1.0 INTRODUCTION
1.1 Purpose and Intended Audience
This user guide has been developed to assist all users of the North Carolina Community Colleges Data Warehouse (NCCCSDW) in the use of Business Objects XI InfoView to retrieve Web Intelligence and Desktop documents. The intended audience of this guide is any user that executes documents from Business Objects XI InfoView.
NOTE
InfoView users should have a basic understanding of navigation techniques and conventions used in Microsoft Windows and Microsoft Word.
User IDs College users will use an EIS id to access Business Objects XI InfoView and retrieve documents.

Header Panel Functions as the main menu. It will always be at the top of the screen while you are using Business Objects. Navigation Panel Displays folder organization and allows you to access saved documents. The Navigation Panel will be visible while you are using Business Objects unless you hide it by clicking the Hide Navigation Panel icon , located at the top right of the Navigation Panel. Workspace Panel This is where the report is displayed. Document consists of two parts: the query and the report. Query The combination of result objects and query filters needed to pull the desired data from the Data Warehouse. Report - the presentation of the data returned from executing the query.

Enter your User Name and Initial Password. Click the Log On button.
Rules for New Passwords 1. Minimum of six characters. 2. Must use letters and numbers. 3. Cannot re-use a password. The following screen appears prompting the user to create a new password. Click OK after entering the new password.

Once a new password has been created, InfoView will return to the Home page as shown below.

When the adjustments have been completed to preferences, click the OK button in the bottom right corner. The main page will appear with the Public Folders shown in the Navigational Panel.

Header Panel
The Header panel functions as the main menu in InfoView and is located at the top of the InfoView page. The Header panel can be hid by clicking the Hide Header panel button ( right corner of the Workspace panel. ) that displays on the top
Click the View Header panel button ( ), that displays once the Header panel is hidden, to return the display of the Header panel at the top of all InfoView pages.

Returns you to the InfoView Home page. Opens the list of folders containing documents. My InfoView - Customizes the Workspace panel to display multiple reports. Encyclopedia Disabled. Disabled Displays the appropriate help topic based on the current field or function selected. Allows you to set your preferences concerning the way InfoView pages display. You can customize such things as your initial view in InfoView upon logging on, how many documents display on a page, etc. Lists product and sales information about Business Objects. Click this button to log out of InfoView.
Navigation Panel
The Navigation panel provides you with the ability to locate Public Documents stored in InfoView. Documents are stored in Public Folders that were migrated from the previous version of Business Objects. The Navigation panel displays on the left side of InfoView pages, under the Header panel:

Public Folders and Public Documents replace the Corporate Documents concept used in the previous version of Business Objects. Disabled. Refreshes the Navigation panel to display all available folders and reports. Refresh the Navigation panel if your access permissions change while logged in to InfoView. Disabled. Disabled. Disabled. (Properties) description of information in folders, subfolder or document is displayed. A drop-down menu that allows you to search for documents by the title. Click this button to conduct a search based on the criteria you have entered in the Search title field. This feature allows a user to move from page to page when searching for a document.

Folders Subfolders can be viewed by clicking the plus sign ( ) that displays to the left of the folder name in the Navigation panel. Click the minus sign ( ) that displays to the left of the expanded top level folder to collapse the folder. If documents are stored in a folder, a list of these documents display in the Workspace panel when the folder is selected.

Workspace Panel
The Workspace panel displays to the right of the Navigation panel under the Header panel. The contents of the Workspace panel change depending on the function used in InfoView. In the example below, the InfoView Home page view displays in the Workspace panel:

Click the appropriate subfolder. A list of documents stored in that folder will display in the Workspace panel. Documents are displayed in alphabetical order.

NOTE: Double-click on the word Title to list the documents in descending order.

To change the size of the display area for the Navigation panel, move the mouse over the right edge of the Navigation panel. Click and hold the edge of the panel when the double-sided arrow displays and drag the edge of the panel as appropriate to resize the Navigation and Workspace panels.

If the document you are looking for does not appear on the first page, use the page feature to click on the arrow pointing to the right. This action will take you to another page listing additional documents. NOTE: Double-click on a document to retrieve it.

There are two options for responding to prompts. First Option: Type the value in the text box.
Values are case sensitive. If the entry is not typed correctly, an error message will be returned (Error: No data to fetch). Second (and recommended) Option: Select the value from the List of Values. If there is more than one prompt, select each prompt listed in the Reply to prompts before running the query field first, then ensure the desired values display in the field on the right that is now labeled for the prompt selected above.
Add and Removing values for a prompt: Add Select the value in the list on the left and click the right facing double arrow ( ) or doubleclick the value in the list. To enter multiple values, hold down the Ctrl key and click on all the values. Then click the double arrows button. NOTE: If the List of Values is empty, click the Refresh Values button. Remove Select the value in the field in the right and click the left facing double arrow ( ).

In this example, 200901 is chosen as the reporting term. In order to click the Run Query button, scroll down on the right side of the window. When the values have been selected for all prompts, the report results will display.
A screen may appear informing the user of the Autosave function. To ensure this screen does not appear every time a document is retrieved, click on the box Dont Notify Me Again.

This is the default view when a document is retrieved from public folders. The above example is in this mode. The document is displayed in a paginated view The document is displayed in a non-paginated view. The report header will not be displayed. A PDF of the document is displayed. The User Prompt Input, Navigation option and Find option is displayed. It appears in the bottom right of the document and displays the date the document was last refreshed. If only partial results are retrieved or if there is an error in running the query, it is displayed on the status bar.

In this example, document DL200, will be saved as an Excel file. Click on Excel.
When saving a document, the browser will prompt you to open the document or download the file first. Click on Open.
Open Save
This will open the document in the chosen format (Excel, PDF or CSV). This will download the file to a location and filename the user has chosen. By default, the filename will be the same as the Web Intelligence filename. Users can save a document to their Desktop. This will stop the Save function and return the user to the document.

Print using the PDF View Mode 1. Click the View button ( menu.

The Print dialog box displays. Select the printer as appropriate and click the OK button to print the report results.

Print Icon 1. Click on the Print Icon ( ). It will export the document to print as a PDF document.
3. Adobe Reader will open and display the document. Click on the Print Icon.

Click on File to open the drop down menu and click on Exit. InfoView will close.

Click on Copy. Minimize Internet Explorer and everything else until you are at the Desktop. Right-click to bring up the speed menu. Click on New.

North Carolina Community College Data Warehouse
A Web Intelligence Document contains two parts: a query and the formatted report resulting from that query. (Executive Information System) User has the ability to retrieve and refresh documents, save, send, and print documents from the data warehouse. EIS users can not create documents. A storage mechanism for Public Documents available in InfoView. Public Documents are storied in Public Folders. . A subsection of a Workspace panel. One of three main types of elements that display on every page in InfoView, unless one of these elements has been hidden. The types are the Header panel, which displays at the top of each page and functions as the main InfoView menu; the Navigation panel, which displays on the left side of each page and allows you to find stored documents; and the Workspace panel, which displays on the right side of each page and allows you to select, run, and edit documents. Portable Document Format Documents that are available to all users that have the appropriate level of access granted. Public Documents are stored within the Home/Public Folders folder.
