Material Data Standards

SoftNis’s Standard Noun Modifier Dictionary (SMD)
Currently SoftNis has more than 4,000 unique Noun modifier combinations in the dictionary. The Noun modifier dictionary is a
two-tiered classification schema with consistent naming convention. Each Schema consists of Noun/Class and Modifier/Sub-Class
with associated characteristics that describes the general part attributes.
Each noun modifier is having minimum of 8 attributes and maximum of 27 attributes with attribute types, descriptions, sample
values, Unit of Measures and attribute priority. As per each client requirement, the Noun-Modifier Dictionary can be modified and/
or rearranged as needed.

Base Unit of Measure (UoM)

Several standard units of measure were considered in establishing the standard UoM list. The standard UoM list is developed with the
consideration of following UoM standards in the industry. They are:

• United Nations Economic Commission for Commerce (UNECE),

• American National Standards Institute (ANSI),
• International Organization for Standardization (ISO), and
• International System of Units (SI). Example:

Data Abbreviation Standards

The abbreviations are the standard short form representations of the Noun, Modifier, attribute name and values. The abbreviated
names are used to generate the short description with the intention of accommodation of more values. Example:
BEARING - BRG, CLAMP - CLMP

Data Capture
Complete specification of the material is captured as per the schema from the manufacturer’s / supplier's website or catalogue.

Material Descriptions (Driven by SMD standard)

Long Description
Long Descriptions are generated with the combination of Noun, Modifier, and Specification Name Value Pairs. Long
Descriptions are non-abbreviated, and length of the description varies depending on the specification values.
In SAP, long descriptions are represented in the “Purchase Order Text” field. The Length (Number of Characters) of the
description has no limitation.

Short Description
Short Descriptions are generated with reference to Important/Mandatory Specifications. The Specification Name and
Values are abbreviated to accommodate most prominent attributes of the product.
In SAP, short descriptions are represented in the “Short Description" field. The Length (Number of Characters) of the
description is restricted to 40 characters.
Note: The Important/Mandatory Properties are defined by SMEs. We shall send the final product list to client for approval. For
Non- English Data, we request the client to provide us Abbreviation list.

Duplicate Materials
Duplicate materials are identified based on manufacturer's name, part number, and functionalities. The Duplicate materials are
identified and merged into a single material and maintain the history of duplicate materials for future reference.

• Exact Match: Exact match duplicates are identified by comparing the manufacturer's name and part number.
• Potential Match: Also called as Functionally Same/Interchangeable products. Potential duplicated are identified by comparing
the material specifications.

Data Format
Data will be formatted and delivered as per every client's system requirement. Data must match with the client's ERP
system specification fields. For Example: Data Type, (Numeric, String), Character limitations, Content and more.

SAP System
• Long Description: Long description has NO character limitations.
• Short Description: Short description has 40 character limitations.

Delivery Format
The data will be delivered as per every client's system upload format.
• .csv, .xlsx, .txt, .db, and any other supported format.
• Data can be uploaded to Client's ERP system directly.

Checklist for Data Deliverables

We ensure that each material data delivered complies with the following information.
• Standardized Manufacturer's Name and Part Number
• Product Identification by Noun and Modifier Naming Convention
• Enriched/Cleansed, Validated and Standardized Description
• Material classification code and description
• List of duplicate materials
• List of unprocessed material that needs more information

Project Maintenance
Once the deliverables are made and approved by client, the current production phase would be considered as completed and
move to maintenance phase. During the maintenance phase, SoftNis will be committed to address all prevailing data issues.

Post Project Support

SoftNis will whole heartedly lend service support to every client’s need even after completion of the project. The post project
requirement may include,
• New material search: Search for the new material in the client's existing material master data base for duplicate material.
• New Material Data Enrichment/Cleansing: New material data will Cleansed/Enriched and new Long and Short
Description Generated.
