1) Being a Registered Agent

a) Why you should register?


Air Asia has been very active in managing its fares and seats. From time to time, AirAsia will
have promotions and will be advertising them via newspaper and internet. By being a registered
agent, you’ll be among the first to receive news from AirAsia. News like announcements and
promotions will be sent to you via e-mail and SMS. As a registered agent you will be listed in our
mailing list, Air Asia will update on promotions from time to time with you

b) How to register? Simple


i. Log-on to Air Asia website at www.airasia.com.
ii. Click “Other Services” link, then select “Travel Agent” and “register now”
iii. Read through Air Asia’s Terms & Conditions for Travel Agents and the commissionable
fare classes before checking the disclaimer box and click “register”.
iv. Fill up the electronic travel agent registration form (attached) and click “submit”.
v. Alternatively, you can also fill up the manual form (attached) and fax it to Ms. Azrawati
at 03 8775 1689.

c) The registration process


Upon receiving your application, we will key-in your company details in our database and we
will send an e-mail to advise your user id and password. All this is within 24hours.

2) Category Of Agent
a) Sky Agent
Sky agent is a booking engine for travel agent using internet base system with the facility of
payment method using credit card/BSP Payment System/AG Pre Payment System/Direct Debit

b) Preferred Agent
Preferred Agent booking method is similar to Sky Agent with an additional option of holding
reservation for 48hrs.

3) Sky Agent/Preferred
a) Introduction to Sky Agent/Preferred Agent

Sky Agent is a medium used by travel agents to book AirAsia seats. It is a web based booking
engine, engineered to be user friendly and an efficient booking system.

Sky Agent replaces the normal “Global Distribution System” as a booking platform that requires
no additional or minimum set-up (if any).

b) Infrastructure
What you basically need are computers and internet connection (dial up or broadband).

You can use your current office infrastructure and start to book AirAsia seats immediately upon
receiving your user id and password.

Minimum computer specification required for effective performance


1. Windows 98, 2000, XP
2.600MHz
3.128RAM

c) How to log-in?
i. Log-on to AirAsia website at www.airasia.com
ii. Click “Other Services” link, then select “Travel Agent”and “log-in”

iii. Key in user id in “Agency ID number” field, password in the “Agency password” field and Click
login

iv. Click on “Agent Login” button to enter the travel agent work centre

v. Enter your “Agent Number” and “Password” in the appropriate boxes. Click “Log in”

A successful login will display the screen shot seen below where agent can choose to perform any one of
the displayed functions by clicking on the buttons.

a. Buy Now – Click this button to start purchasing AirAsia seats


b. Online Change/ Review – Click this button to view all bookings made. Last 200 reservations will be
stored in this page. Changes of flight reservations can also be done here.
c. Agency’s System Administration – Allows the ticketing manager or supervisor to manage the Skyagent
user is registered in the company.
d. Agency’s Report – Three types of report can be viewed here.

d) How to book?

i. Click on “Buy Now” button.


ii. Fill in the required fields with details such as type of reservations – one way or return, departure
and arrival date/city as per above example and click “search for flights”.

iii. The system will reply a successful request with list of flights, departure/ arrival time, departure/
arrival city and the lowest available airfare for that flight.
iv. To select a flight, click the aero-plane icon on the left of the selected flight/ line

i. This page will display the flight/s that you have selected. To go to the next page, you will need to check the
disclaimer box stating that you have read, understood and accepted Air Asia’s Terms & Conditions. Click
“Confirm & Continue”.

ii. Fill in the guest’s name in the “Guest Information” field and the name of travel agent who is creating the
booking in “Agency Contact Information” under “Name of Agent” field.

iii. Still in the same page, scroll down and enter your guest contact number
(preferably mobile number). You also have the option to send the itinerary copy to
your guest by changing the e-mail address to your guest e-mail.

In the event of any changes to the flight departure time, Air Asia
will notify guest direct either by calling or SMS them on their mobile phone

iv. Since Air Asia is a ticket-less airline, guest will need to provide their identification
document upon checking in. Only “identity card, passport, birth certificate” are accepted
and the identification details must correspond with the details that you will type in the appropriate
box as below. Once done, click continues to proceed.

v) You are at the last stage before you can file in your booking and that is to make payment.
Four payment options available for you to chose:
a. AG /BSP Payment System *
b. Credit Card
c. Direct Debit
d. Hold Reservation (Preferred Agent)

*Travel Agent who are equipped with AG/BSP facilities


will have 2 ID’s
• 1st user ID will be utilized for AG allotment
• 2nd. User ID will utilized BSP allotment (IATA numeric
format)

Only appointed agents will have access to the 2nd. User ID

v) Itinerary

An itinerary will be displayed for every successful payment transaction, which is subject to bank
approval if using credit card as payment.

Sample of itinerary are as below.

Details such as reference number, booking status, reserved flight details, travel agency details and
brief details of AirAsia General Terms & Conditions will be displayed in here.

It is advisable to inform your customers of AirAsia Terms & Conditions before you start
making any bookings.

4) Travel Agent users profile management
Agency’s System Administration

i. Agents with “super id” are allowed to do the following:


a. View all users profile
b. Add or remove users
c. Edit users – first & last name/ department & location / status & permission
d. Reset agent password

ii. Agent with “ordinary id” will be able to view only his/ her user details.

i.e. View all users profile

i.e. Adding a user (by Super User ID only)
a. Type in a new user id code (maximum 10 characters) in the Agent Number field and
click Add Agent Profile.
b. Fill up the department & location of the new user. To use 3 letter code.
c. Fill in first and last name of the new user.
d. Choose permission: super or ordinary

i.e Removing a user (Super User ID only)

a. Type in the user id code which to be deleted in the Agent Number field and click “Delete
Agent Profile”.

b. Click “Delete” to confirm or “Cancel” to go back to previous page.

i.e Edit user

Only users with super id will be able to perform this function.

i.e Resetting Password


This feature will allow users with super id to reset any registered user’s password.
This function is useful when a user forgets his or her password. The default password is 1234.

5) Agency’s Report
There are 3 types of reports that can be viewed in this page. All users will have access to the
reports.
Users will only be able to view the reports.

a) Booking Details by Agent

Details such as Agent Code, Date, PNR, Total PAX, Total SEG, Total Booked and currency code
will be displayed in this option

b) Booking Details by Date

This option will display Payment Date, Agent Code, PNR, Passenger Name, Mode of Payment,
Total Booked and Currency Code

c) Summary by Agent

This option will display the Agent Code, Total Book, Total PNR, Total PAX, Total SEG and
currency code

6) Payment Options

a) What is BSP Payment System?

BSP is a credit facility provided and run by IATA. In order to participate in the BSP scheme, the
travel agent will have to be an accredited IATA agent.

A new and separate user id will be created using the IATA 8 digit numeric code for this purpose.

When the id is used, the AG/BSP payment icon will indicate the allotment amount in Ringgit
Malaysia.

The allotment will be reset every Monday of the week as per the billing cycle. You will see Air
Asia sales as one of the other airlines in the weekly billing statement.

b) What is AG Pre-Payment System?

Pre-payment system designed as an alternative for Travel Agents to make payment when selling
Air Asia.

It uses a floating balance format where the amount will be deducted every time you create a
booking
and use AG as payment.

Topping up of AG value can be done at anytime during working days and it will be updated within
24 hours after the money was wired into AirAsia account. Start up and minimum top up value
varies depending on country.

This payment option is secured where each travel agent will be given a unique and own AG
password.

c) Credit Card

For time being, AirAsia only accepts Visa & Master Card. The credit card can be of your
company credit card or your guest credit card.

Credit card can still be used even if travel agents sign up for the AG Payment program.

The last 3 digits at the back of credit card are required as the “CVV Number”. This is as a
security measure and the number keyed-in must match with the number on the card.

d) Direct Debit

Direct debit is a payment where customer can pay by directly transferring money from their bank
account to Air Asia account. Air Asia will be working together with various local banks to
provide direct debit solution to customers making booking over the internet.

To use direct debit, simply select the “Direct Debit” tag on payment page during the booking
process. Direct Debit tag will be displayed whenever the direct debit solution is available for the
fare you select.

7) Hold Reservation (Preferred Agent)
This is a special feature only available for “Preferred Travel Agent”, where it allows the reservation
to be held for 48hours before any payments are made. This feature appears as “HOLD
RESERVATION” tag on payment page during the agency booking process.

Preferred travel agent can select the “HOLD RESERVATION” tag and click the “HOLD
RESERVATION” button to put the booking on hold for 48hours.

Sky Agent Terms & Conditions

By applying to become a Registered Agent, the Agent is deemed to have agreed to these
Sky Agent Terms & Conditions. In addition to all other rights and remedies, AirAsia reserves
the right to terminate or suspend the registration of the Registered Agent, if the Registered
Agent has violated or not complied with the following Sky Agent Terms & Conditions:-

1) The Registered Agent must at all times comply with the Laws of Malaysia. The
Registered Agent must at all times be duly, validly and effectively licensed by the
Ministry of Tourism Malaysia and all relevant authorities to act as a Registered Agent
and to sell or distribute AirAsia’s seats.

2) All Guests must receive a printed copy of the flight itinerary. The flight itinerary
must be a full copy and clearly show the amount of AirAsia fare and the other charges
paid. The flight itinerary shall include a printed copy of AirAsia’s Terms & Conditions
of Carriage.

3) The Registered Agent must be conversant with the latest version of AirAsia’s Terms and
Conditions of Carriage and must ensure that each Guest understand AirAsia’s Terms &
Conditions of Carriage including all rules pertaining to flight change and name change.
Such flight change and name change rules include:-

a. Change of flight is allowed only if the request is made more than 48 hours prior to the time
of scheduled flight departure, and with a payment of a charge (please refer Fee Schedule)
(as applicable) per guest per sector.

b. All requests for changes of flight may only be made by calling AirAsia Nationwide
Call Centre at 603-8775 4000

c. Any requests for flight change less than 48 hours prior to the time of scheduled flight
departure will not be entertained.

d. Name changes will be allowed with a payment of a change fee charge (please refer Fee
Schedule) (as applicable) per guest per sector, if the request is made within 48 hours before
the time of scheduled flight departure. All requests must be made by calling the AirAsia
Call Centre.

The Registered Agent shall remind a Guest of any special terms and conditions applicable
to the fare class of the Guest’s seat.

4) AirAsia seats are available for sale at all fare classes through the Sky Agent system.
However not all of the fare classes are commissionable. The following list sets forth
which fare classes are commissionable and which are not.
On non-commissionable fares classes, AirAsia allows the Registered Agent to collect
from the Guest, a service fee as the Registered Agent deems it. This service fee must be
disclosed to the Guest and clearly displayed.

5) AirAsia shall have the right without notice to the Registered Agent to introduce, amend or
withdraw any further terms and conditions on the Registered Agent’s usage of Sky Agent
contents of the Sky Agent manual, and the format, layout, presentation and contents of Sky
Agent. The Registered Agent shall be responsible for ensuring that the Registered Agent has
the most updated terms and conditions, contents, format, layout, presentation of, as
applicable, the Registered Agent’s usage of Sky Agent manual and Sky Agent.
