This report has been prepared after a survey on HRM Departmetn of Haleeb Foods Private Limited. Building an excellent reputation over the years, Haleeb Foods continues to be at the forefront of product and packaging innovation. Haleeb Foods products are made with great care, and marked with our quality seal of recognition Haleeb Foods was established in 1986 and its first product was Haleeb milk. Since then, it has continued to provide quality products to its consumers with product and packaging innovations Haleeb Foods is having a franchise agreement with Cedillac France, and launched Candia Double Sterilized Milk in bottle format in April 1999. It aims to

All the products of Haleeb Foods are divided in three categories which are as fallow: 1. Dairy Products 2. Juices 3. Haleeb Foods Limited And Candia of France has joined hands to bring you the highest quality milk.

Production department is functional area department responsible for turning inputs into outputs through a series of production processes and the manager is responsible for making sure that raw material is are provided and made into finished goods effectively.

The Human Resource department at Haleeb Foods (Pvt.) Limited spearheads the recruitment process to ensure that the finest human resource is taken on board at Haleeb Foods.

In Haleeb Foods the recruitment and selection starts as follows.

Available position is advertised in newspaper and other media. Department coordinates receives C.V. and other documentation. Short listed candidates are interviewed by the manager. Final candidates interviewed by the. HR Director and Two relevant managers.

In Haleeb Foods Pvt. Ltd. both human resource directors and other managers play a critical role in the development of training programs. Human resource directors have assumed leadership in developing such programs. Most training is on the job.

HR is not playing a substantial role in motivating employees. Although they had claimed that they are having a strong motivational system but they are somewhat lacking in giving the sense of achievement to their employees. HR department should introduce HRIS system to increase the efficiency of the organization.

It is First dairy company which got 9001 certification. Not selling products only in Pakistan but also to other countries.

INTRODUCTION TO REPORT

This report has been prepared after deep analysis of human resource department of Haleeb Foods Private Limited.

You will also find in this report history of haleeb foods. The first portion of the report includes the vision, mission and polices of haleeb foods. It also contains the different products of haleeb foods. It includes a detail information on departments of haleeb foods. The middle portion of the report includes detailed information about the human resource department of haleeb foods.

Then it includes the recruitment process of haleeb foods. The last portion includes compensation management including salary, promotion, vacations health facilities provided etc. At the end it includes flaws in practices and recommendations and conclusion.

By the grace of God, it has achieved market leadership in several food categories with a very strong portfolio, consisting of leading national and international brands Haleeb, Candia, Dairy Queen, Tea Max, Skimz, Tropico and Good Day. Apart from its extensive nationwide distribution networks, Haleeb Foods is also serving several export markets including South Korea, Bangladesh, Afghanistan and the Central Asian states.

Haleeb Foods has the distinction of being the first company in Pakistan to use Tetra Paks novel packaging formats, Tetra Brick Aspetic (TBA) and Tetra Fino Aseptic (TFA). Haleeb Foods has also introduced a number of unique products previously unknown to the Pakistani market, like Haleeb Labban, delicious traditional lassi (buttermilk) prepared with pure thick milk and yogurt, Candia Tea Max, cardamom flavored tea whitener, Candia milk, packed in distinctive food grade plastic bottle, and Haleeb Good Day, 100% pure and natural fruit juice, free of added sugar, artificial flavors and preservatives.

Haleeb Foods was established in 1986 and its first product was Haleeb milk. Since then, it has continued to provide quality products to its consumers with product and packaging innovations

Haleeb Foods is Pakistans number 1 and fastest growing packaged Food Company. As of fiscal 2006, its annual turnover is Rs.9 Billion. Recently, Haleeb Foods has built yet another plant in Rahim Yar Khan whose purpose is to provide Haleebs quality products to maximum number of consumers. Haleeb Foods Ltd. (HFL) continues to be at the forefront of product and packaging innovation. It has achieved market leadership in several food categories with a very strong portfolio, consisting of leading national and international brands. It has also introduced a number of unique products, like Haleeb milk, delicious traditional lassi (buttermilk) prepared with pure thick milk and yogurt. All this, makes HFL a number one and fastest growing packed Food Company. As reported by the company, its annual turnover was Rs. 7.2 billion during 2005. Initially, the name of HFL was Chaudhry Dairies Limited (CDL). During 1980s, when various dairy industries took a boost in Pakistan. The milk processing plant was installed at Bhai Pheru, District Kasur in 1985. It started its trials and the commercial production started on May 21, 1986. Haleeb Foods has segmented its product portfolio in three leading brands including Haleeb, Candia and Tropico. Haleeb has progressively diversified from UHT milk to other product categories as well. These product line extensions include Haleeb Butter, Haleeb Yoghurt, Haleeb Cream, Haleeb Labban (Drinking Yoghurt), Haleeb Asli Desi Ghee (Butter Oil), Haleeb Funday Juice Drink, Haleeb Skimz (Skimmed Milk), Haleeb N.rish Full Cream Powder Milk and Haleeb Good Day Pure Juices. Haleeb Foods is having a franchise agreement with Cedillac France, and launched Candia Double Sterilized Milk in bottle format in April 1999. Candia is also available in Candia Classic variant which is positioned for tea. Another recent initiative is Candia Candy Up, which is flavored milk for children. It also got affiliation with CCF, Holland during 1989-90 for the production of low fat milk product. The affiliation ended in 1991.

During the year 1994, the name of the company was changed as Haleeb Foods Limited. Haleeb Foods has one of the largest nation-wide distribution networks delivering high quality products, even in the remote areas of Pakistan. 17. Haleeb Skimz Powder: Year of Lunch: 1998. Skimz is a fat-free milk powder,
naturally low in cholesterol; yet high in proteins and calcium.

There are mainly two types of milk powders, full cream and skimmed. SKIMZ is a skimmed milk powder. Full cream powder contains 28% fat, whereas SKIMZ contains less than 1% fat. Moreover, the protein and calcium content is higher in SKIMZ as compared to full cream milk powder. 19. Haleeb Reshmi: Year of Launch: 2006. Haleeb Reshmi pack is long lifepackaged milk and offers consumers premium quality milk at an attractive price. PROCESS THROUGH WHICH MILK GOES


The milk is pasteurized at 78oC killing 98% germs/bacteria. The milk after pasteurization is then standardized as prescribed by the Pakistan Pure Food Laws at 35% Fats and 8.9% SNF (solid non fats). Only for Haleeb these standards are superseded to make it a premium quality product. The milk is the Homogenized. Homogenized milk is then passed through the UHT (Ultra Heat Treatment) process before it is packed using advance Tetra Brick technology.

HOW IS MILK COLLECTED


The method of collection is to only collect milk from the approved suppliers who are maintaining their cattle in accordance to the prescribed standards. The animals have to be healthy and free from meningitis. Before collections from these farms it is tested, by conducting 8 different tests, to ensure that it is of the prescribed standards. Once it passes these tests it is placed in chiller containers which protect milk from air, light and heat. This milk is then transported to the plant. The chiller containers are aseptically cleaned before milk is stored in them.

UHT
UHT means Ultra Heat Treatment. In this process the milk passes through 140 degree centigrade in 3 seconds and then immediately cooled to 20 degree centigrade in the next 5 seconds, which in turn kills all the bacteria. This is the most sophisticated and advanced process in the world. At Haleeb Foods Limited we use the indirect method of UHT meaning that milk is heated by steam passing through stainless steel pipes outside milk. All other brands in Pakistan use the direct method of heating that is by injecting steam in the milk, this adds water content in the milk, where as indirect heating in fact evaporates water from the milk. This is what makes Haleeb the "Thickest Milk".

Production Department
Production department is functional area department responsible for turning inputs into outputs through a series of production processes and the manager is responsible for making sure that raw material is are provided and made into finished goods effectively. It also controls all operations under the factory. The production dept looks after all controls and all production functions and checks out production id going according to given schedule. Staff in production department is highly skilled although most of them are not too much educated but they are skilled person in whom 20 members of management and 300 to 400 are labors and these are the true assets of the company. Focus of production is to producing qualitative products. The quality policy of Haleeb Foods Limited is strictly observed during production process. And they give wages to employees on per unit product base. The main focus of this department is to purchase the raw material and the products. This department has a burden to purchase the raw material. Production department makes a strategy to purchase a required quality in timely manner. This department purchases the raw material like: Raw Milk Sugar Fruits Flavors Plastic bottles Other packing material

Research and development department


This department plays an important role in the organization. This department is directed by marketing department which gives directions for conducting tests if any product is having some problem pointed out by customer.

Quality assurance department


This dept plays a very important role in production concern organization because organization is dependent on them. No other department can do anything if product is not made according to customer demand or the standards which organization maintain. This dept has a very vital role in organization. This dept is involved in developing systems to ensure products and services are designed and produced to meet or exceed customer requirements The staff of this department is well qualified who are responsible for controlling the quality of the products. We can say that it is the base department of the company because if the quality of products is excellent then the company will be able to get the positive feed back. This department has further sections are: Quality control Quality system Customer services

Supply and Distribution Department


This department ensures timely and effective distribution of the products to different shops and stores spread all across Pakistan. From transportation management to obtaining route permits and approvals, is done by this department This department regulates the supply of products and their proper storage. This department has further sub sections, which are:

Marketing Department
Marketing department of any production concern works like the heart of human body, the marketing department is the unit of organization, traditionally charged with carrying out specific tasks that are deemed to be marketing such as (advertisement, marketing research). The function of this department is to ensure that what customers want. If the marketing department works efficiently the whole organization is on a smooth run. it also plays a key role in operations of the organizations. This department is responsible to take charge by receiving the sales report and if any deal is going on packaging, distribution, or any other concern it contacts with the representative person. They also carry out market surveys for new as well as existing products. This department concentrates on qualified staff who analyze the market and suggest the manager how and where they should to present their products. In marketing department, there are brand teams who regulate the overall marketing activities.

Administration Department
Haleeb has a very extensive admin department; the responsibility of this department is to take care of issues like buying new vehicles plus to arrange some sports events for their employees. All purchases except for raw materials are done by this dept. Efficient management of all administrative affairs of Haleeb foods (Pvt.) Limited is the job of the Administration department. From legal matters to general day-to-day operations of the office, the Administration department ensures that all affairs run smoothly.

Finance Department
Finance is also an important issue. Haleeb also has a well aquipped finance department with a resource. The Finance and Accounting departments at Haleeb Foods are responsible for the total financial management of the different businesses of the company. From the usual accounting statements and sheets to risk and portfolio management, the team ensures that every rupee coming into and out of the Companies' pockets is properly documented and audited. This department is responsible for keeping the records of associated with accounting for manufacturing and non manufacturing activities.. Due to importance this department it is called controlling department of the industry because it performs large functions. So this department has one account manager, one accountant and one cashier. The management of company controls the account and finance department. Accounts department manages so all the basic functions of this department. Company merges the account and finance departments so both departments perform the functions jointly.

SALES DEPARTMENT
The department which is responsible for selling activities of products. It determines the sale volume and also how the sales are to be made. Sales department is further divided into three sub-sections; Retail Sales Exports Foods Services Sales are the major part of the company. This department can do accomplishing the task related to sales. In Haleeb Foods each product line has its own sales record section. The sales department has a supervisor to note down the daily sales. There exists a direct communication method in company for transferring the message. Usually they send through the internal telephones or through the peon. Different authorities in Haleeb Foods Limited are controlling the different items.

The Human Resource department at Haleeb Foods (Pvt.) Limited spearheads the recruitment process to ensure that the finest human resource is taken on board at Haleeb Foods. The department, besides carrying out succession planning, maintains and implements HR policies pertaining to Employment, retention and superannuation. Self Nomination: (internal source) Human Resource office publishes a monthly newsletter that list the Haleeb Foods Limited job posting program to different routes to nomination for a job, self nomination and nomination by an employee supervisor. Positions available the announcements carry information about the nature of the position and the qualification needed, and any employee whose interested bid on the job that is enter the competition for it.

If accepted for the posted job, the former supervisor is allotted approximately a month to provide for a successor. The personnel units act as a clearing house in screening bids that are unrealistic, preventing an extensive number of bids by a single employee and canceling employees who are constantly unsuccessful in their attempts to change job. ADVERTISEMENT ( external): For external candidates advertisement is made. First of all adds are given in newspapers, and internet (on their relevant website.). These ads include job description and job specification.

RECEIVING C.V.s: Then the HR department receives the C.V.s and other documents and short lists the candidates. The candidates are shortlisted on the basis of their qualification and work experience etc. TESTING: After this the candidates who are short listed go through a test. This test includes different questions including their IQ level, personality, mental abilities, and other different abilities.

ORIENTATION OF NEW EMPLOYEES After the selection of successful employees the first step in their introduction to company policies, practices and benefits is an orientation program. The main objective of the orientation is to get familiarize with the culture of organization. The Orientation program in Haleeb Foods Pvt. Ltd. is completed in three phases. The first phase is usually conducted by the staff personnel unit. Subjects covered include products of the company, employee benefits, salary schedules, safety, probationary period, timed recording and absence, holidays equal employment opportunity programs, packing and the grievance procedure.

The second phase of most organized induction program is performed by the immediate supervisor. The inductee is introduced to fellow employees, given a tour of the department, and informed about such details as locker and rest rooms, supply procedures, hours of work overtime, call in procedures, rest and lunch periods, and lunching facilities.

The fact that the success of the system depends almost entirely upon the immediate supervisor, the trainer, means that the personnel unit has a major responsibility for making a good, effective reaches out of every supervisor. This includes both class room instructions as well as on the job training. This type of training is given to the new inductees. In this training, the employees are given training about the different plants they have to work on. They call a special team from outside to give this training. Job rotation: Job rotation enhances wprk team performance and broadens the experience of the person and identifies his strong or weak points. So HR Managers also undergo job rotation in their organization. job rotation in haleeb is done from plant to plant. It is done on same level of job. For example a sales manager will be rotated among different departments i.e. from dairy plant to juice plant and from juice plant to haleeb plant. In this way the job level remains the same.

SHORT COURSES: Some short courses are also given for training the employees. These are for those who are willing to get them. The organization charges some fee for these courses. After completion, the person is bound for 2 years to do the job in Haleeb.

COMPAENSATION MANAGEMENT

THE DIFFERENT COMPAENSATIONS ARE AS FOLLOWS: SALARY * * All confirmed employees are allowed annual increments in the month of July. All normal increments are granted to employees who have completed one year with the company. If service is less than one year then increment is granted in proportion of the length of service during the year. * * Full normal increment is equal to the time scale of the grade in which the concerned employee is placed. An employee can only be promoted when there is a vacancy in the higher cadre of the organizational chart or position in which he is working is being upgraded. The minimum salary starts from Rs. 8000 and the maximum is upto Rs.100000.Different salaries are 8000, 10000, 15000, these all depend on designations. The salaries of executive officers star from 18000 and above.

PROBATIONARY PERIOD The period of probation is six months in sales department and 3 months for every other department. Which may be extended at the description of the management. During this period, the employee will not be entitled to avail any leave, benefits of the medical scheme, and coverage under Group insurance Policy and member ship of the Provident and Gratuity Funds..

During probation an employee's services are liable to termination without notice or any payment in lieu thereof. This term shall apply to either side. The sales department of haleeb is also named as MCAS. Called collection and supply department. Rent and Residence Facility:

There is no rent or residence facility provided to any employees.

Medical Care:
Medical care is provided by Haleeb to all upper and lower employees. Haleeb Has made health cards (they also call them insurance cards) for every employee. He/she may take the card to referred hospital for treatment.

Transportation:
The facility of transportation is provided only to executive posts. Thei is no transport system for others. Haleeb has their own 2 vans for all the female employees. Transportation facilities as well available for BDOs (at the start of the job Bike is provided and after two years car will be provided)

Pension:
They provide provident fund and gratuity fund to all the employees after retirement.

Vacation Criteria:

There are 10 casual leaves for all the employees. 10 sick, 10 annual As specified under each benefit plan. All confirmed employees are entitled to leave according to the rules and regulations stated below: i. CASUAL LEAVE Ten days with pay in a calendar year, at the discretion of the Management. Casual leave in meant to meet urgent and/or unforeseen circumstances. Prior approval of the Management has to be obtained whenever possible, stating the reason for leave. In case of emergencies, an application in support of availed leave must be submitted the day the employee resumes duty. ii. SICK LEAVE The entitlement is 10 calendar days in a year. Sick leave if not availed during a calendar year may be carried forward but the total accumulation of Sick leave shall not exceed 28 days at any time. iii. PROBATIONARY EMPLOYEES During the probationary period of any employee there will be no entitlement to any kind of leave, be it Casual Leave, Sick Leave, Privilege Leave or Maternity Leave. Sick Leave if required will be approved as a very special case only if supported by a Medical Certificate from a registered medical practitioner. Any other leave if availed will be treated as without pay. However, on confirmation if the employee so desires, the leave may be adjusted against his entitlement and the deducted amount refunded.

Insurance:

Education Of Children:
No education of children is provided to any of the employee, weather they are at executive posts or lower level.

Health And Safety Program:

FLAWS IN PRACTICE
There are some grey areas which need to be under consideration like there is a lack of co-ordination with other departments for recruitment schedule. HR is not playing a substantial role in motivating employees. Although they had claimed that they are having a strong motivational system but they are somewhat lacking in giving the sense of achievement to their employees. They do not have decorated vans. Decorated vans should be used for delivery of products. Such an action will work as moving advertisement of the company and will help in brand awareness as well. Every company keeps handbooks for keeping records of employee. Haleeb has no hand book due to which it is very difficult for the managers to properly look at the records of employees. According to the employees their, they are not given the facilities which are promised at the time of giving job. They make commitments about the increments but not give increments.

RECOMMENDATIONS
Haleeb should allocate healthy budget for advertisement. HR department should introduce HRIS system to increase the efficiency of the organization. The coordination between the different departments should be improved. The activities like customer satisfaction should be performed on regular basis so the company should know the feedback and satisfaction level of customers regarding the product and image of the company. Haleeb is not concentrating on the country wise basis. Its major focus is on Lahore and adjacent areas. Different conflict resolution starts with a careful diagnosis of the causes of the problem. And all the times HRD should play an important role in solving there problems. It is then the responsibility of the manager of HRD to apply an appropriate procedural, structural or personal solution or some combination of all three.
