Each segment consists of various modules which can be used independently as well as in an integrated
environment. This scalability facilitates the user to plan the implementation according to the available resources.
HARMONY also has an interactive browser based Employee Self Service (ESS) mechanism which saves significant
amount of time and resources required to handle various employee related queries. Apart from empowering
employees to access their Compensation and personal information, it also helps speed up various HR business
processes by using intelligent workflows.
Technical Architecture
Version 4.0 of Harmony is being developed as Rich Internet Application with Service Oriented Architecture.
This is a complete browser based application which is being developed using MS Silverlight, .NET framework
4.0.
Salient Features
HARMONY provides an easy-to-use interface which is common and consistent throughout the application. This
interface is designed keeping in mind different level of computing skills of the users. Completely parameterized
approach helps in defining variety of policies and user-defined calculations into the system without any
customization. The above help speed up the deployment period.
HARMONY contains a wide range of reports and inquiries to cater various levels of information requests. All
reports have selection criteria to suit ever-changing user requirements. User has the facility to export the data
in some standard packages for further analysis.

This also keeps track of the career development, designation history, rewards, punishments etc.
This data helps Human Resource department in acquiring a complete picture of the strength of their human
capital and their potential. Using its comprehensive inquiry program, HR can search the employee database to
find employees having a particular skill, experience, training or qualification. This information is very useful when
HR is trying to identify the right resource for a new project or position.
Major reports include appointment detail, separation detail, Seniority Analysis, Age analysis, Retirement due
and Reason for leaving analysis.

Description of the Shift being defined

Day Off to mark the day on or off. Similarly, definition of starting and ending time for the

This module caters to all the requirements and functions related to Employee Leave Accounting. All leaves
including Earned Leaves, Casual Leaves, Sick Leaves etc. are managed in this module.
This module is completely integrated with other modules of Harmony suite. Once it is integrated with Salary
module it automatically provides Leave Encashment, Leave Fare Assistance and Leave without-pay calculation.
In this module user can define different Leaves. Employees’ leave entitlements and balance leaves. The system
requires a one-time setup to incorporate the existing leaves when you start using the module. After that leaves
taken by employees are entered and a system keeps track of remaining leaves.
Through ESS each employee can view his/her leave record/balance without bothering the concerned
department.
Broad Functionality
This module caters to all the requirements and functions related to Employee Provident Fund.
This module is completely integrated with other modules of Harmony suite. Once it is integrated with Salary
module it automatically deducts Employee and Employer contribution from Salary. These two amounts are then
passed on to Provident Fund module in a seamless manner.
Module has the flexibility to cater for different employee and employer contributions. Grade wise variable
Provident Fund calculation parameters can be defined to calculate contribution. The system requires a one-time
setup to incorporate the existing Provident Fund Balances when you start using the module. After that only new
employees are made member of the fund.
System has the capability to calculate and distribute annual profit on the Provident Fund investments.
Through ESS each employee can view his/her loan Provident Fund Balance and history without bothering the
concerned department.
Broad Functionality
This module caters to all the requirements and functions related to Employee Loan. All loans whether PF or non-
PF loans are handled in this module.
This module is completely integrated with other modules of Harmony suite. Once it is integrated with Salary
module it automatically provides loan installment deduction with markup accrual or deduction. The module also
provides markup differential required under local laws to calculate income tax liability.
In this module user can define different Loan types with markup or without markup. The system requires a one-
time setup to incorporate the existing loans when you start using the module. After that only new loans or
change in any existing loan is required to be entered.
Through ESS each employee can view his/her loan record/balance without bothering the concerned department.
System has the capability to calculate employee loan installments and monthly markup with each payroll using
the information defined in this module.
Broad Functionality
It provides the mechanism to configure user-defined expenses, their limits and disbursement process. A
comprehensive monitoring mechanism is also provided to ensure that employee expenses remain within the
entitlements defined for that employee.
A complete disbursement process is available if the payment is made outside payroll. In case payment is made
with payroll it has integration with the Payroll module with the capability to calculate income tax if applicable.
Monthly and Year-To-Date reports are available for varying needs of queries. A comprehensive inquiry facility is
also available.
A complete workflow for expense from claiming to disbursement is available through ESS.
This module is completely integrated with other modules of Harmony suite. Once it is integrated with Payroll
module it automatically takes current head count and their payment data and projects the budget requirements
for the next year considering the planned head count.
In this module user can define different employee categories. The system requires a one-time setup to
incorporate the existing payments and provisions when you start using the module. After that only new
payments and provisions are required to be entered.
System has the capability to calculate the exact financial requirement keeping in mind the current head count
and its cost, future plans to induct people and expected salary rise that company intends to incorporate.

with payroll it has integration with the Payroll module with the capability to calculate income tax.
This module provides a complete mechanism for the EOBI/ESSI contribution from employee and employer. It
uses a flexible approach where user can define their own formula for the calculation.
This module has an interface with Salary and other related modules. Various statements, registers and
statutory reports are part of this module.
Apart from overtime it can also calculate other related payments such as conveyance, meals etc. This too can be
calculated using user-defined formula.
A complete disbursement process is available if the payment is made outside payroll. In case payment is made
with payroll it has integration with the salary module with the capability to calculate income tax.

It provides the necessary ease to configure user defined varying policies in the formula. This module has link
with the payroll module to get the current salary of the employee and contribution (if any). It also provides
exact gratuity payable to an employee at the time of separation.
Comprehensive Inquiry and Reports provide relevant information in various formats to provide ease to various
functions.
This module calculates salary, notice pay, Expenses, Leave Encashment, LFA etc. It also takes care of the
returnable assets given to an employee during his/her employment.
This module is linked with other modules of HARMONY to provide mechanism for Loan, Provident Fund,
Gratuity, Pension settlements with accurate income tax calculation.
Major benefits of this module are a transparent, well-structured and consistent approach towards hiring
process. The results of this approach can be summarized as identifying the right talent within or outside the
organization, minimizing the hiring lead time, saving of considerable time of staff involved in recruitment
process, less communication required.
Its structured online resume submitting not only saves the data entry effort, it also provides ways to search the
candidate pool in an efficient manner. Its filtering process minimizes the effort in working on unwanted
candidates. It also provides insight into the opportunities to continuously improve the hiring process.
It provides pro-active alerts to the staff involved ensuring the execution and completion of hiring tasks at due
dates. Some examples of these tasks could be requisition, approvals, internal search, advertisement, resume
collection, Interview letters, interview's), interview ratings, best fit candidate analysis, offer letter, acceptance,
appointment letter etc.
An intimation is sent through Email to all relevant departments announcing the proposed joining date of a new
employee to help them initiate pre-joining preparations. Post joining activities like document gathering,
verification of various documents such as references, previous employment and academic certificates can also
be scheduled.
Recruitment module is integrated with the Payroll and Personnel modules of Harmony. An employee’s
information is passed on to these modules as soon as employee joins the organization.

Job Specification
A job specification helps the HR function in defining the exact requirement of a person for each job. This
information is useful while hiring a new employee as well as during the process of planning career growth for
an existing employee. A job specification is a written statement listing the necessary pre-requisites for a
person to hold a particular job.
JD/JS module of HARMONY caters for all the above in an efficient and integrated manner. The job description
includes the objectives of the job, reporting hierarchy, key functions, primary/secondary responsibilities,
administrative and financial authorities etc. Job specification comprises qualifications, trainings, skill sets,
proficiency in languages, Age bracket, gender, experience, personality traits, soft skills requirement, work
environment and location of the job.
Job specification combined with Job description portrays a complete picture of the size, profile, span of control
for any job. This picture helps in recruitment and it is linked with Personnel information system to identify the
gaps by comparing attributes required for a specific position against the attributes of a current employee,
whether holding this position or aspiring for this position.

Job Description
A job description outlines the responsibilities and functions that are assigned to a particular position or role in
an organization. It provides clarity about what an employee is supposed to do. A good job description not only
defines the roles but responsibilities as well. It is also an interface of the job with internal and external
customers, reporting relationship and challenges that the job offers.
It provides a sense of how much impact the job can make by aligning the job with the overall business
direction. It also helps identify the responsibility and accountability that each job carries. JD is an effective tool

A comprehensive feedback mechanism from trainer, trainee and HR creates a complete database that helps in
improving the efficacy of training plans. Apart from ad-hoc training needs training database has a seamless
interface with appraisal and competency assessment modules to identify the training needs.
A department/category wise cost mechanism is also available to monitor the current costs and budget the
future training costs. Complete course reference can be stored for future reference.
ESS provides not only instant and accurate information for employees but also results in considerable time saving
of employees and Human Resource Function.
