Administrative process for creating a birthday party

Planning
It is true that sometimes we improvise meetings and it is fun, but there will always be something
missing, whether it is food, utensils or music, so we have to make a planning list for the parties.

1. The shopping list and activities to do: first you must make a list for shopping, others
for the activities at home (or the place where you will give the parties) and finally, the list
of the day of the party (activities that can only be done on the same day of the meeting).

2. Guest list: it may be a small gathering with your trusted friends, but you never forget to
personally invite someone or they passed the word on the last day. You'd better be careful
to invite everyone in advance and only by making the list ahead of time will you have all
the people with their phone number at hand.

3. Invitations: if your list is more formal, then it is a good idea to plan an invitation ahead of
time using the guest list you have already made.

4. Menu: it is best to contract with catering services even if the party is small, so you will be
free to take care of the dishes and portions. And make sure there is enough, and not too
little, food.

5. Rent tables and chairs: it is uncomfortable to have to move seats out of the house when
the guests start arriving to the party and there is no place to put them. If you have enough
budget it is better to rent tables and chairs.

6. Drinks: variety is the spice of life, so for those who enjoy an alcoholic beverage, prepare
ahead of time so you can offer cold drinks to your guests.

7. Decoration: depending on the reason for the celebration, you will need to decorate the
party venue, either with signs, flowers, flags, etc.

8. The bathroom: during any meeting, the bathroom is a very popular place.

9. Music: music contributes to the ambiance of the party, so depending on the magnitude of
the celebration, consider hiring live or planned music. If you know someone who likes to
organize music, ask them for help.

10. be a good hostess: you have everything ready, but there is never an unforeseen event or
even a catastrophe at a meeting. Be prepared and take it easy; just make sure your guests
are doing well and keep the party going, remember the goal is to have a good time, have
fun!

Organization

 organize all the people who will help you set up the party elements that day:
this is what you asked them to do so make sure they will be there to help you.

 place decorations and food if necessary.

 If you are bringing food to the party, be sure to bring it on time.

 Take enough time to prepare everything, haste only causes mistakes.

 have everything you need in one place or ask your helpers to take care of the supplies
they provide, you must know where everything is to speed up the process.

 you must maintain a plan for keeping food hot or cold, depending on the
need.

 if there will be a catering service or the food will be provided by the restaurant, then
they will take care of that.
 If you are offering food at your home or someone else's home, be careful not to take
the food out too soon - food can spoil if it is not kept warm or cold.

 Be prepared for setbacks, because they will happen: Take them in stride and do
the best you can.

 Prepare a specific area to calm down, in case a child gets upset during the party it is
better that he/she is away from the rest of the guests.

 Prepare a first aid kit and any other items you think you might need in case someone
gets hurt during the holidays.

 If you have pets keep them protected and away from guests during the party unless
your pets are very well behaved and trained, problems could follow, from someone
being afraid of the pets to them getting lost.

Address
 Upon arrival of the guests, they are invited to take a seat at some tables and are
offered refreshments or drinks.

 Make sure guests are comfortable

 That each of the guests be given the food and those that will be distributed at the
party, the idea is that everyone is happy.

 To be aware of each of the people in charge of each area, to have communication and
to be alert so that things go well.

Control
 If most of the guests are teenagers, at least one adult must supervise them.

 After the party is over to evaluate the results
