I. Background

This article focuses on my work involvement at the office I am working and


the effects including the advantages and disadvantages if there is revision or
change of Organizational Structure.

II. Insights

¾ My position as Training Admin Assistant/Senior Admin Officer

My position in the Training and Development Division is Senior Admin Officer


but my designation in the Human Resource Department is Training Admin
Assistant because our Division is just newly established.

My job functions and roles are:

• Documentation, monitoring and reporting of all OJT and STP in different


department assigned.
• Provide monthly staff activity reports.
• Produce reports and presentations using Ms Word, Excel, and PowerPoint.
• Evaluate “Key Performance Indicators” of all administrative staff for
promotional purposes.
• Produce Personal Development Plans for nominated staff.
• Engage and supervise training contracts by third party training organizations.
• Facilitate effective communication and understanding of safety polices and
practices.
• Implementation, valuation and management of the idea suggestion system.
• Promote a team working environment.
• Ensure workplace staff safety is maintained.
• Establish an above average dress code aligned with the current PPE
requirements.
• Ensuring all departmental staffs are supplied with the necessary materials
and information so as not to hinder the performance of the daily duties.
• Co-ordinate all administrative activities as directed by the department
manager.
• Communicate all managerial directives within the department as directed.
• Ensure all administrative staff performs their duties to the highest standard.
• Provide direction and effective delivery of all department documents and
reports.
• Monitoring and reporting of budget and operating cost incurred by the
Division
¾ Division/Dept Organizational Structure

I am directly reporting to the Division Manager and I am in charge of the


administration and general clerical works of the Division where the
Training Receptionist, The Mine and Mill Data Entry Clerks and the
Document Translator are under my supervision. In some cases, where
the Division Manager is on furlough or vacation, I am the officer in charge
of the Division while he is out, thus, I will be representing him in the
Managers, CSPC and Weekly Production Meeting.

¾ Forecast on Realignment or Revision of Table of Organization

If my boss will decide to resign because of new job opportunities abroad, the
policy of no hiring will greatly affect the Training and Development Division. A
possible move that the top management will do is to realign the division to the
Admin Division under HR Department.

Disadvantages:

My work as Senior Admin Officer will no longer exist or I will be transferred to


other Department that fits to my qualifications and experiences. If retained,
the more burdens my job functions will be. The scope will be broad in terms
of responsibilities and duties.

Retrenchment is predictable. Adjustments to work and people are needed.

Advantages:

Learning is very promising, new job duties and responsibilities be given.


Salary upgrading and promotion is evident.

III. Lesson Learned

Work expectancy is unpredictable. You don’t have the control over how long
you will be doing your job. Reallocation of job task is promising and
sometimes, the job responsibilities your doing is quite new to you. Thus,
giving you space to learn, adjust and study your job task.

Nowadays, flexibility and multitasking on job are best option to stay longer in
your job. Multitasking is one of the basic option that the company is doing to
save cost of labor.
