Report

First Step

Firstly, as we downloaded the data file of this access database, we saw that there were two
different tables: first one – the Product Table, and second one – the Supplier Table! We opened
both tables and noticed that there are two matching fields, the ID Number field from the Product
Table with the ID Number from the Supplier Table and also the Supplier Number from the
Product Table with the Supplier Table from the Supplier Table. So, basically those fields
correspond to each other. And based on that, we saw it proper that we must create a relationship
between those two fields from different tables that correspond to each other. There is an option
on the Database Tools in Microsoft Access where we can choose to create a relationship which
helps us to combine data from two or more different tables. When you use related tables in a
query, the relationship lets Access determine which records from each table to combine in the
result set.

Second Step

Now as we know what our tasks and responsibilities are, we decided to divide the tasks, but
always with a coordination! From the assignment’s requirements we came in conclusion that
there is a need to create separate tables for each requirement, in order to get the final result and
the report represented with a table.

Third Step

So, let us start…


Here its requested from us to find the bicycles that are low in stock and based on that to prepare
the appropriate report! On the given Product Table, where we have all the information for this
assignment, we did focus on the Bicycle’s Name so this way we can know the brand and the
Quantity on Hand. To create this, on the Create Button in Microsoft Access we have the Query,
which helps us to perform calculations, to combine data from different tables, or even to add,
change, or delete table data. While creating the Query for our requirement, we guided it to
summarize all the quantities from each bicycle brand, so this way we can follow up with a result!
The table has been created, now we have the Bicycle Names and the Quantities left on stock as
well, but its something complicated and confusing. What we did here… we used the
Ascending/Descending option by selecting the quantity table, so it will list the bicycles which are
low in stock and which are still available in the stock! After that we just used a simple rule of
Conditional Formatting, highlighting those low in stock with a Yellow color.

Fourth Step

As on the previous step, here also we did the same…


To find the six most expensive bicycles, we focused again on the Bicycles Names and Selling
Price and after that we continued with the same process using the appropriate form to list them
with the higher prices in the beginning and then ending to those with the lowest price! Here also
we used conditional formatting and we decided to highlight those bicycles with a Red color.

Fifth Step

The fifth step and the last one is pretty like the previous steps, where we should find the five
lowest-cost bicycles in that stock. To get the conclusion for this, again we took the Bicycles
Names and the Purchase Cost, this way we found which Bicycles have the lowest price and are
less expensive than other bicycles and using a listing method and the conditional formatting
specific rule we highlighted those bicycles with a Green color!

Conclusion
The conclusion basically it’s shown on the Tables above, where we have reported which bicycles
are low in stock, those most expensive and those with the lowest cost!
This assignment helped us to learn how we can use and combine data from different tables, in
order to get a clearer result!
