1. Introduction:
The Tosoh Catalogue is an access application program with search functions and report functions
giving a total overview of all Spare Parts, Consumables, Accessories, Reagents, Maintenance
Parts, Minimum Country Stock, Upgrade Parts, Tools and Technical Bulletins,… available with
pictures to help all departments to look up parts and to print out user defined reports in pdf.
Each search function will give a list with parts and also will give alternative parts that can be
ordered if the original is not available.
In addition to the spare part database a document database has been introduced. Both
databases are linked so that specific information or Technical Bulletins are available when looking
up a Spare Part.
2. Installation:
You need Microsoft Office Pro Access 2010,2012 or 2013 installed in 32 bit configuration to be
able to run the mde application.
Copy the complete folder ‘TOSOHCATALOG’ to your PC. Open the application by double click on
SP_Catalog_x.x.mde and create a shortcut on your desktop.
When opening the program in Access the application might not start as you need to enable the
macros:
Office Button/Access Options/Trust Center/TrustCenterSettings/Macro Settings/ enable macros.
3. Look up Part:
Select Look up part, fill in the part number or scroll down in the list to see the spare part:
Select Print Preview and select Print or PDF to save the file:
Different classifications are introduced to facilitate the search for a part or print out user defined
reports. The classifications will also allow the user or SE to look for a specific part or to look for
alternative parts if NA. The difficult part is to describe or classify each part in the most conform or
uniform way.
Mistakes in classification will make it very difficult to find a part, future classifications can change.
Below the explanation of the different classifications:
4.1.Functional Groups:
Every part depending on its use, technical characteristics and properties can be divided into a
unique FunctionalGroup. 11 Groups are defined and within each group users can select different
functions to filter out the parts:

o ASSY Elec/Mech : All Assemblies consisting out of known Mech and
Elec Parts.
Computer Material: PC related material
o Barcode reader PC : Handheld readers connected to computers
o Drives Floppy/harddisk: Also CD, DVD drives
o Keyboard PC
Remark: Every part can only belong to one FunctionalGroup. For most parts the classification is
straightforward. For some parts with several functions, it can be difficult to select the
FunctionalGroup; the part is classified within the most important Function in relation to the Tosoh
products or instruments.
If the first search by FunctionalGroup isn’t successful, try to look in Misc or other Functions.
Alternatively we introduced other methods and classifications to make the search successful! See
below.
4.2.Categories:
Every part can belong to one or more categories. These categories will make it very interesting
to search or printout reports by maintenance parts, accessories, upgrades, Every search result or
report will show the different categories to which a part belongs. The following categories are
defined:
1: Accessories: In theory all parts in the accessory box that belongs to the
instrument including all specific parts that can be ordered separately for special
needs: Racks, Sample Loader adapters, computer, printer, and keyboard. In
theory accessories parts are not spare parts, there are a few exceptions like
filters, nozzles, barcode readers, Accessory parts can also belong to the
consumables and maintenance categories: filters, tips,
2: Consumebles: These parts are mostly ordered by the customer on a regular
base to let the instrument work, like disposable tips, paper, needles, filters, cups,
Racks and adapters are not consumables.
3: Instruments: All our instruments included Sample Loaders. Piano software is
introduced as instrument; computer, printer and cable for piano are accessories
for piano instrument. Instrument ‘ALL’ is introduced, and is only used for
FunctionalGroup: working tools, these tools are used in all our instruments.
4: Maintenance Parts: Used for maintenance, the list can include alternative
parts too and can be longer then the original maintenance list.Always checks the
mandatory maintenance procedure.
5: Minimum car stock: Parts that each person should have to service a Tosoh
instrument.
6: Reagents: All reagent products, columns, buffers, Aia packs, .Also STC and
STD cups are considered as reagents!
7: Refurbishment Parts: All spare parts specific used to refurbish an instrument:
all maintenance parts including tubing, upgrades, bearings,
8: Spare Parts: In theory all parts that are used to repair an instrument. Printer,
Computers, instruments, racks, cups and software are not spare parts. Please
look for them under the accessory parts. Sample probes tips or nozzles and
needles are spare parts too. All barcode readers are defined as spare parts.
9: Tools: Working and adjusting tools.
10: Tools Critical: Official parts that SE need to have mandatory
10: Upgrades: Parts or kits used to upgrade an instrument can also be a spare
part. All software is defined as upgrades.
4.3.InstrumentLocation:
Most logic classification. Every part can belong to one or more instruments. Every search result
or report result will show were this part is located (list of instruments). The following list is
available:

ALL: Only used to classify the TOOLS that are used in all instruments to avoid
that the complete instrument list would be printed out each time you search for a
part: like screwdrivers, cleaning material, lubricants,

16: PIANO: Piano software is introduced as an instrument, if you order this
‘instrument’ you will get the software, manual and KEY, all other parts like printer,
cable, computers are defined as piano accessories or spare parts.

Select Search for parts and user defined reports and the following screen will open:
In the left top corner the user can select the Group, Function,
Category and Instrument. By selecting search, the application will show you the parts you
selected.
If the Category and/or the Instrument type is not selected (field empty) the search will
give you all parts complying with the functional group you selected, per Instrument and/or
per Category.
Example: A list of all stepper motors per instruments:
Group: Electrical Part
Function: Motor Step
Category: Spare Part
Instrument: No selection (field empty)
If the Group and Function are not filled in and you select category and instrument, you
will get all parts per instrument and per category whatever function they have.
Example: A list of all maintenance parts from G8
Group: No selection (field left empty)
Function: No selection (field left empty)
Category: Maintenance part
Instrument: G8
Select the Group and the Function and get a part list in numeric sequence.
Example: A list of all tubing regardless the instrument:
Group: Mechanical Part
Function: Tubing
Can be very useful to have an overview of all specific parts and look for alternatives or
similar parts introduced several times.
This function is used to look up parts like tubing, all outer, inner diameters and lengths of
available tubing is listed in a pull down menu.
This field has been created to improve the current Tosoh Description. As we noticed
many parts belonging to a FunctionalGroup has been given by Japan different
descriptions making it difficult for the SE to look up parts. The New description has been
built up in a more logic and uniform way. Per definition all new descriptions start with the
word defined in the functional group, examples are: Motors, Pumps, PCB, Tubing,
Fittings…

Fill in the part of the description and the instrumentlocation. A list with pictures will be
available.
Example: A list of all the fittings in G8
Description Contains: Fitting
Please select Instrument: G8
Example: A list of all PSA reagents
Description Contains: PSA
Please select Instrument: AIA1800
Make the selection as explained above and click on the search button. A list with pictures will
be shown.
Select the instrument. Select type (HQ document, Japan Technical document) and select the
classification: Information only, Urgent and mandatory, Voluntary, at the next maintenance. A
document can only belong to one single classification.
The document can also be searched by filling in a part of the description.
Leave the field open if you want to select all options. Some documents (HQ introduced) are
applicable for ALL HPLC or ALL AIA (not available yet). In the instrument list ALL HPLC and ALL
AIA have been added.
Remarks:
o This classification is often used when part of description is known like
software version or specific word.
o Often used to print out a complete list: Only select Instrument
o The classification from Japan is mostly used to get lists of Technical
Bulletins from mandatory or urgent upgrades
o The HQ documents are not introduced yet, so only Japan Technical
documents are available
Select the instrument. Select type and select the category. A list of different categories is shown

Remark: The relation between serial number, sequence number and production date:
Select the instrument, the type and select the part in question. Only the parts are shown from the
instrument you selected and that have a related document. After the selection click on the search
button to view all TB’s related to that part. Leave the fields open if you want to select all options.
5.4. View the Reports and open the Technical Bulletins pdf’s:
The report shows part of a list of all Technical Bulletins of the AIA-360 instrument with selection
‘Introduced Spare Parts’. Every Technical Document is shown with additional information: all
categories the document belongs too, the spare parts involved, the release date, the sequence or
production number indicating when this information was released, the classification made by
Japan and some comment.
The link to the document in question can not be opened in this view as this is not an HTML
format. To view the document click on close print preview. The list of your selection is now shown
in an excel format. Click on the hyperlink of the document you want to open:
This is the most interesting way to look up parts and also to troubleshoot the instrument. If you are
searching for an Electronically and Electrical part then it’s recommended to open the interconnection
diagram. If you are searching for a mechanical, assembly or tubing then you are recommended to
open the Flow Diagram.
Select the instrument; select between Flow Diagram or Interconnection diagram, then move the
curser on the part you want to see. The curser will change its format when moving it over an
introduced part.
7. Reports:
