Overview of the department:


This department is considered to be the backbone of this organization since it deals with all the major decisions and tasks of the organization.

Functions and tasks of the department:


This department is a vital part of this organization since all the decisions and actions taken towards an applicant are directed by this department. The process starts off with the applicant completing the form and handing it to the welfare department. This application form may be for Kifalat(allowance), loan to start a business(rozgar scheme), etc. the management then reviews the application and calls the applicant for an interview in which detailed questions are asked to base their decisions if the applicant really deserves to be helped or just wants free money. The applicant is then informed that an enquiry would take place to assess the conditions of the applicant. If the enquiry passes the applicant the applicant becomes entitled to the services. If the welfare department doesnt approve of an applicant all the other departments will accept the decision of this department and withhold the services from the applicant.

Observations:

The filing setup is based on monthly updation that is when the time to give Kifalat is near. We were asked to make debit vouchers for allowances and were asked to observe the details of the enquiry and how the applications are registered and documented. Updation of files was done by us in which we had to fill out forms that mentioned the details of the applicant, the Kifalat amount, the number of people for rations and the person who approved the file of the applicant. Two forms were made, one for Kifalat and the other for ration.

Suggestion/recommendation:

All the filing work that is carried out here is manual. Now this is problematic for the employees because they have to manage a large number of files of the applicants which may be stressful for them and at the same time is taking up precious office working space. So there is need for automation in this case the use of computers as this would greatly save time and create more office working space. Other than this the working of the department would become smoother and faster thus improving the efficiency and effectiveness of this department and the organization as a whole.

On the whole department comprises of hard working people and this is the main reason why this organization is functioning so well. This department has provided us with an opportunity to learn how this department functions and how the filing systems work and are managed/updated. We got a firsthand experience of how things work around the department since we were asked to work alongside the other employees and this made us feel like a part of the organization rather than an internee.
