GULGBT Committee Meeting Agenda 25st July 2011 5.

Jess mentioned missing the deadline for the SRC Clubs and Societies Guide and apologised but James noted that there may be a chance we can still make it in if we email directly o Lauren will be CCd in to the email to the media officer to deal with this while Jess is on holiday

Hannah brought up whether the SRC would be putting sexual health leaflets in the Freshers packs

- General Events Freshers' Week (Natalia - closet). Date for poster making etc. Soon! o James mentioned that there will be a 3rd day of Freshers Fayre but it will be a demonstration day for the more hands on societies rather than LGBT Soc but that the Tea Tent is still great exposure for us. o Discussed the closet/wardrobe idea. James is going to bring it up at an SRC meeting tomorrow with David Newell to get permission. o Discussed materials for making Freshers Week posters, Hannah said that the art materials from last year were all used and we will need to get more o Email from Stuart McQuarrie regarding a film screening about sexuality and religion wants to do the screening in the chapel so that he makes it a welcoming place. He would like to do it in Freshers Week. James raises a query that it should be more inclusive and should be more multi-faith we will speak to Stuart about this. It was also raised that it shouldnt be done in Freshers week as it is a really hectic week and it should perhaps

be in the early part of the semester shortly after Freshers week James mentioned that having it in Freshers week means that it will be in the Freshers Events Guide but that the other factors may outweigh this positive Poster making BBQ; o Will be held in August doodle to be set up for date. Meet and Greet - Jess and Natalia feedback ideas from their meeting; o They want to make sure that teams are swapped throughout the night to allow a chance to meet as many people as possible o Ideas to make teams; Teams made up of people youve never spoken to before, people born in different years etc Query raised to make sure that this is completely organised before the night to ensure that it runs smoothly. o Also want to make sure that committee members are fully integrated with society members Hillhead Library/Drinks Licence o Need to sort this ASAP but it seems like a fairly simple process o Point raised that we should ID people on the door and give wristbands to avoid having to ID everyone at the bar Launch Night o Jess has spoken to the lady in Hillhead Library and has final pricing from her; 250 for 5 hours o Idea that the Launch Night should be Casino themed (without actual gambling) Query raised that it may exclude people who have aversions to gambling etc o Hannah suggested having things on the wall to look at e.g. LGBT related quotes etc o People Auction? query raised that it may be too early in the semester for this o Will decide on a final theme closer to the time Events Dates (including political event switch) o May need to change some of the social event dates to ensure flexibility for the political event.

- Sponsorship Feedback from Jess, Kit and Lauren o Kit has started putting together a proposal for sponsorship that includes; Types of Sponsorship

What we can offer Why we need sponsorship o Lauren and Jess are researching the societys history to put within the proposal o Will make sure we include a clause in the proposal/contract that ensures we can back out if the company offering sponsorship is involved in any negative comments or actions towards the LGBT community - Amy Johnson meeting/SOEG meeting

Kit went to the meeting and pitched gender neutral toilets absolutely superbly and they seemed to react positively to this and will get back to him. Kit has also been offered a spot at the SOEG meeting as a Trans representative very positive! Kit also had a meeting with Amy Johnson (VP Student Support) and she was also very positive and supportive.

- Campaigns - Vicky Gunn email Joint event with Vicky Gunn? o Ties in with Erins event idea of having LGBT MSPs being invited to talk with us as the Staff Network also wanted to run a similar event and Vicky has the contacts to make this happen o This event was originally discussed as being a non-Wednesday night event, but in order to pull in large numbers and make it worthwhile as a joint event we should have it as a main society Wednesday night event. o Date options 19th of October 2nd of November 9th November 16th of November - Affiliation

Need to ensure we affiliate with the SRC, GU and QMU in time. Lauren to chase up the SRC and QMU re. affiliation

Cheque to sign to organise later (Jess we didnt do this!) Ceilidh ideas and venue requirements

o List of venues on Google Documents o Natalia and Lauren to look into venues and a band GUU? - Treasurers Business None - Welfares Business

Discuss Kirstys Events and Drop-In ideas and feedback to her regarding this; o Discussed that most of Kirstys events are organised and that all we need to do is look at those that still need confirming. o Need to make sure that Monday drop-ins are well organised in advance so that our swag-bag is organised, tidy and ready to go o Natalia discussed having the drop-in in different locations e.g. GUU, SRC John Mac and QMU but it was also discussed that it may be easier to have it mainly in the QMU Committee room 3. E.g. 3 out of 4 Mondays in the QMU and one out of the month in the SRC. We can come back to this later. Befriending training needs to be finalised and confirmed o Jess will delegate this to Natalia Kirsty has requested we pick up leaflets from Sandyford for Freshers etc (get ones on gender, sexuality, sexual health, mental health, awareness etc) o Jess will delegate this to Tom Kirsty is putting together ideas for the welfare section of the website so if anyone has any ideas pass these on to Kirsty o Discussed and noted and any ideas will be forwarded

- Events Business None - Mens Business Social Events o Laser Tag, o Potentially a Film/Theatre Trip for Glasgay Festival Welfare events o Talk with the GMH on Sexual Health Issues, potentially could be around time of Ceilidh, to have talk upon the importance of HIV Awareness, o Tom would like to know if he can have the green light for GMH training

- Trans Business

Update on gender neutral toilets on campus (see above - SOEG Meeting) Kit got an email from Ellie Munro regarding Stonewalls gay friendly Universities Guide informing Kit that someone at Kings College London is campaigning for a Trans friendly uni guide and was asking if Kit was willing to be involved and if GULGBT would be supportive of this and everyone agreed that it is a positive move that we are happy to support Kit has compiled a list of films for the amazon voucher and wants us to look at is and think about what kind of things we want

- Post Mats Business Summer event? May not be possible but Elliot will consider and look in to it.

- Campaigns Business - Publicitys Business Posters o Posters will be ready to be viewed on Facebook in a week o Can get 50 posters (A3) and 5000 flyers for 90 and these will be high quality glossy posters Website Progress o Should be completed by the 31st of July o Hosting will be 40/annum
