6/19/11 Bishops Committee Attending: The Reverend Johnnette Shane, Kevin Minch, Pete Kelly, Jessie Cragg, Sally

West, Wynne Wilbur. Absent: Krista Baker. Call to Order Prayer - the meeting was begun with a prayer from Johnnette. Approval or corrections to prior minutes - The minutes from April were approved. May minutes were approved with additions. Reports: Vicar Johnnette gave a report regarding the reconciliation and healing forum. There is an online tool called Safeguarding Our Children that will be required for all members of the church that help with children. Kerrin Smith will coordinate this process with the help of Robin Weisenborn at the Diocesan office. One house has been volunteered to host a house Eucharist. A date will be discussed later in this meeting. A mutual ministry review needs to happen. We might need an outside facilitator. We do need to establish a time and place for this to be done. A contribution to youth golf was donated in memory of Pon Chinn, the father of our architect for our building addition. St. Louis pride is at the end of the month. Several people bought t-shirts in support of this cause. The piano downstairs was looked at and it was estimated that the repairs would cost around $12,000. We might look into someone else for another estimate. Bishops Warden - Johnnette, Krista, Tim and Jessie went to a training for Food 4 Kids. They will have a short training for people who are helping with this on July 10th. Jessie will send out the training material and can individually go over it with anyone who can't attend the training. The Diocese, in anticipation of preparing their 2012 operating budget, has asked for our annual formal letter of request for support. Each year we have reduced our request, with the end goal of being self-supporting. If we reduce the amount we request every year by $2500, we will be a self-supporting parish by the year 2017. Our request for this year will be $12500. Junior Wardens No formal report. Key replacement and building use policy will be discussed under old business. Johnnette reported a lot of water in the basement of the vicarage in the last few days. We will contact the guy who did the drainage work earlier in the year.

Treasurer - Johnnette handed out the Treasurers report. Krista could not be here to give a detailed report.

Old Business: Building Campaign - A building committee was established for the accessibility project addition. Members are Johnnette, Talie Alexander, Scott Alberts, Tim Baker, and Wynne Wilbur. They met with the architect and a priorities list was made for needs for the building addition which was passed on to the architect. An online webinar will be offered on capital campaigns that some member of the BC and Johnnette will attend. We also need to establish a Capital Campaign committee to develop a plan to acquire funds for this addition. Kevin Minch will be on this committee and will contact church members to be a part of this committee. Key Replacement - We will do this as soon as we finalize our building use policy (see below). Building Use Policy - We discussed who should be able to have access to our building. We think anyone should be allowed to have a funeral. Ultimately, the decision of who will be allowed to have weddings in the church will be up to the clergy. A fee should be charged for the clergy and the accompanyist if Trinitys clergy and/or musicians are requested. Members may use the church facilities for free, but nonmembers will be assessed a fee of $200. The written building use policy specifies who else will be able to use the building. The final decision will be left up to the clergy. This policy also specifies who will handle the key distribution. Groups of all members or predominantly members will not be assigned a building use fee. Use of the church by non-members will be assigned a fee based on length of usage consistent with our mission. Base fee will be $20 0-4 hours and an additional $5 for each hour after that. Money earned from these fees will go directly to the building fund. Planning Meeting - This will take place on July 23rd beginning at 9:00 to 1:00 at Wynne's house. Special Liturgies Liturgy at the Lake - This will be on the 18th of September. House Eucharists - Pete and Julia will host one. This will be on July 20th at 5:30. New Business:

Mutual Ministry Review - Johnnette and Krista will look at forms and make a report back to the Bishop's Committee. BC Meetings - The next Bishop's Committee will be July 23 as part of the planning meeting. The August meeting will be August 21. First Sunday Outreach - July - ERD for USA disaster response fund. August - Parish discretionary fund. September possibly Jobs for Justice. Johnnette will investigate the appropriateness of this organization. October - the Fund for Theological Education. November Something in honor of Veterans. Jessie will ask Roger Rosenberg for suggestions. December - Foster Families. Communication Policy - We had a long discussion about the WHAT, the newsletter and the website. Kevin has concerns about the current website. He also feels there is too much duplication between the WHAT and the newsletter. Kevin has a survey to send out to members of the church about the uses of these different communication methods. Perhaps we need something to display the printed copies of the newsletter so it will be more visible. We also should have a facebook page. It was moved by Wynne and seconded by Jessie, to give the communications committee permission to send out the survey to people on our mailing list, to eventually migrate our website, and to set up a facebook site.
