A. Overview of Smart View


Smart View is an Oracle/ Hyperion Add-In tool that provides a common Microsoft Office interface into the C-BIG application and data. This tool allows you to import C-BIG input forms as well as reports into Excel, Word, PowerPoint, and Outlook, and provides quick and flexible ad hoc reporting capabilities. This manual will provide you with steps on how to integrate Smart View with Excel.

The current version of Smart View, which is available for download from the C-BIG system, supports the following versions of Microsoft Office:

A. Installing the Smart View Add-in


To download the Smart View Add-In executable: Log onto the C-BIG application at www.cbig.ucla.edu

Select Tools>Install>Smart View

Click on the link to download the Smart View Installer. Note that if this window does not appear due to internet pop-up blockers, try holding down the CTRL key on your keyboard while accessing the Tools>Install>Smart View link.

Click on the Save button.

Select a location to save the executable.

Close the Download Complete window.

Have your IT Administrator grant you temporary administrative rights, if you do not already have it. Note that you must run the executable from your logon, as opposed to the Administrators logon.

Make sure that all of your Microsoft Office programs are closed (i.e., Outlook, Excel, Word, and PowerPoint). Locate and double-click on the executable to run.

Click on the Run button and follow the steps indicated by the wizard.

Once the executable has run to completion, your IT Administrator can remove your administrative rights.

B. Adding Data Sources


There are three data sources that you will need to add; one to access the Planning web forms, one to access the Ad Hoc Reporting tool, and the last to access the canned financial reports. Data sources will be saved and thus, these steps only need to be completed once. To add a Planning data source: Open Excel (you should see a new menu called Hyperion). Select Hyperion>Connection Manager or click on the Hyperion toolbar. icon from your

To add the C-BIG canned financial reporting data source: Click on Add>URL Provider.

Change the Provider from Hyperion Provider to Hyperion Reporting and Analysis System 9 Provider.

C. Setting a Default Data Source


The default data source is the data source that is used when navigating from worksheet to worksheet, and will appear in bold. You should assign the default to the data source which you use most often. To change the default data source to a different connection: Right-click on the connection. Select Set As Default.

Using the Smart View C-BIG Planning connection, you are able to access the Base Budget Expenditure Form, Budget Input Form, and the Budget Seasonality Form in Excel, and complete your budget input process. The advantage of using Excel over using the web interface is that you can apply Excel functions and formulas and link to data from existing Excel files. Cell Text, Supporting Details, and Business Rules are available in the Excel forms. The only step that you will need to do using the web interface is the Budget Promotion Process. Workflow only exists on the web.

A. Downloading the Budget Forms into Excel


To access the budget forms: Open Excel. Open the Connection Manager (under Hyperion>Connection Manager or the icon).

Highlight the C-BIG Planning data source and double-click to connect or select the Connect button.

If you havent already logged on, you will be prompted to enter your C-BIG User Name and Password.

Confirm that you have an active connection, by accessing Hyperion>Active Connections, and making sure that there is a check mark to the left of your data source.

To download a form into Excel, select Hyperion>Forms>Select Form.

As on the web, there are three forms available for you to access. Highlight the form that you would like to download and click on the OK button.

You can download the three forms into three separate worksheets within your Excel workbook, or within different workbooks. When opening a new worksheet/workbook, make sure that you are connected to the C-BIG Planning data source, by confirming that there is a checkmark within Hyperion>Active Connections.

Then follow the same steps as above to select a form: Hyperion>Forms>Select Form. Below are screenshots of the Budget Input Form and Budget Seasonality Form. Budget Input Form: (ignore column I)

B. Selecting your Entity and Fund


As with the web forms, there are two Page Drop-Down Menus on the three Excel downloaded forms. The left drop-down menu allows you to select your department, and the right drop-down menu allows you to select your fund. The green arrow serves the same function as the Go button on the web. When you change your department or fund, you must click on the button in order to refresh your screen with your new selections. To change your department: Click on the left drop-down menu and click on the button.

To change your fund: Click on the right drop-down menu and click on the button.

To search for a department or fund: Click on the department or fund drop-down menu. Type one or more characters (alphanumeric) of the department or fund name for which you are searching. Select from the list that appears.

C. Inputting and Submitting Budget Data


As with the web forms, the cells with a green background color represent read-only cells, while those with a light yellow background color represent input cells. After inputting data into the input cells, the cell color will change to bright yellow, indicating that data has been changed but not yet submitted/saved to the database. To submit/save your input changes: Click on the Submit Data icon from the Hyperion toolbar, or go to Hyperion>Submit Data.

If instead of saving your data, you would like to delete your changes and refresh your input form with the previous saved data: Click on the Refresh icon from the Hyperion toolbar, or go to Hyperion>Refresh.

At the following prompt, click on the OK button to confirm the Refresh command.

D. Adjusting Data
To adjust data values Select a data cell or a range of contiguous cells. Click on the Adjust icon from the Hyperion toolbar, or select Hyperion>Adjust.

Select from the list of Adjustment options and enter an adjustment value.

Click on the Adjust Data button.

Click on the Submit Data icon from the Hyperion toolbar, or select Hyperion>Submit Data.

E. Adding Cell Text


To add Cell Text: Select a cell or a range of contiguous cells. Click on the Cell Text icon from the Hyperion toolbar, or select Hyperion>Cell Text.

Enter your selected text, up to 2000 characters per each cell.

Click on the OK button.

Click on the Submit Data icon from the Hyperion toolbar, or select Hyperion>Submit Data.

F. Adding Supporting Details


To add Supporting Details: Select a data cell or a range of contiguous cells. Click on the Supporting Details icon from the Hyperion toolbar, or select Hyperion>Supporting Details.

Select the Add Child button.

Type a description over the default Untitled and an amount.

To add another row, select the Add Sibling button.

Type in a description and an amount for the second line item.

Click the OK button when complete.

The total amount will display on your form, and the cell background color will appear in grey, indicating that there is Supporting Details.

G. Copying and Pasting


To copy and paste data: Use the built in Excel features. If the worksheet is protected, select Tools>Protection>Unprotect Sheet.

H. Applying Excel Formulas


One advantage of using the Smart View Planning forms over the web forms is the ability to apply Excel formulas to manipulate and analyze data. When applying Excel formulas, keep the following in mind: You can create formulas inside or outside the data forms grid or on cells that have Cell Text. You cannot create formulas on read-only cells or on cells that have Supporting Details. Formulas are preserved upon saving or refreshing your data. You must save workbook as an .XLS file.

I. Running Business Rules


The same business rules that are available on the web forms are also accessible from the Smart View forms. There are three rules available from the Base Expenditure Budget Form and three available from the Budget Seasonality Form. To access the business rules: Right-click on the row descriptions of the form and select Hyperion Planning from the menu. You can also access this from Hyperion>Calculation Options>Rules on Form.

Base Budget Expenditure Form: The business rules from the Base Budget Expenditure Form run across all Expenditure categories shown on the form. Therefore, you can right-click on any of the row descriptions. Since these business rules copy budget data from columns B, C or D into column F, you could instead use the copy and paste features of Excel. You may need to unprotect the worksheet prior to copying and pasting. The advantage of running the business rule over using the copy and paste features is that you can apply the rule to the organization, division, sub-division or fund category levels by selecting it from the page drop-down menus, and clicking on the button prior to running the business rule.

Budget Seasonality Form: The spread business rules available from the Budget Seasonality Form can be run for specific rows. Therefore, it is important that you right-click on the selected row. To apply the rule to multiple rows, such as all expenditure categories, right-click on Total Expenditures and then select the spread rule.

At the Launch Business Rule prompt, confirm the Fund/Entity/Object selections and click the OK button.

Click on the OK button after the business rule has been processed.

Click on the Refresh button from the Hyperion toolbar, or select Hyperion>Refresh. The results of your business rule will appear on your form. Data is automatically saved when a business rule is run.

A. Connecting to the C-BIG Ad Hoc Data Source


To activate the Ad Hoc Tool: Open Excel. Open the Connection Manager (under Hyperion>Connection Manager or the icon).

Highlight the C-BIG Ad Hoc data source and double-click to connect or select the Connect button.

If you havent already logged in, you will be prompted to enter your C-BIG User Name and Password.

B. Setting your Default Alias Table


The first thing you will need to do is change the Alias table from none to Default. This will allow you to view the dimension member names by their common names or aliases [e.g., member name fnd_19900 has an alias of General Funds (19900), member name ocat_500 has an alias of Faculty Ladder, and member name FY08 has an alias of FY 2007-08]. Note that you will only need to perform these steps once. Your default selection will be saved for all future connections. Once authenticated, from the Connection Manager, right-click on the C-BIG Ad Hoc data source and select Change Alias Table.

Select Default and click OK.

If for some reason, you would like to temporarily turn off the default alias table, select Hyperion>Ad Hoc>Change Alias Table.

Select none and click OK.

This will disable the alias table for your current connection only.

C. Activating the Grid and POV


Confirm that you have an active connection, by accessing Hyperion>Active Connections, and making sure that there is a check mark to the left of your data source.

The grid is activated on a blank worksheet by double-clicking anywhere on the spreadsheet, or selecting Hyperion>Refresh [or select the icon from your Hyperion toolbar].

There are nine dimensions in the UCLARptg database: Object includes Object Categories and Object Codes Period includes YearTotal, Q1, Q2, Q3, Q4, and the months Scenario includes one member: Current Version includes one member: Final Component includes Actual, ApprovedBud, Var$, Var%, PermBud, etc. FiscalYr includes fiscal years 2003-04 through the current budget year Sub includes sub codes Entity includes organizations, divisions, sub-divisions, departments and account cost centers Fund includes Fund Categories and Fund Numbers In order to view data, you must select members for each dimension where data resides, and where you have been granted security access.

D. Selecting Members and Querying Data


The Member Selection option allows you to select a member or members for any dimension in the grid or the POV. To use the Member Selection option for a member on the Grid: Highlight the dimension (i.e., Object or Period), and go to Hyperion>Member Selection [or select the icon from the Hyperion toolbar].

From the Member Selection screen, place a check mark next to the selected member and use the right arrow to move it to the selection area of the screen. Likewise, to deselect members, highlight them from the right selection area of the screen and use the left arrow to remove them. Click the OK button when complete. Note that you can also type the member name directly into the row or column, or use the Zoom In and Keep Only / Remove Only options that will be described next.

To use the Member Selection option for a member within the POV: Click on the drop-down arrow next to the dimension and select.

This will bring you to the Member Selection screen, with default Fund selected. Highlight Fund and click on the left arrow to de-select it.

To select members for all of the dimensions in your POV at one time, select the other dimensions from the drop-down menu, and follow the steps above to make your member selections. Once you have made all of your selections, click on the OK button.

Your selections will appear in the POV. Click on the green arrow in order to refresh the data in your grid, or go to Hyperion>Refresh [or select the icon from the Hyperion toolbar].

E. Zooming In/Out
You can drill in or out of any dimension in the row or column. To drill into a dimension: Double-click on the dimension or member name, or go to Hyperion>Ad Hoc Analysis>Zoom In [or select the icon from the Hyperion toolbar].

Zooming out of a dimension is the opposite of zooming in. To drill out of a dimension:

Double-right-click on the dimension or member name, or go to Hyperion>Ad Hoc Analysis>Zoom Out [or select the icon from the Hyperion toolbar].

F. Keeping/Removing Only
You can modify the Ad Hoc grid by selecting only the dimension members that you want to keep in the grid. When you select the Keep Only option, the system keeps only the selected member or member range within the grid. All unselected members are removed from the worksheet for that dimension. When you select the Remove Only option, the system removes the selected member and data or member range and data from the worksheet for the given dimension. All unselected members are retained in the worksheet. To activate the Keep Only option: Highlight the member(s) that you would like to keep and go to Hyperion>Ad Hoc Analysis>Keep Only [or select the icon from the Hyperion toolbar].

Note: If you delete members from the grid using the Delete key (not using the Remove Only option), you must also delete the corresponding data points; otherwise, when you refresh the grid, the remaining cells are treated as comments.

G. Pivoting
The Pivot option changes the dimension orientation on the worksheet. You can move dimensions between rows and columns. The pivot option will move the selected dimension to the outermost row or column on the opposite axis. To activate the Pivot option: You must first make sure that you have at least one dimension in the row and one dimension in the column, in addition to the dimension that you are pivoting. Highlight the dimension or member name that you would like to pivot and go to Hyperion>Ad Hoc Analysis>Pivot [or select the Hyperion toolbar]. icon from the

The same task could be achieved by highlighting the dimension member that you would like to pivot, then right-clicking and dragging it from the row to the column or vice versa. You can also pivot dimensions between the grid and the POV: To drag a dimension member from the POV to the grid, select the dimension member and drag it to the desired location on the grid. To drag a dimension member from the grid to the POV, select the dimension member in the grid, right-click and drag it to the toolbar. You can also type the dimension or members of a dimension directly into the rows or columns and then refresh the data. All unspecified dimensions will appear in the POV menu.

H. Printing the Point of View


To print the POV members in the header or footer: Select File>Page Setup>Header/Footer tab.

Select Custom Header or Custom Footer.

In the Left, Center, or Right selection box, type POV:{} or a statement that includes POV:{}.

Click the OK button twice. When you print the Excel document or run a Print Preview, the POV members are printed in the header and/or footer.

To import C-BIG Reports into Excel, using Smart View: Open Excel. Open the Connection Manager (under Hyperion>Connection Manager or the icon).

Select Hyperion>Reporting and Analysis Document>Import.

Expand the plus signs to access the available reports and double-click on the report.

As with the web reports, you will be prompted to confirm or enter your Entity and/or Fund selection. Enter the information, using the following format (dpt_####, sdv_####, div_####, org_####, fnd_#####, etc.) and click on the Next button.

At the import preview, confirm your selections and click on the Finish button.

The report will appear in Excel, where you can apply Excel formatting features. Note that the UCLA logo does not get imported.

To the import preview selection screen, to expand any of the rows or columns or to make other changes, select Hyperion>Reporting and Analysis Document>Edit or click on the BI Edit button from the Hyperion toolbar.

Make your changes and click on the Finish button to re-import the report to Excel.

A. Ad Hoc Options
To access the Ad Hoc Options: Once connected, select Hyperion>Options [or select the icon from the Hyperion toolbar]. The first tab contains the Ad Hoc options.

Suppress Rows - Provides the option to eliminate row members that have no data, have data equal to 0, contain Underscore Characters in its member name, or Repeated Members. Most likely, you will want to suppress on No Data/#Missing, although you may need to temporarily change this setting for specific query needs. This is especially important if you have the Entity or Fund dimensions in your rows, or if you are trying to drill to the object code level. With suppression activated, only the members with data will appear in your spreadsheet. If you do not have this selection checked, you will receive many rows without data and the query time will increase. Indentation - Provides the option to indent Subitems or Totals in a query. For example, if you are drilling into the Entity dimension and you select Indentation on Subitems, the division, sub-division, and department levels will each be indented a greater degree from its parent level. If you select Indentation on Totals, the opposite will result; each hierarchy level will be indented a greater degree from its child level. If you select None, no indentation will apply. Mode - The Navigate without Data option enables you to perform Pivot, Zoom In, Zoom Out, Keep Only, and Remove Only commands without retrieving any data. This allows you to navigate through member selections quickly, since it eliminates data retrieval time. Mouse Operations - The Use Double-click for Ad Hoc Operations option enables the double-click functionality. When you are connected to a data source, double-clicking on a blank sheet retrieves the default grid from the server. Once the grid is loaded into Smart View, double-clicking on the members in the row or columns allows you to drill down or up to more or less detail. Most likely you will want to select this option. Undo - When performing Ad Hoc analysis while connected to a data source, the Undo command enables you to restore the previous database view. A database view is the view of the spreadsheet after performing Zoom In, Zoom Out, Keep Only, Remove Only, or Refresh commands. If you modify member

information between refreshes and then perform an Undo command, Smart View reverts to the spreadsheet data as it was prior to the last refresh. The number specified in Number of Undo Actions must be set to a value between 2 and 99. You can enable or disable the Undo option. Most likely, you will want to keep the default of enable, and the Number of Undo Actions set to 9 or higher.

Zoom-In - Selecting Next Level will retrieve data for the children of the selected member(s). This is the default zoom option. For example, if you zoom in to an organization, you will retrieve the divisions within. - Selecting All Levels will retrieve data for all descendants. For example, if you zoom into an organization, you will retrieve data for the divisions, sub-divisions, departments, and account cost centers within. - Selecting Bottom Level will retrieve data for the lowest level of members within a dimension. For example, if you zoom into an organization, you will retrieve data for the account cost centers within. - If you select to Zoom-In to All Levels or Bottom Level, it is highly recommended that you also Suppress Rows with No Data/#Missing. Member Retention - Selecting Include Selection will retain the selected member along with the other members retrieved as a result of a zoom. By default, the Include Selection option is enabled. - Selecting Within Selected Group will apply only to the group of members in which the selection is made. - Selecting Remove Unselected Groups will remove all dimension groups that are not in the selected group.

B. Display Options
To access the Display Options: Select Hyperion>Options [or select the icon from the Hyperion toolbar]. The second tab contains the Display options.

Replacement - This option enables you to define labels to missing values and for data to which you do not have access. You may want to display missing values with a dash (-), or a 0 (#NumericZero).

Use Thousands Separator - When connected to a Planning data source, this option adds the commas to separate thousands. Use Excel Formatting - Selecting the Use Excel Formatting option preserves number formats, conditional formats, colors, and borders, upon retrieval. The formatting is not preserved if you use the Zoom In, Zoom Out, or Pivot options. - If the Use Thousands Separator option is also selected, the Use Excel Formatting option overrides the Use Thousands Separator option. Preserve Formula on POV Change - When connected to a Planning data source, this option allows you to input a formula in a row/column intersection and apply the formula to that cell for any Entity and Fund selection. Unless a global formula makes sense for each department/fund selection, you will most likely want to disable this option.

C. Cell Styles
To access the Cell Styles Options: Select Hyperion>Options [or select the icon from the Hyperion toolbar]. The third tab contains the Cell Styles options.

You can apply styles to data cells. As an example, if you want to bold or apply a border or background to the parent level members, you would follow the steps below: a. b. c. d. e. f. Expand the plus sign next to Analytic Services. Expand the plus sign next to Member cells. Place a check mark next to Parent. Right-click on Parent. Select Font, Background, or Border. Click OK after making your selections.

Note that if you select the Use Excel Formatting option within the Display tab, the Excel formatting will override all style options set in the Cell Styles tab.

Hyperion Toolbar: Functions within the Hyperion menu are also available in the toolbar for easy access. (Source: Hyperion System 9 Smart View for Office User Guide Release 9.3.000)

Connection Manager: Accesses the Connection Manager dialog box, where you can add, delete, and edit data source connections. Zoom In: Retrieves and expands data from the connected data source, according to the options specified on the Options dialog box. Zoom Out: Collapses the view in the cell that contains the member you want to collapse according to the options specified in the Options dialog box. Pivot: Pivots the dimension to change its orientation (row or column) on the worksheet. Keep Only: Retains only the selected member (the active cell) or member range in the worksheet. When you click on the Keep Only button, all unselected members are removed from the worksheet. Remove Only: Removes the selected member (the active cell) or member range from the worksheet. When you click the Remove Only button, all unselected members are retained in the worksheet. Refresh: Retrieves data or selected image into the active Excel worksheet. Submit Data: If you have Write access, this option saves data updates made in ad hoc mode to the database for the connected applications. Refresh All: Refreshes data across all connected worksheets in a given workbook. Undo: Enables you to restore the previous database view. A database view is the view of the spreadsheet after performing Pivot, Zoom In, Zoom Out, Keep Only, Remove Only, or Refresh commands. You define the number of consecutive Undo operations you can perform in the Ad Hoc tab of the Options dialog box.

Redo: Allows you to restore the database view as it was before an Undo was performed. The number of consecutive Redo operations you can perform corresponds to the number of consecutive Undo operations you defined in the Ad Hoc tab of the Options dialog box. Copy Data Points: Enables you to copy data points from Excel to Word or Power Point and have those data points retain their original spreadsheet query. Paste Data Points: Enables you to paste data points from Excel to Word or PowerPoint and have those data points retain their original spreadsheet query. POV Manager: Accesses the POV Manager, where you can edit a Point of View, save it to a workbook, copy and paste a saved Point of View, or delete a Point of View from a workbook. Member Selection: Accesses the Member Selection dialog box, where you can select dimension members, filter the list of members, and view labels or descriptions for dimension members. Function Builder: Accesses the Function Builder, which provides a graphical interface for creating functions. From the Function Builder, you can select a function, and then select dimension members for the Point of View. You can view and validate the function before you paste it to the selected worksheet. Adjust: Adjusts the value of the selected data cell or range of data cells. Cell Text: For Planning data sources, accesses the Cell Text dialog box, where you can edit the supporting text for a range of grid cells. Supporting Details: For Planning data sources, accesses the Supporting Details dialog box, where you can provide supplemental calculations for a onedimensional range of grid cells. Select Form: Launches the Select Forms dialog box, where you can select Planning data forms in Excel. Instructions: For Planning data sources, enables you to view the instructions for a data form. Take Offline: Launches the Offline Manager, where you select Planning data forms to take offline (save to a local directory). When this button is displayed, the Sync Back button is not displayed.

Synch Back: Synchronizes aggregations and other new data from an offline Planning data form to a specific online data form. When this button is displayed, the Take Offline button is not displayed. Lock: Enables you to temporarily lock the values of one or more cells to preserve their values while Planning calculates and fills in the other values. Expand: Shows all levels of the detail for the selected cells in the data form. Collapse: Collapses all levels of the detail for the selected cells in the data form. Business Rules: Launches the Business Rules dialog box, where you select Business Rules for Planning Data forms in Excel. (It is preferable to use the Rules on Form button instead). Rules on Form: Launches the Rules on Form dialog box, where you select and execute business rules that have been assigned to the form. Visualize in Excel: Allows you to view the detail of a selected Excel data point in a linked report without losing the formatting of the source report. This is achieved by keeping the innermost row and column as arrows and columns in the linked report and moving the remaining members corresponding to the data point to the Point of View. Options: Accesses the Options dialog box, where you set end user display preferences, including ad hoc options, display options, and cell styles. Add or Remove Buttons: Left-click accesses Toolbar Options, where you can customize the Smart View toolbar by adding or removing toolbar buttons. Rightclick accesses the list of available toolbars, where you can choose to display or hide the Smart View toolbar.
