Event-Day Instruction Guide

Bangalore Help-Portrait 2010 | Dec 4, 2010 – It’s all about
connecting with our community!
Location: Samarthanam School - Time: 7:30 am – 10:30 am.

For the Help-Portrait 2010 we have shortlisted Samarthanam School in HSR Layout. This school has
about 185 students.

The reason why we are keeping it that early in the morning is because Samarthanam has an event of its
own called Walk-a-thon (http://bengaluruwalkathon.com) , which is a fund raising event. So the
Managing Director, Mr. Mahantesh, (who by the way is visually impaired and spoke with us ever so
kindly during our visit), has requested us to wind up our Help-Portrait activity by 10:30 as they have to
prepare their kids to go to the event. Some of us will be participating in the walk-a-thon as well!

Division into Groups

The Samarthanam school venue is quite spacious to accommodate all of us! We will be dividing the
entire Bangalore Help-Portrait photographers into 7 groups of 5 photographers and allotting 5 or 6
children each. (Till now, 35 photographers have responded!)

As and when photographers walk into the venue, you will be put into any of the above groups and 5 or 6
children will be assigned to your group. Each group will have a lead who will be responsible for his/her
group.

It is the responsibility of each and every group to bond with the children and have fun.

Responsibilities of the Lead

1. Collect the basic details of each subject of his group – Name, age, gender
2. Make a note of something unique in your subject (will be useful while writing/sharing your
experience).
3. Will be responsible for collecting the edited images from your team members and print them–
Post event.
4. And most importantly spend, share, and bring loads of smiles to your subjects!   
Please Note: Studio/strobe/ hi-fi setup is not mandatory! If you would like to bring your setup, you’re
most welcome! Each team will work together in setting the whole thing up.

Remember that it is not mandatory that each and every photographer has to click from his/her own
camera!!! It’s not about our camera, our strobes, our talent, our portfolio, our click! It’s all about
laughing, sharing, and most of all, serving for the pure sake of serving. As it’s mentioned in the Help-
Portrait blog, you might ask - Why do we need photographers if this isn’t about skill or art or ability? The
answer is simple. This isn’t about photography. It’s about meeting the needs of our community. It’s
about making individual connections with others who deserve it. It’s about really seeing people – the
lens is just a tool to facilitate that connection. It’s about giving people a visual reminder of their beauty
and dignity. As we’ve said before, it’s not about us.

Regarding additional funds

As Indu has already mentioned in this post - Gifts, T-Shirt and prints information, we though the best
gift we could give was donate Rice to the school. On a daily basis the school spends over 30 kgs of rice
for the in-house students. Actual amount to be contributed by each member will be told on Dec 4th and
will cover the gift cost and printing cost.

T-Shirts

I will be bringing along all the t-shirt to venue on the event day. All those who have paid will first receive
it, and if extras are there, it will be sold on a first come-first-served basis.

Post Event

On Dec 4th, after our shoot is done at 10:30 am, we will regroup in BDA Complex, HSR Layout. There we
will have all our discussions. All those who are interested in participating in the walk-a-thon organized
by Samarthanam can do so (event starts at 3 PM on Dec 4th). http://bengaluruwalkathon.com

Printing and Delivering

It is extremely important that every child who is clicked must receive his/her portrait. There should
absolutely no compromise done what-so-ever; else the whole objective of this event is lost. Also the
kids will be looking forward to see his/her photo, so let us all be organized.

I have created a new Picasa account and request all photographers to upload your final photos there as
it can be taken by the group lead to get it printed.

Therefore, by Wednesday, Dec 8th, all photos have to be edited and uploaded to the Picasa album:

Password: will be emailed separately to all members.

On Sunday, Dec 12, 2010 we will be delivering the photos to the children. Sunday will be a holiday for
the kids and we can generally spend more time with them.
