Project title:

Analysis of operational time loss and development of recommendations


for an effective use of Executive’s (Leader’s) working time
"The one who allows escaping their own time, releases from the hands of their lives, the one who
keeps the hands of their time, has control over the life".

An effective manager is a person who takes on exactly what he should be


doing, and brings it to its conclusion. Effective team leader is a person who
creates conditions that motivate a team to achieve their goals. In general, the
effective manager is the one who makes sure of work completion.
Certainly, methods by which people become effective managers are very
divers. First of all, it is necessary to" do correct things", i.e. to consult with those
tasks which decision is demanded from you by your post of the manager. Only by
observance of this condition it makes sense to talk about how to "do things
correct", i.e. about the best perform your work of the manager.
Managers, who want to improve, should evaluate their own performance as
well as effectiveness. Effectiveness means the ability to "do the right things”, and
efficiency - the ability to "do things right", i.e., to obtain results with least amount
of resources used. Productivity is more important than efficiency, because manager
must first carry out the necessary work that’s most important. Only under this
condition the effective and efficient execution of work is valuable. An effective
manager should possess either quality, i.e. achieve the necessary results in the most
qualified manner.
The effectiveness of a manager, as well as other characteristics of his work,
depends on several factors. Thus, one of the factors influencing the effectiveness of
a manager is the ability to manage their time. Rules of the organization, both
formal and informal, can have limiting effects. Besides it, the manager is
influenced by a variety external to the organization factors. For example, a family
and friends have the certain rights to the manager and, in particular, for his time.
Work on self-improvement or improve of professional level takes away time which
he could give them. Other external factors, such as changes in the legislation, a
public policy and economy, will influence not only the work content of the
manager, but also on how he would carry out.
Any work besides, actually, cogitative activity comprises purely
organizational, technical elements. Domain of knowledge which studies the
organization of an employee is called as personal management.
Personal management (self-management) is purposeful and consecutive use
of practical methods of management in daily activities in order to optimally and
with the sense use own time.
How many capable and even talented people had not reached top and serious
successes in life and couldn’t make good career for only one reason: couldn't
dispose in the best way neither the time, nor the capabilities. And as consequence,
couldn’t correctly organize their lives and the activities.
As a resource any person has time initially in equal quantity. But results of
its use at various people are various.
Constant deficit of time at increasing intensity of work is phenomenon typical of
the most of executives all over the world. And before every economically
developed country today is the question: how to learn to save time fo those who
implement the control function.
As shown by numerous researches, the executives because of shortage of
time had to increase their working day. As a result, they do not have the time and
effort to improve their skills, increase cultural, recreation and preservation of
health, family and personal development. It should be borne in mind that lack of
time - not a cause but a consequence of poor self-manager.
If the manager is always busy with "pressing items", amenable to the
spontaneous course of events, does not manage their own time, but depends on the
circumstances, then over time he loses his ability to distinguish the important
things from the secondary, or select an important issues from a variety of specific
situations. His actions become more about quenching emergency conflicts,
eliminating crashes, and, in general “thinking around edges”. The system of
chaotic use of working hours quite often comes from the executive and comes back
to it in the form of necessity continuously to waste time on resolving burning
problems.
The organization of a personal labor of the executive should consider
individual characteristics of people. Here it cannot be guided by rigid rules or by
rates.
However, both science and practice of management convincingly
demonstrate the possibility and necessity of the effective organization of leaders’
personal work.
Indeed, there are common traits in the activities of successful leaders have
that can be identified, formulated in the form of principles, practical advice,
appropriate for the scope of management.
Experience shows: life, leader’s personal labor at work and at home can and
should be organized in the system.
Personal management system can be graphically represented as a model of
the requirements for managers who can effectively manage themselves. This
model consists of seven sections:
1 - The ability to formulate and implement goals;
2 - Personal organization;
3 - Self-discipline;
4 - Knowledge of the techniques of personal work;
5 - The ability to make yourself healthy;
6 - Emotional and volitional capacity;
7 - Self-control.
The executive bears the main losses of time due to his own procrastination,
indecision, absence of self-discipline, inabilities to tell in time "NO", wrong
delegation of a part of its authority to subordinates, because of inability to separate
main thing from secondary, of constant vital laxity and of disorganization, inability
to support the working capacity, ignorance of techniques of personal work.
Naturally, time itself cannot be managed. However, we can manage our own
affairs, taking into account the time factor. Note that self management needs the
same skills as guiding others - plan, organize, assign, promote, coordinate and
monitor.
Without these skills, it is impossible to operate effectively. Maximum use of
the allotted time can be aided by a specific set of managerial techniques and skills.
One needs to think in advance what to do, how to make and to whom to entrust the
matter.
Partly this task is solved by time management (time management, time
organization). ТМ means the technology of accounting of time and planning of the
working day is meant. It requires serious strong-willed efforts and constant
attention.
Thus, the aforementioned ideas lead us to believe that the modern manager
must master the science of managing their own time, and to learn how to use this
unique irreplaceable resource with the greatest efficiency.
The aim of this project is to analysis the leader’s labor. The cost structure of
his working time and develop recommendations for effective use of working time.
As a result of this work, the main problems to overcome will be identified and that
will allow more efficient use of leaders working time. In addition,
recommendations solve these problems will be formulated.
The relevance of chosen topic is the fact that today's economy and society is
in stage of reforms and transformation. Continuous organizational restructuring,
decentralization of management, modernization of technology, style and
management practices enhance the role of leader. Today, the effective work of a
leader - is an organic fusion of science and the art, the close combination of skill,
which can and should be taught, and talent of the organizer, which he is born with
and needs to be developed and improved.
Constant shortage of time with increasing intensity of work is a phenomenon
typical of most executives around the world. Today more than ever, it is important
to understand how to save and effectively organize the time of those who
implement the control function.

Within the stated objectives, the following tasks were identified:


- Analyze the contents of the leader’s work and understand use of his time;
- To prepare recommendations to improve the use of leader’s working time.

Work will include two main sections Theoretical framework of the analysis
of executive’s working time and Analysis of executive’s working time and of course
recommendation for an effective use of executive’s working time. Theoretical part
will cover the nature and content of executive’s work, effective use of time
(control and self-control of use time) and using time management as a tool that
solve the task. Analytical part will cover organization characteristics and analysis
of executive’s functional activity.
