Introduction

Japher Motors is the Automobile service company, and they mainly provide the service for the repair
and sales of repair parts. However, the current system, followed by the company, is very inadequate
and time-consuming as well as cannot meet the needs and expectations of the company.

The clients of the company are increasing day by day, and the existing process faces many difficulties
in managing all things because all things are register and paper-based. So, by viewing this scenario,
the project is proposed for Japher Motors.

The project will be about to develop the Information and Book System to manage the company
booking, payment, and spare parts sales. The system currently used in the company is the
registration system.

Purpose

First of all, we need to identify the main functionalities and entities of the project. By viewing this
situation, Japher Motors new system has different Users, Customers, Employees, and Owners. All of
the users are provided their separate login account to the system.

to the system using the username and the password. The database is maintained and developed to
maintain properties and customer details.

Functional Requirements

 The new software based-IT system can store the details of the customer along with the
history of actions.

 Accept booking and print out the ticket for confirmation.

 Generate the payment cost-based on the services needed.

 Store the inventory details of the car spare parts.

Non-Functional Requirements

 The system can be accessed using Microsoft Access.

 The system is available anytime.

 The system should be easy to use for every person.

Work Breakdown Structure(WBS)

The WBS makes all the deliverables more accurate. It is helping the whole team to know what they
have to achieve for each task.

The primary purpose of using WBS is to reduce task complexities and divide them into further tasks,
and the project manager can perform a better estimation for schedule and budget.
Deliverables

 A new IT system for tracking payments and bookings by customers

 A booking and payment system with the current technological features and high scalability.

 Software license for the new IT systems for the company.

 Hardware components such as computers and other devices which are compatible with the
new software.

 Fast internet connection for the storage of information in the network database of the new
IT system.

Gantt Chart

 The Gantt chart is an essential tool in business management and strategic planning. It is a
visual representation of the WBS.

 MS Project tool will be used, and this will be helping the development team of the Japher
Motors project to follow the deadlines and complete the task.

 The task completed within the estimated time provided, and every person is assigned with
their specific duties and responsibilities for its outcome within the cost and resources
assigned.

Critical Path Method (CPM)

The Critical Path Method has been used to show the flow of activities and tasks, like where the
activities started and where they will end. It starts from the left and ends at the right side, which
shows the project's elements along with their durations.

Network diagrams are always added in the projects, as it shows the order of activities. Also, it
helps to keep the project on track from the start until the end.

Project Budget

The project manager is responsible for the overall budget of the project, and the estimated cost
of the project is £30 000.

This cost includes all costs associated with the project (for example, Development Cost, Training
Cost, Promotion cost and team fee, etc.).
The budget assumptions are:

 The main source of investment in the project is Japher Motors itself.

 Project cost is estimated using GBP currency.

 The delay in the project can cause a 10%-15% increase in the budget and could vary
according to the project phase.

 Changes during the development can cause a 20% extra budget.

 The cost plan should be stated based on the task by the project manager or sponsor.

Quality Management Plan

The quality management plan comprises of the two significant forms of evaluation and the case
study for the system simulation.

The two significant forms of evaluation would be used to assess the quality of the delivered
software and to test its security. These two forms of evaluation are known as formative and
summative evaluation.

Formative evaluation is taken before or during the implementation of the project, while
summative evaluation is conducted at the end of a project.

Communication Plan

It has a critical role in the success of the project. A communication plan enables the project
manager to communicate effectively with the project team.

understanding between the team members, which may lead to an increase in productivity.

Risk Assessment Plan

Risks are life's part, and they cannot be avoided. Two types are known: predictable risk, and

Risks are unpleasant occurrences that can cause delays for the project. The risk management
plan is dependent on the use of risk registers in managing the risks involved in the project.

Conclusion

The project plan is prepared to understand different aspects; also, it shows the planning and
execution of the project.
However, documentation in every project is critical in helping the management to get the idea
clear for the project goals and outcomes.

The project plan can also facilitate and help the project manager to perform feasibility analysis
at each stage of the project to get an idea how much importance the project has in the current
market along with the scope of the project.

Also, when the proper documentation is created, then the project would be understood by
everyone very quickly.
