1 Introduction

Welcome to the ScanToPDF Manual.

To use the program you can either use images already filed on your computer or
use images acquired from a working Twain compliant device. Twain compliant
devices will in the main consist of document scanners but also include digital
cameras.

2 Installation

2.1 Installing ScanToPDF

If the intention is to create PDFs from a Twain device we suggest that prior to
installing the ScanToPDF program you should ensure that your devise is working
correctly. Most devices will be supplied with a program for testing that the device
is working correctly – for example Fujitsu’s Scandall2000 program - or you can
use the Imaging for Windows® program. Having established that the device is
working correctly you can now proceed with running the installation program
‘ScanToPDFSetup.exe’. You will have received this either by email, downloaded
form our web site www.oimaging.co.uk or on a CD. The installation program will
guide you through the installation and prompt you for all the information it
requires.

2.2 Licence and Registration

Licences can be purchased by clicking on the ‘Buy Now’ button at


www.scantopdf.co.uk.

If you are purchasing a Home User licence you will be issued with your licence
number as part of your payment receipt notification email. Use the Help/About
menu and enter the licence number in the appropriate box.

If you purchase a standard ScanToPDF licence you should run ScanToPDF and
click on the Help/About menu. You can then use the ‘Request Licence’ option to
email us your serial number. We will respond back with your licence number. If
there is a delay in us responding (weekends, international time differences, UK
public holidays, etc.) you can enter the temporary licence that is issued as part of
the payment receipt notification email.

You should note that if you change the computer name of your PC then you will
require a new licence number. Payments can be made on our web site
www.oimaging.co.uk or through an appointed reseller.

Charities can request a free licenced version.


3 Starting Scantopdf

Start the program using the start menu and choosing programs followed by the
ScanToPDF menu and then the ScanToPDF program.

ScanToPDF will then present you with the following screen:


3.1 Setting The Parameters

The parameters that control the how the images are acquired and how to save
the PDF are set using the following options:-

If you intend to only use ScanToPDF to process existing image files (i.e. there
may not be any TWAIN sources) then you will not need to select a source.

The settings in the preference section are designed to be self explanatory but we
do recommend that you take some time to explore these options and perform
some tests to see how changing the various settings affects the way the system
behaves. Section 5 provides explanations on the various options within the
preference section.

3.2 Other options

3.2.1 Twain User Interface

The Twain user interface is the scanner menu. You can set ScanToPDF to
display or bypass the scanner menu either by simply depressing the icon or
setting the option in the Edit menu.
3.2 Email Interface

After creating the PDF you can set ScanToPDF to automatically create an email
with the PDF as an attachment. This is set either by clicking on the email icon on
using the setting in the Edit menu.

It should be noted that the email module is a free, unsupported add-in to the
ScanToPDF program and does not constitute an integral component of the
ScanToPDF program.
4. ScanToPDF Operation

There are only two steps required to create a PDF from the image files, the first
is to acquire the images and the second is to save the PDF.

4.1 Acquiring Images

Click on the image acquire icon to load the images. You will now have a screen
as follows:

At this point you can:

• View the full image of a thumbnail by clicking on the thumbnail.


• Acquire more images by rescanning or loading from another file.
• Zoom in on a part of the image by box-drawing using the mouse.
• Re-order the sequence of images by clicking and holding down on a
thumbnail and moving it to the desired location.
• Change the view of the image using the zoom options
• Rotate the images clockwise or anti-clockwise using the rotate icons
• Delete a single page. (you could then rescan the single page using
different scanner settings and move the image to the correct page
location)
• Clear all the acquired images scanned using the ‘Abandon Batch’ icon.
• Save the PDF to a specified location.
4.2 Saving the PDF

At the point of saving the PDF you will be presented with the standard folder
browse window.

If at this point you enter a new pdf filename then the system will create the PDF
without any further interaction.
4.3 Entering an existing PDF file name.

If however you enter an existing filename you will be given the option of
overwriting the existing pdf or inserting the new pages at the beginning, end or
after a specific page of the existing pdf. These options are presented in the
following window:

You should note that the default setting (shown here as Overwrite the existing
PDF) can be set in the preferences section.
5 Preference Settings

5.1 General

These parameters are used to set the language the program will operate in and
the Scan from file settings.
5.2 Save Options

• Default folder:- Folder in which the PDF files will be created. This can be
amended at time of saving.
• Only save to subfolders:- forces the user to save the PDF files in the
default folder or subfolders of the default folder.
• Automatic Save of PDF document after scan:- The save PDF dialog box
will be launched immediately after the last page of the batch has been
scanned.
• Launch email client with PDF attachment after save:- On saving the PDF
the system automatically creates an email with the PDF as an attachment.
• If already exists default choice is:- If, when saving a PDF, you enter an
existing file name the system will default to the selected action.
5.3 Document Information

This information will appear in the document properties of the PDF.


5.4 Document Security

These settings control access to and operation on the generated PDFs. It should
be noted that if once these settings are applied they remain active for all future
PDFs. If you set passwords don’t forget them!

5.5 Viewer Preferences

These settings control how the Adobe Reader presents the created PDF. These
settings can be adjusted at time of viewing the PDF.
5.5 Plug-Ins

Additional or modified functionality can be added to the standard ScanToPDF


application via the installation of Plug-In components.

These components can

• Read a barcode and include the barcode value in the file name.
• OCR the scanned image and create searchable PDFs
• Automate the naming of the PDF based on numerical increment, date &
time stamps, etc.
• Prompt for indexing data that is held in a meta-tag for submission to a
document management system.
