BUILDING WEBI REPORTS USING EXCEL Introduction

This document explains building a Business Objects Web Intelligence Report using Excel file as data source and then using that report to explore WebI features. The worked example described here is to create an Excel data source from Bex Analyzer and then create a WebI report using that data source.

A summary of the steps required to create this report are given below. Create Excel spreadsheet with required target value data using Bex Analyzer from the Bex Query Create a system DSN on the BusinessObjects server using the Microsoft Excel Driver to point to the Excel file in the same server. Create a new Universe based on the Excel spreadsheet and export it to repository. Create a new Web Intelligence document based on the Universe.

Local data sources were introduced in the XI 3.1 version of SAP BusinessObjects Enterprise and it is this version that is used here.

Sector wise Sales report


The objective of Sector Wise Sales Report is to analyze sales data for each sector and sales group.

Create Excel spreadsheet using Bex Analyzer from the Bex Query
1. Below screen shot shows Sector Wise Sales Report in Excel spreadsheet created using Bex Analyzer. The required dimensions and keyfigures are selected and modified in the Bex Analyzer and converted to Excel format. As the excel spreadsheet data source is not dynamic, the time period of the report is selected to the maximum range, 10.02.2007 to 28.03.2011 using the dimension Calendar Day.

The Bex Query YSDC03_Q0001 used for this report is sourced from Bex Query Designer

Create a system DSN on the BusinessObjects server using the Microsoft Excel Driver
Go to Desktop > Start > Settings > Control Panel > Administrative Tools > Data Sources ODBC

Follow the dialogue boxes and create a new data source.

Create a new Universe


2. Open Universe Designer to create a new universe. 3. Click New to create a new connection and select the DSN from the drop-down list.

4. Test the connection to make sure the server is responding. 5. Add table to the universe by selecting the Excel file from the list.

6. Drag the table to the left pane to create the objects. The dimensions and keyfigures are converted to classes and objects in the universe. 7. Click on each object to open up a dialog box. Using the Properties tab, change the Object properties as dimension or measure. The created Universe is shown below.

8. Export the Universe to the Central Management Server.

Create a WebI Document

Choose the Universe you want to use from the list to build a query.

After you have chosen a universe Edit Query view is seen.

Drag and drop objects to be used to Result Objects pane. Objects in this pane will be available in Edit Report view.

You can also drop objects into Query filters pane. This will reduce amount of result records by setting a filter. The filters set in the Bex Query Designer are set as filters here.

When query is ready, click Run Query button

Prompts dialogue box appears. The mandatory prompts should be entered based on which the data is displayed. For example, Calendar day is given as mandatory prompt here. The date range selection based on the data in the Excel spreadsheet is entered and the query is run.

This will bring the user to Edit Report view.

Now a WebI report is generated, which can be customized in many ways. You can always back to Edit Query view by selecting Edit Query button.

2. Customer Complaint Report


The objective of Customer Complaints Report is to ensure proper customer service by tracking the complaints received from customers and the number of solutions undertaken. Web Intelligence Report

3. Production Report
The objective of Production Report is to analyze the plant wise consumption of main material by means of the variance between Production Ratio and Planned Production Ratio.
