Overview
Chemical Management functions are available for article/material combination through
two main CONNECT screens.

• Bill of Substance (BOS) functions can be accessed through the Material


Connection screen.
• Bill of Material (BOM) functions can be accessed through the Search
Article/Chemical screen.

In this user guide we will use abbreviations for Bill of Substance – BOS and for Bill of
Material – BOM.

Bill of Substance (BOS)


Before starting to enter the BOS data please consider the following two prerequisites:

1. Only articles and materials related to candles, chemical preparations and toys,
are enabled to be connected to a Bill of Substance document.
2. Only Material Combinations* related to the Material General Types below are
enabled to be connected.

Below is the material general types that is relevant for Bill of Substance. When you
click on a material general type you will come to the specific page in this user guide for
that material General Type.

The following pages will show for each of the Material General Type which information
Chemical Management system requires.

Substances that need to be listed comes from two main groups:

Full Ingredient List – the list of the substances that supplier expects to find in
the final material.

Example:
- Substances found in the final composition of a candle
article or a cleaning product.

Full Reagent List - the list of substances that is used before the process
starts, in order to obtain the final material.

Example:
- In-can substances found in a varnish container before
the application of the coating.

Bill of Substance (BOS) icons

When Chemical Management is enabled for the related Material Combinations a red
bottle icon is shown.

There are 3 different BOS icons. Below you can find the description of these icons.

- BOS is not required, e.g. material combination does not require a


BOS, article is not related to chemical management or material
combination is not connected to a chemical management related
article number.

- BOS has been released.

- BOS is required but has not been released yet.

Structural changes
Since September 1st 2015, there has been changes of the definitions for Material sub
types in CONNECT Material General Types for candles. This means that a new structure
should be used when creating BOS.

Create a new Bill of Substance (BOS)


1. Click on the heading Manage Connections and search for the combination
that you want to create a BOS for.
2. Click on the red bottle icon, a new window is opened.
3. Click on the New button.
4. A new BOS is created and appears in the list with number A1.0 in the name and
will be in status created.
5. In the Active From date calendar, select the date when the BOS should be
active from.
6. If the material contains recycled material, select the checkbox for
Cont.Recycled Mtr.
7. Click on the Save button to save the new BOS.

Add substance

The image for the steps below is shown on the next page.

1. Select the BOS you want to add substance for by click on the row.
2. Click on the Add Substance button. A form is opened for you to fill in
information related to the substance.
3. Below is a description for the different fields to add information for.

Undisclosed – select the checkbox for this if your sub-supplier does not want to
share required information for that specific substance. This action will require
additional information to be filled in as the Tradename.

CAS No – this field is mandatory, enter the CAS number related to the substance
according to the international format, e.g. 50-00-0.

Reuse CAS Info – Click this to automatically fill in all the substances field by just
selecting among an already enterer CAS no.

EC No – this field is mandatory, enter the EC number related to the substance


according to the international format, e.g. 2231-314-23. Check
http://echa.europa.eu/ in case of doubts. In the rare cases EC number does not
exist please insert 000-000-0.

Substance type – If the material general type requires the full ingredient list, the
non-regent option shall be used for all of the BOS substances. Check the previous
pages 5-12.

Functions – select one or more functions of the related substances from the list.

Substance name – this field is mandatory and is automatically filled in when you
enter a CAS number. This is always in an internationally approved format and in
English.

Trade name – enter the substance trade name, this is mandatory if undisclosed
checkbox is selected.

EU REACH Reg No – If there is a registration number enter it according to EU


REACH regulation. Always include the last four digits.

Conc Min(%) and Conc Max(%) – enter the minimum and maximum
concentration of the substance (% of the total preparation). In case the range is an
unique value enter the same concentration in both of the fields.

Producer – enter the last sub-supplier name in the supply chain affecting the
chemistry of the material.

Originates from – select the radio button that the producers country belongs to.

Hazards sections – list all the hazards you have identified that is related to the
substance not listed in all of the harmonized regulations. You should also enter a
reference for each of them.

Comments – here you can enter any comments and/or explanations in English.

4. Click on the Save button to save your update.

Release a Bill of Substance (BOS)

When all substances has been added, you should release the BOS. When all BOS are
released for the Material combination the bottle icon becomes green.

1. Select the BOS you want to release by click on the row.


2. Click on the Release button.
3. A confirmation window is opened, click on the OK button.
4. Now the status has been changed to Released.

Copy Bill of Substance (BOS)

In case a new BOS is similar with an existing one is needed you may use copy and
paste function.

1. Select the row of an existing BOS.


2. Click on the Copy button.
3. Click on the New button, a new BOS is created.
4. In the Active From calendar, select the date the BOS should be activated.
5. Click on the Save button to save the new BOS.
6. Click on the Paste button to paste the copied substance. Now you have added
substance to the new BOS.

Renew Bill of Substance (BOS)

When you need to create a new version of a BOS you use the function Renew. This will
create a new version of the BOS, e.g. a BOS with version A1.0 will change to B2.0. The
Renew function is used for keeping track of the BOS overtime.

1. Select the row of the BOS you want to create a new version for.
2. Click on the Renew button.
3. Now a new version is created in status Created and you are able to do the
needed changes.

Edit/Correct a Bill of Substance (BOS)

When you need to edit or correct a BOS you use the function Edit/Correct. This will
create a new correction version of the BOS, e.g. a BOS with version A1.0 will change
to A1.1. The Edit/Correct function is used to correct mistakes.

1. Select the row of the BOS you want to update.


2. Click on the Edit/Correct button.
3. Now a new version is created in status Created and you are able to do the
updates.

History of a Bill of Substance (BOS)

The history of the versions and statuses of a BOS is stored in CONNECT and you can
preview it by click the History button.

Bill of Material (BOM)


In order to fulfil Chemical Management requirements, the supplier needs to define the
structure of the article through Bill of Material.

Before proceeding check that all Material Combinations, related to the article, have
been created and correctly connected to the Article Number.

Description of the search page

1. You can access the Bill of Material page by searching the article number under
Search/Search Article menu
2. Then you click the Chemical tab.
3. When selecting the Only articles missing BOS checkbox the search result will
be only BOM that is missing BOS.
4. If missing BOS the article will have a red BOS icon showing in the BOS
column. This will also be explained on page 24.
5. Articles that needs Product Specific Chemical info will show a red icon for BOM-
part relations.

Missing Bill of Substance

If the BOS icon is red it means that the article is missing a BOS. You can reach the
Maintain materials page from the search result. Follow the steps below.

1. In the search result, click on the red bottle icon.


2. The Missing BOS window is opened. Here you can see the connected materials
combinations that needs a BOS. Click on the Maintain materials button. The
Manage Connections window is opening showing only the material combinations
that is connected to that specific article. From here you can now add the BOS,
how you create a new BOS you can read about from page 15.

When ready you just close the window and then you back on the search result again.

Headings of the BOM-part relations table

When clicking on the BOM-part relations button, CONNECT will show the list of all
Material Combinations related to the articles that needs additional information to be
specified.

The search result table is divided in five columns:

Connected materials - list of the related Material Combination name, ID


number, producer, distributor and the BOS version
number.

Usage / Parts of - the information in this drop-down menu is inherited from


the Technical Description. In this section you need to
specify the usage of the material (e.g. ink, master batch,
coating,…), or if the material is part of a specific article
component (e.g. candle core, packaging,…). If the
material has more than one article component, add all of
them by clicking the + button next to the second column.
If you cannot find the right usage/part of the material,
then you can add it by writing the new value inside combo
box.

Accessible - select if the material/part is accessible based on EN-71-1


standard.

Weight - net weight of the material/part (2 decimal precision).

Group of parallel
materials - often the same homogenous materials is represented by
2 or more alternative Material Combinations (e.g. same
material provided by different sub-suppliers). If this is the
case, select the group from the menu which you want
alternative material to belong to. Use the same group for
all the alternative Material Combinations. Material
Combinations belonging to the same group must share the
same functions and net weights.

Explanation of the net weight fields:

Scaled Article Net


weight (g) - here you (supplier) enters the total physical BOM net
weight of the product.
Total BOM article
Net weight (g) - this value is calculated as the sum of all the single
weight of all the listed Material Combinations. In case of
Material Combinations belonging to a Group of parallel
materials, just consider the weight once.

On the next page you will see an example.

Create a Bill of Material (BOM)

Search for the article that you want to create a BOM to.
1. In the search result list click on the BOM-part relations button for the article
you want to create a BOM. A new window is opened. You can read a description
of the different fields on previous page.
2. In the Scaled Article Net Weight text field, enter the value for the weight of
the article. Maximum difference from the total weight is 0.05 g.
3. The Total BOM Article Net Weight is inherited from the values you enter in
the Weight column.
4. In the Usage/Parts of drop-down menu, select the usage/part you want to
use. If you can’t find the usage/part you want to use, you can add a new one
by writing it in the combo box.
If the material has more than one article component, click on the + icon.
5. In the Accessible drop-down menu, select Yes if the material/part is
accessible based on EN-71-1 standard.
6. In the Weight text field, enter the weight of the material/part.
7. If you have alternative material, select which group it should belong to in the
Grp. of parallel Materials. You can read more about this on previous page.
8. Click on the Save button to save the information.

Release a Bill of Material (BOM)

When you are ready with the BOM you should release it.

1. Click on the Release button. Now the BOM is released.


2. When you go back to the search page you can see that the BOM-part
relations icon is green.

Export Bill of Material (BOM)

When both BOS and BOM is ready you are able to export the BOM. This is done in two
purposes:
- For your own sake to check that everything is OK.
- To export it to SCIVERA, this is when the .csv file is used.

How to export a BOM, follow the steps below.

1. Select the checkbox for the articles you want to export.


2. Click on the Export button. Now a zip file is created with two type of files, .csv
and .xls.
3. Click on the Open button.
4. Now you can see both the .xls file and .csv file for all selected articles. The .xls

Update a Bill of Material (BOM) after released

After a BOM has been released and you need to update information you use the
function Not Released.

1. Search for the article you want to update the BOM for. Click on the BOM-part
relations button to open the BOM-part relation window.
2. Click on the Not Released button. Now all fields are enabled for you to update
the information. When ready with the updates you release and export the BOM
again.
