TEACHERS
Classroom teachers should arrange their rooms in a testing appropriate way BEFORE Regents
week. Please cover and take down all resource materials from the walls and set rows up in
the room. You are responsible for the testing conditions of ALL the rooms you teach in.
Please do not leave on Monday, January 25th without making your room testing ready.
During Regents week, school hours are between 8:45 and 4:00pm. Sometimes,
teachers proctoring un-timed or extended time exams might run over the time and teachers
proctoring regular exams may go until 4:15pm. If that happens, you should keep track of how
long you stayed and come in late or leave early on a day you are not assigned to work. Other
mornings or afternoons when you are not working, please be around. If you have some kind
of a conflict, let Laurie or Jessica know.
PROCTORS
Proctors should meet at 8:45 for morning exams and 12:45 for afternoon exams in
the conference room. The testing coordinator will give you all necessary materials. Please
also make sure that the room that you are in is ready for the exam with no student work or
reference materials up on the walls and the desks in full rows. You will be informed if you
have students who have special considerations such as dictionaries. If you are proctoring
an actual Regents retake, you cannot do any work while you are proctoring. You
just watch the kids. Do not answer any questions from individual students.
**If you are proctoring an untimed exam or reading an exam, you need to keep track of the
extra time you have spent testing and either come into work late or leave early on a day
you’re not working.
TESTING COORDINATORS
In order to put together the necessary materials, all coordinators must gather materials and
get prepared the day before they are coordinating. If you are in charge of the morning
session be in the conference room by 8:30AM, for those coordinating in the afternoon
sessions, you must be in the conference room at 12:30. If you are a testing coordinator, you
are expected to coordinate all exams going on that morning or afternoon. For test
coordinating, you should feel free to come in 30 minutes late or leave 30 minutes early on a
day you are not scheduled.
Testing Coordinators should set up the materials to conduct the meeting before the test with
all proctors to make sure all proctors are present and ready. Students and proctors should be
settled in rooms 5-10 minutes before the start time because students should begin working at
9:15 for the morning session and 1:15 for the afternoon session. After the test begins collect
attendance sheets and let the office know who is absent and present so we can make sure to
call students who are missing the test. After that, you should provide reading and proctoring
relief for all testing rooms.
READING ROOM
All reading proctors and testing coordinators will be working in reading rooms, where you will
be reading parts of the Regents to special needs students. There are always several people
reading on a given day, you should continue to relieve each other the whole time the
students are testing. We can also use additional rooms if students need to split up. Please
make sure your schedule is flexible when you are reading as sometimes testing time runs
over.
SCORING LEADERS
You are in charge of putting together all materials for scoring. You are also in charge of
starting scoring on time and keeping your group productive and moving. Once tests are
scored, the results must be turned into Laurie and the actual tests must be given to Scott.
Please get all materials together before the start time, so your group can start on time.
1st Draft – 1/10/11
Final exams do not need to be scored by two readers. Only double- score exams in question.
ALTERNATE PROCTOR
This person goes from classroom to classroom and relieves proctors. The alternate should
also accompany students to the bathroom and help clear the halls when students are finished
with their exams. The alternate is also a relief reader. The alternate should attend the
proctor meeting in case we need to cover for a missing proctor.
HALL MONITORS
The hall monitors take students to the bathroom and makes sure that the halls stay clear
when students leave their exams. The hall monitors also relieve proctors so that they can
take breaks or go to the bathroom. Hall monitors also make sure that students leave the
building as soon as they finish their exams.

The final exams do not have an untimed room. Students who are supposed to get
untimed can get additional time at the end. We should pull all students who need
untimed accommodations together.
All testing coordinators and alternate proctors become readers in reading rooms.
All readers in each session should make sure all reading rooms are done before
they consider their responsibility over.
Please be around for sessions when you are not scheduled to do anything. People
who are signed up for four sessions for the week may be called on if we need extra
coverage. Let Laurie or Jessica S know if you have any conflicts with any of the
days. Thanks.
