CHAPTER 4

RESULTS AND DISCUSSION

In this chapter the results of the study are presented and discussed with

reference to the aim of the study, which was to develop a web-based system

and android application for Internship Program. The other specific objectives

were to manage the evaluation process for the intern, provide online interaction

between student intern, the supervisor and the coordinator, to monitor a

student’s performance, to view announcements and messages and to generate

reports. The existing business process of the systems was also discussed and the

analysis relative to the proposed system to be developed was then detailed.

Business Process of Existing System

The University is currently using the traditional manual system which is

using a logbook to record those student interns who submit their

accomplishment report and other requirements that may sometimes lead to data

loss and fabricate the log of activities and to just log time-in/out but not actually

report to their supervisor, the OJT coordinator also perform monitoring

personally and searching of one’s document manually to re-copy the files which

is a hassle and time consuming. Some of the problems that they encounter are

they cannot regularly monitor the status of intern if they work properly and

productive, producing an interns’ without assurance that the immediate

supervisor will train properly according to their skills/major. This situation

encourages the researchers to develop a system that will help them to make
their Internship more effective and convenient. The development of the system

will help the OJT coordinator and university to produce globally competitive

intern/graduates. Files will be totally secured and more reliable than of those

paper-based documents because these will be stored in the systems database.

Moreover, accessing and retrieving of data will be real-time and will not consume

a lot of time and effort. The OJT coordinator and immediate supervisor can

manage data of intern especially performance evaluation and daily time record.

The system will address the problems of data loss and fabricate the log of

activities and to just log time-in/out but not actually report to their supervisor,

monitoring personally.

Analysis of the Proposed System

The researchers proposed the system entitled Online Internship

Management System that has features of online application and android

application for student interns to time–in/out, monitor their performance,

providing PDF file to the student intern, monitoring the interns, post an

announcement to student intern for their task, generating of reports and

displaying performance of the interns and daily time record in a graphical

representation.

The proposed system operates in computerized and android operations.

OJT coordinator will register the student intern per class online it will record their

data in the database and can download or print the list of student. The system

can also add, update and delete the data of the intern. Every update of intern
about their accomplishment and daily time record is recorded so the assigned

supervisor can regularly monitor those interns who submit their accomplishment

report. If interns update their daily time record the system is automatically

deducted to the total remaining hours so the daily time record of intern will be

easily monitor.

Figure 4 below shows the physical data flow diagram of the proposed

system. This includes the hardware, software, files and people in the system.

The Intern will enter his/her attendance at a daily basis for recording. Then the

Supervisor will give a corresponding grade to the intern base from the intern’s

accomplishment and lastly the Coordinator will monitor and manage the whole

system it will be the one who will be tasked to adding accounts and assigning

each Intern to its Supervisor.

Results and Discussion

The following are the results of the system development and the

screenshots of the specific objectives.


Homepage

This is the homepage of the system this is where the users Coordinator,

Supervisor, and Intern will try to login using their respective username and

password. Homepage also displays an attendance tab where an Intern can input

his/her daily attendance.


Coordinator’s Dashboard

The Coordinators Dashboard where it displays the attendance graph, List

of Interns, and the List of Supervisor. This is where the Coordinator will monitor

everything that happens during the course of time taking the program with first

the daily attendance of the Intern, second is the performance of an Intern during

the program and lastly taking record of the grade and feedback for each Intern.
Attendance Form

The Attendance Form is where an Intern input his/her daily attendance.

This also captures a photo of the intern in the current time for security purpose.
Intern’s Adding Form

This form is used when the Coordinator tries to add an intern to their

program. As shown this form must be filled with the Firstname, Lastname,

Username, Password, Contact Info, Company, Schedule, Class, and lastly a photo

of the Intern to be able to save it to the record.

Supervisor’s Dashboard

Supervisor Dashboard Contains the list of Intern’s that is under his/her

authority. In here the Supervisor can see in a certain Intern comes late or on

time. He/she can approve or delete an attendance if necessary.
