MEDICAL STORE BILLING AND INVENTORY SYSTEM

FOR GB-ES PHARMACY

Background of the Study

A pharmacy stock inventory system is a computerized system designed for user to

manage the stock of the drugs inventory and monitoring the stock facility. It deals with

the automation of general workflow and administration management process of a

pharmacy. The amount of time that can be saved by a business is perhaps the biggest

benefit of using a computerized inventory system. In cases where a shop maintains all

data manually.

GB-ES Pharmacy is a boutique drug store located at Putol St. San Isidro, Cabuyao

Laguna. Ms. Gina Briones, the owner and the pharmacist started the business since

(December, 2009). It only has enough daily profit to survive the business. They have a

weekly supplier and update the stock immediately after it deliver. The business does their

physical counting of stocks manually; they’re just depending on their manual listing of

products and inputs of data which is possible to commit errors. Computing the daily sales

of the shop by the owner by hand would be time-consuming and can risk of

miscalculating the total income. Also the owner and the helper of the shop need to

compute their income on a daily basis and to list the products that have sold on that

particular day so that in the end of the week they can inventory their stocks. The business

can’t view their proper records of sales or income in a given time of the year. It also

doesn’t have its proper listings of product. Their ways of managing the sales and

inventory is that they manually save records, accounts and their transaction which results

to un-liquidated expenses. Some expenses were not being recorded especially when the

attendant or the owner has to get an emergency need for the business. Moreover, the

expenses don’t have any unsupported transparency records. After conducting a quick
interview to Ms. Gina Briones and after hearing her concerns and needs, the proponent

has decided to help by developing a computer based system that will ease the problem

stated above.

There is still minimum circumstance of pharmacy shops that using stock

inventory system. The pharmacist must keep accurate count of their drugs stock

inventory. Therefore the researchers will construct a computerized medical billing and

inventory system for GB-ES Pharmacy to help the business to have an easy work for their

drugs stock inventory.

Statement of the Problem

The proponent’s beneficiary which is the GB-ES Pharmacy is currently using manual

process in rendering their transactions and organizing their inventory. This study aims to

develop a point of sale (POS) Inventory system which addresses the following problem

of EB-ES Pharmacy:

 Unhandled report of sales inventory and unmanaged daily profit resulting to

daily loss of income

As stated by the owner of the business every product that is purchased by the

customers are not listed and they don’t have any record book of daily sales. The

absence of list of purchased products everyday leads them to overlook the average

number of products that are sold each day.


 Difficulty of the pharmacy assistant about the medicine information that

leads to the loss of customer

As for the information that we gathered, there is a pharmacy assistant that

substitutes the owner to operate the business but the assistant is not a pharmacist

that’s why it is a struggle as she doesn’t know sometimes what medicine should

be suggest.

Objectives

The proponents gave their best to satisfy the current needs of the business by

making a computerized sales and inventory system that will help them in their business.

Develop and implement computerized sales and inventory system for GB-ES Pharmacy

that will enhance the business for easier, faster, efficient and reliable operations.

 To design, develop and implement a generated module that will handle the

sales and inventory report and manage the daily profit of the business (POS)

The pharmacist and assistant will easily manage and update the stocks and the

number of purchased products and the daily profit will now be recorded without

using manual or handwritten recording.


 To develop a module system that would able to easily search and suggest

medicine for the customers need.

The pharmacy assistant will no longer be struggle in suggesting a medicine that

has a same effectiveness and dosage, also for the customers, they don’t need to go

back to the doctor or pharmacist to ask what alternative medicine or brand name

that they will going buy.
