RAMRAJ BILLING SOFTWARE SYSTEM

1. INTRODUCTION

1.1 Abstract:

The project is on Ramraj Store Billing. Generally store is the place where customers
come and purchase their products and pay for that. So there is a need to calculate how many
products are sold and to generate the bill for the customer. The project Ramraj Store Billing
System gives us the facility to manage the store billing system. This application is helpful for
staff or admin for billing of products and managing products details. This application is access
by only staff and admin. Members can’t access it directly.

In this Application we can enter the details of new products and retrieve the details of
products available in the System. We can generate the bills for the customers and store how
many products are sold, we can retrieve other information of the product as well. Rate of taxes
and commission on the products are necessary for any store, here we have shown these details
also.

The main purpose of this system is, we can :

 Calculate the bill.


 Give the bill to the customer.
 Store how many products are sold.
 Store products and their prices and with other information.
 Set the rates of taxes and commission on the products.
 Can see the report of the product in a fix period of time.

2. REQUIREMENT SPECIFICATIONS

2.1 Hardware Specification:


The hardware specification is necessary to support the proposed system, which have
been identified, ordered, delivered, installed and tested at the time of installation.

 Processor : Pentium IV
 Hard Disk : 40GB
 RAM : 512MB or more
 Mouse : Optical
 Printer : HP Laser

2.2 Software Specification:


The software specification is the one says about the development environment of the
package.

 Operating System : Windows 7


 Programming Language : VB.Net
 IDE Tool : Micro Soft Visual Studio 2010
 Database : MS SQL
3. SYSTEM ANALYSISS

3.1 Existing System:

The existing system was a manual one. Whatever the process involved in the system were done
through register (files). There were lots of complexities involved in the system. The process
becomes very slow as all the billing work are done manually and sometimes the calculations also
miss matches which makes both customer and the admin dissatisfaction. Updating the data was
very tedious job. It was not easy to do several administrative works like managing bills, rates of
taxes, commission for any products etc.

Drawbacks of the Existing System:

 Inability of modification of data


 Not User Friendly
 Difficulty in generating reports
 Lot of Paperwork
 Inability of sharing the data.

3.1 Proposed System:

The new system titled “Ramraj Billing Software System”, removes all the drawbacks of
the existing system. Customers will be satisfied with the fast billing system. They don’t want to
waste their time standing in a queue to pay the bill. It is a user friendly because the retrieval and
storing of data is fast and data is maintained efficiently. Moreover errors may not occur.
Advantages of the Proposed System:

 Reduces the workload of staff.


 Reduces the delay in processing time.
 Reduce the delay in bill generation.
 Provides user-friendliness in all possible ways.

3.3 Module Description:

Login : The user should login to the system by entering username and password.

Product Details : The details of each product will be displayed in this screen.

Total Stock : The total stock in the store will be shown.

Add New Product : The user can add new products by giving all the details of that particular
product.

View Sold Stock : The stock or the product which has been sold are displayed on this screen.

Generate New Bill : The user can generate a bill by adding the name and mobile number of the
customer.

View Bill : The generated bill and the old bills will be displayed in this screen for future
reference.
