection timeout or login error. The Email relay was not completed on the part of the SMTP server in the Scan to Email process. Remember, however, the print controller does not identify the cause of errors developed after the SMTP relay has been completed, errors because of the wrong Email address for example.

When a job is interrupted in the process of uploading from the engine, the job is handled on the scan error list on the part of the engine and is not displayed on the print controller.

Accessing the List

The scan error job list is shown on the [Scan Error List] in the [Printer Mode Basic Screen].

Content of the List

The list shows the following, one line by error-developed destination. If FTP and E-Mail were both enabled, one line is assigned to one error in each of them.

Destination
As a destination, an FTP server name, an email address or a box number is shown. There are occasions when only the first few characters are shown because of the display space limits. Even if multiple email addresses were specified, only the first few characters of a string of comma-separated addresses are shown.

File Name
This refers to a file name managed by the FTP server in the Scan to FTP mode, or to an attachment file name in the Scan to Email mode.

Factor
The cause of an error is displayed within the display space limits, sometimes in the form of error codes.

Deleting List Data

A maximum of 16 line list data is kept in memory. As an additional non-output scan job is detected, the oldest one is deleted from the list in sequence.

Screens Explained
Main Window
This is a window that first opens when launching the program.

When you click the [Retrieval] button after specifying the [IP Address], [Box Number] and [Save In], the polling process starts (one pass only). When you click the [Auto-Retrieval] button after specifying the [IP Address], [Box Number] and [Save In], the polling process is automatically repeated at intervals predetermined in the Setup menu until you press the [Stop] button or shutdown Windows. Time predetermined means the intervals automatically acquired in the process. The IP address defaults to 0.0.0.0, and the Box Number to 1. After running the auto acquisition feature, the program is accessible from the task bar: you can rightclick the task bar to access [Display], [Stop] and [Exit]. These three options provide the following functions: Display: shifts the program to its display status. Stop: Exit: stops the automatic data acquisition process and returns the program to its display status. ends the program.

During operation the [Retrieval] and the [Auto-Retrieval] button are both grayed out and only the [Stop] button is operable. The [Stop] button stops the auto repeat of polling process. As long as the auto acquisition settings are in effect, the setting fields are grayed out and you cannot change the current settings. When you need to change the settings, first click the [Stop] button to stop the auto repeat of polling process. Depending on whether the [Delete Fils] box is checked or unchecked, data in the Box is deleted or is left alone. By default, data is deleted. Checking the [Enable Additional Box] disables the graying out, making it possible to poll multiple boxes. The box number defaults to 0. When acquiring a scanned image data, the following pop-up window opens. Clicking the [OK] button closes this window. Or, it automatically closes when one minute is up.
