Job Description

HR Administrator

Responsible to: HR Manager

Job Purpose:

 To provide an effective Human Resources administration service in an efficient, professional and


effective manner
 To work within the HR team, supporting with areas of responsibility for administration in
recruitment, employee relations and change management as directed by HR Manager.
 To provide flexibility to enable the HR department to cope with peak workloads throughout the
year

Hours of Work:

22.5 hours per week (ideally over 5 days, Monday to Friday) term-time only, plus 5 additional weeks
as follows:

 1 week in Easter holidays


 2 weeks following end of Summer term
 1 week prior to start of Autumn term
 1 week of October half term

Areas of Responsibility:

• Provide day to day advice to Line Managers and Employees on general HR related queries, requests
and Policies and Procedures, escalating more complex issues to the HR Manager or Director of
HR.
• To provide a range of administrative support functions to the HR team, for example prepare
offer letters, contracts of employment and variance letters, accommodation letters, etc
• To support our daily HR activities and assist in coordinating recruitment, processes and relevant
documents.
• Maintain accurate filing systems for all records generated in the HR department.
• Drafting and placing support job adverts for recruitment, sourcing job descriptions and co-
ordinating with shortlisting and interviews.
• Following shortlisting, invite successful candidates to interview and notify those not shortlisted.
• Request and follow through referencing for all teaching staff.
• To work closely with the other HR Administrator regarding new starter processes, DBS checks
for employees and volunteers, etc.
• Alongside others in the team, ensure the HR Database (Itrent) accurately reflects current staff
conditions and details. This includes contractual amendments, change of details, annual leave and
recording of sicknesses and other leave.
• Provide appropriate reports from the HR database for the purpose of auditing and monitoring
employee data and training.
• To undertake delegated tasks and projects as required.
• Any other reasonable duties as directed by the HR Manager or Director of HR.

Qualifications and Experience

 Educated to A Level Standard or equivalent


 Previous HR Administration Experience advantageous
 Advanced skills in Office, Word, Excel, Outlook diary and email management
 A working knowledge of computerised HR systems (Itrent experience desirable)
 Excellent organisational and administrative skills, with the ability to prioritise and juggle a busy
workload
 Proactive at all times and able to work on own initiative without supervision.
 Professional and confident with excellent interpersonal and communication skills. You will
have the ability form effective relationships with people at all levels and to communicate well
over the telephone, face to face and in writing
 Pro-active and able to assimilate new information quickly
 Highly diplomatic and discrete with the ability to handle highly sensitive matters
