Event Coordinator

Responsibilities:
 Liaise with user to identify the objectives of the event and determine the requirements that must
be met to accomplish those objectives (for example, facilities and services)
 Assist users in planning, organising and facilitating their events from preparing the event
business case, establish and monitor budget until the execution of the events
 Ensure preparation of event following internal procedure
 Develop timelines and cost estimates
 Prepare communications and event collateral materials for assigned events, including managing
venue and post events as necessary
 Coordinate production of invitations and other electronic or printed materials
 Manages event logistics and programme
 Request proposals from Vendors for estimates
 Coordinates logistics and manages vendor relationships for assigned events and deals with any
problems that arise
 Research, negotiates and books venues, speakers, A/V, entertainment, etc. to obtain the best deal
and price
 Serve as first point of contact for guest inquiries via phone or email and responds to all in a timely
manner
 Coordinate with event admin, manages tracking and reporting RSVPs for assigned events
 Coordinate with other stakeholders (internal/external) as part of event preparation
 Track and report costs and other various event statistics for each event
 Provide post event reporting, analysis and debriefs
 Propose new ideas to improve the event planning and implementation process
 Work with media team to coordinate press events and messaging is timed and released to
effectively promote events

Requirements:
 Minimum bachelor degree from University
 Working experience of minimum 3 years in Marketing and Communications area preferably in
events management, advertising or hospitality
 Demonstrated high energy level and flexibility, pleasant persona coupled with sound judgment;
flexible, discretion and able to maintain confidential information and apply knowledge of correct
protocol for specific situations.
 Proficient in both written and spoken English
 Identified experience/skills
 Event management
 Project Management - organisational and prioritising skills
 Problem solving skills
 Attention to detail is imperative
 Excellent inter personal and negotiation skill
 Strong initiative and customer service orientation; as well as creative thinking skills.
 Able to work independently on several projects concurrently
 Self-motivated and have a proactive approach to work
