Projects are temporary events and have a limited period such as 5 months, 1 year or
3 years. One project may intend for producing a unique product and another project may
intend for delivering a unique service. The period of a project have a started time and ended
time. A project may become out for an organization’s necessary, market needs and
others[ CITATION UWi18 \l 1033 ]. For Example; a client making an order for a building may
become a project and establish a project for technology legal.

A project is not like ordinary operation and it makes attention only for finishing a
goal within a limited period.

A team has to be composed of different skillful persons, different organizations, and


skillful people from the different area for finding out a solution to reach a project’s goal. For
Example; writing retail business software needs experts of retail businesses, and practitioners
because programmers are not experts in business areas.

The quality project needs implementing with specific work scope, working done
within a limited time, spending funds are not over the budget and these three facts are called
triple constraint. In summary, 10 knowledge areas in studying project management.

1. Integration management: It needs to know possible ways for how to accomplish


the tasks by relying on knowledge area and gather information and data with collaboration.

2. Scope Management: There have to prepare necessary perfect documents, what are
the objectives of the project, necessary preparing. For Example; creating work break down
structure.

3. Time Management: Establishing time schedules (Gantt chart) is needed for


accomplishment within a limited time. It has to know what percent of the project is must be
finished within what time of the period.

4. Cost Management: It also has to estimate cost, budget, and monitoring. There is
needed to spend within the budget and have to task for upcoming over budget.
5. Quality Management: Project manager needed to have quality knowledge about
with what type of quality product would be produced. Example- ISO 9000.

6. Human Resource Management: It has to know the necessaries of the various


areas of the project, the necessary resources for coordinating and organizing. Example, the
project manager has to get feedback from team members and support for them. It also has to
know the skill and creating a staffing management plan for project requirements.

7. Communication Management: 90% main responsibilities of the project manager


communicate to project teams, senior management, and the public. Project managers have to
make communicate well is not the only externality but also internality.

8. Risk Management: Project managers have to focus risks before the start of the
project to until the end of the projects because the nature of projects is uncertainties and have
to implement a contingency plan for the unexpected things happening.

9. Procurement Management: With being the large project, the project manager has
to prepare necessaries for the communicating to externals; vendors and suppliers.

10. Stakeholder Management: There have to list all of the stakeholders’ data and
analyze about with the positive or negative attitude on the project[ CITATION PMB17 \l 1033 ].

All of the knowledge areas are crucial to being a successful project. But, scope
management is the most important among them according to the work experience and survey
because of assigning works by relying on WBS. Thus, a project can reach its goals unless
clearly describe in the scope of management.

based on the process groups.

Participants in a project strive to achieve the project’s goals and best results by
applying their knowledge and skills with a collaboration. Following headings are
fundamentally needed for the best of a project from the start to until the end.

Initiating: It is concerned about with how to start a project with the new idea and
how to implement it. There also need to think in detail of how to make profits from it.

Planning: Implementing a plan for the project, summarizing of the project’s period
and tasks, budgeting and estimating necessary resources are included in this part. If there
were not express things clearly in this part, it may be missing project objectives and results.

Executing: After regarding time, money, and the necessary resources, the project
can be started for implementing. There have to delegate tasks for team members within the
starting of implementation and it is the most important. Moreover, also just in time resources
allocation is crucial. Example: Accomplishment of a building within the estimated time not
only need to delegate responsibilities to the employee but also need to supply materials such
as cement, sands, woods, to employees with just in time.

Another important fact is information sharing. In this part, the aspect of the project
manager is very important because the project managers have to implement faster in
accordance with the facts of information and it will accomplish the project on time.

4. Monitoring and Controlling: The implemented project has to reanalyze whether it


is ongoing with the plan or not. Sometimes, the actual implementation of the project cannot
be going as per plan. As project managers, there have to consider how many stages have been
finished, adding more effective tasks for just in time accomplishment. Moreover, project
managers have to change the plan depends on the situations when resources are needed for
reaching the goals of the project or more resources are required.

5. Closing: This is the final stage of the project and if the desired results are
achieved, there can be said the project is the success in general, as well as all tasks, are
finished. But there have to appraise all results and situations from the start of the project until
to the end.

There have to analyze weakness, strength, problem-solving, troubleshooting for


striving to get final results of the finished project and it will be support for the more effective
implementation of the next project.

Even though the project was implemented in accordance with PMBOK, the project
may be failures. Most of the failures occur in the IT industry project. The main causes of
failures in IT projects are lack of certainty and specify the objective, no final product, and
ever market demands changing because of IT projects have not finished in final and need to
update due to uprising new technologies. Although there have 50 facts for IT project failures,
according to the studied ,there are two parts; common factor and specific cause.

Project failure can be able to not only be wasted times and money but also be
unsatisfied to customers, stakeholder and end-user.

The main facts of IT failure are project management practices, top management
practices, obsoletes technologies, negative attitude of organization, complexity and pass more
processes than necessaries. According to the project management studied, top-level
management is a very important aspect because top management needs a CEO or a director
who has experiences in various functions. Moreover, project failures are occurred by the facts
such as having some disputes in the top level management, lack of organizing stakeholders
for participating well, muddled decision making, and lack of resource allocation for each
department with just in time. Furthermore, consequences are difficulties for the project
manager in ongoing the project[ CITATION Wal09 \l 1033 ].

Another of project failure is weaknesses in communication within the department,


example lack of sharing information about with the factors such as how many stages of the
project have been accomplished, and fast replenishment resources in accordance with in time
to top management and among the departments.

To be summarize ,although most failures occur in the IT project, there can be able to
avoid risk by studying potential causes of failure. How we can measure the project is success
or failure ? Normally , can figure out with budget or customer satisfaction but that also
difficult. Most of the project successes or failures are measured with how the project is
effective and efficient in accordance with project goals.
