Purpose and goal with this training

Create a TSS
What is a TSS
A Test Status Summary is an Excel file that is generated by Connect. It shows

connected combinations and documents for a specific supplier and one or several
articles, assuming that they are active within the selected time range.
Search
1. In the Main Menu, click on the Reports button.

2. Click on TSS. The Test Status Summary form is opened.
Below is an explanation of the search criteria’s.

Continue with the steps on the next page.
Search scope - Active Articles is set as default, which means all articles that
has an active purchase agreement and are linked to you as
supplier. If you in the drop-down menu change to All Articles
you will still only see articles that are linked to you as a supplier,
but the list will include also articles with expired purchase
agreement.
Article Number - You can search on article number or leave it as default. The
percentage sign replaces any unknown character.
Article Name - Unless you leave this text field blank, you must use the
percentage sign for any unknown characters, otherwise you will
not find any articles.
Supplier Number - If you are logged in as a supplier this field is already prefilled
with your supplier number. You can only create Test Status
Summary for articles linked to you.
Active From and

To dates - By default todays date is set, but you can change to any date.
Those dates will filter which documents and combinations to
include in you report.

1. If not using any specific search criteria than the default settings, click on the
Search button.
2. The search result shows all active articles that has an active purchase
agreement and are linked to you as a supplier.
In front of each article there is a +, this will expand the article and show all
connected documents. This include both directly connected documents and
documents connected via a combination.
Each row in the search result has three buttons; View Report button, Print
button and Folder button.
3. The Print button will download one big pdf-file with all documents connected to
the article and send that file to the printer.
4. The Folder button will download a zip-file containing all documents connected
to the article.
The View Report button will be explain on next coming pages.

Download a TSS for a single article
View Report will create a TSS for that specific article in Excel format and download it to
your computer.
1. Click on the View Report button for the article you want to create a report for.
2. Click on the Open button to open the report.
3. The report is opened in Excel and presents all the documents (with all its
information) connected to the specific item.

Download a TSS for several articles
It is quite common to create a TSS for several articles at the same time. You can
create a TSS that shows up to 25 articles. In the example below the search is for an
article named SJÅK.
1. Select the checkbox for the articles you want to include in the report. If you
want to have all items in the search result in the report, you can select the
checkbox for the button View report for selected articles and all articles in
the search result will be selected in one click.
2. Click on the button View report for selected articles.
3. Click on the Open button to open the report.
4. The report is opened in Excel and presents all the documents (with all its
information) and to the right in the report there is an X for each item/document
connection.

Read a TSS
Header
The first 7 rows in a TSS is the header. It shows you the Supplier number, the
Supplier name and the search period (the Active from Date and the Active to
Date).
If the TSS is for one specific article you will also see the Article name and Article
number here.
If the TSS is for multiple articles, you will find those articles in the turquoise section to
the very right in the report. There is an X to show you if the row is relevant for that
article.
Rows
Each row in the table is a unique combination of document, combination and article. It
means that the same combination can be found in several rows. It also means that the
same document may be found more than once.

Colour codes
To make the table easier to read it is divided into three or four sections.
The yellow section has only one column, it shows you the combination type.
The red section shows you the data for the combination.
The blue section shows the document data and relevant IKEA requirement.
And if the TSS is for several articles there are also a turquoise section with one
article per column and an X to show you if the row is relevant for the article.
Yellow section
The yellow section has only one column. It shows you the combination type, it can
have four different values.
Mat for Material Combination.
Comp for Component Combination.
Proc for In-house or External Process Combination.
Art to show that this document is not connected to a

combination, but directly to the article.

Red section
The columns in the red section shows different data depending on the type of
combination in the yellow column.
Material combinations
For Material Combinations the columns shows you:

- General Material Type, such as glue or wood-based material.
- Material subtype, such as HDF or plywood.
- Material Designation, which is the name of the material, according to the
supplier.
The designation group is not shown in the TSS, but quite often it’s the same as
Material sub-type.
- Material distributor.
- Material Producer.
Component combinations
For Component combinations only three columns are filled in:

- General Component Type, such as fitting or cover.
- Component Identity which is the name of the component, according to the
supplier, it is often an article number.
The identity is not shown in the TSS.
- Component producer.

Process combinations
For process combinations only three or four columns are filled in:
- Process Type, such as gluing or lacquering.
- Process Name, which is usually the name of the process line. But if the process
line is dedicated to a certain article, it could also be the name of that article.
The name group is not shown in the TSS.
- For external process combinations the producer is the name of the company
who applies the process.
- The last red column is filled in for external process combinations, to specify the
material used in the process, e.g. the name of the paint or glue. So external
process combinations has names in this column, while the column is empty for
internal process combinations.
Direct connections
If the yellow column says Art, it means that the document is directly connected to the
article. All red columns will be empty since no combination is needed.

Blue section
The blue section is about the document and the IKEA specifications.
- Document Type is for example Self Declaration or Safety Data Sheet.

- Requirement source normally shows you the title of the IKEA specification.
But it can also be something else, like TED or CPSA/CPSIA.
- Sub-type is the chapter of the specification or a more specific reference to a
legislation.
- Level the content in this column could differ depending on the specific
requirement. It can either show the level of compliance, the conclusion of the
test or the type of a tested material. In most cases it is just “Other”.
- Active From Date is, in most cases, the date when the document was issued.
- Active To Date shows how long the document is valid if nothing changes in
production.
- Document number
- Document name

Filter a TSS
Default sorting order
There is one row in the table for each unique set of combination and document. The
default sorting order is by combination and then by General type. With this sorting
order it is quite obvious that the same combination appears more than once, because
there are several documents for that combination.
1. Same combination.
2. Different documents.
Sort by document name
When you sort on the document name column you will find documents that appear
more than once. That means that these documents are relevant for more than one
specification.
1. Open the Doc Name drop-down menu.

2. In the menu, select the sorting you want to do. In this example Sort A to Z.
Now you can easy see if a document appear more than once in the list. Those
documents can be relevant for more than one specification.

Filter by document name
When filtering you will see only the documents you are filtering on then it is easier to
see what combinations they are connected to.

2. Deselect the checkbox for Select All.
3. Select the checkbox for the document you want to filter on.
4. Click on the OK button. Now you see only the rows for the selected document
and what combinations it is connected to.
Clear a filter
When you want to do a new sorting or filtering you should first clear the earlier filter.

2. Click on the row for Clear Filter. Now the filter is cleared.

Combine filters with sorting
You can use several filters and sorting together. In the example below we will filter on
document type and sorting on document name.
1. Open the Document type drop-down menu and select the document type you
want to filter on.
2. Click on the OK button.
3. Open the Document Name drop-down menu and click on the row of sorting
you want to do.
Now the list is filtered on document type and sorted by document name. If you
want you can use more filters and sorting in the same time.

Dashboard
Overview
The dashboard will be on the first page when you open up the Connect tool. Here you
will have an overview on documents that is expired and about to expire. You will also
see the number of active material combinations that requires but does not have a valid
Lacey plant report.
When you mouse over a row you will get an explanation what it is.
You can also reach the dashboard from the menu bar.

Expired document
There are six rows of indicators for expired documents, see description below.
Expired documents - All expired documents that is in the reminder list.
Art with expired

documents - Number of articles with expired documents that is in the
reminder list.
Comb with expired

documents - Number of combinations with expired documents that is
in the reminder list.
Art with plant

status no - Number of active articles which require a Lacey
declaration, where the articles Lacey ready status is no.
Art without docs

connected - Number of active articles which has no active documents
connected.
Comb without valid

plant rep - Number of active material combinations that require a
valid plant report, where no valid plant report exists for
the material.
Doc soon to expire
There are six rows of indicators for documents soon to expire, see description below.
Docs to expire in 4 w - Number of documents that will expire within 4 weeks.
Doc to expire in 8 w - Number of documents that will expire within 8 weeks.

in 4 w - Number of articles which is connected to documents that
will expire within 4 weeks.

in 8 w - Number of articles which is connected to documents that

When you mouse over a row you will get an explanation what it is.
When you click on one of the rows, the documents will show up on the right. Easy for
you to access to do the needed updates.
In the example below there is 18 Expired documents, and when click on the row these
18 documents is presented to the right.

In the example below there is 233 Art with plant status no and when click on the row a
new page is opened with the search result of 233 articles.

Dashboard status
There are three different status icons in the dashboard.
Below is a description of the icons.
This means that everything is OK.
This means that it is about to expire within 4 or 8 weeks.
This means that it has expired.
Refresh
When you have done the needed updates you click on the Refresh button to refresh
the dashboard.
